Job Context:

The Royal College of Physicians of London plays a pivotal role in setting standards and through a variety of activities, influences the quality of medical practice in hospitals. It conducts examinations, carries out training, education and research activities and advises the Government and the profession on health and medical matters.

Purpose and Scope:

This post provides support and co-ordination for the delivery of educational programmes. This post primarily involves working ass part of the Educational Programmes Team, coordinating workshop arrangements, liaising with contributors and participants, and administering paperwork and course materials.

Reports to:

Senior Education and Training Programmes Coordinator

Works closely with:

Other members of the Education Department and the team of clinical educators based throughout the UK.

Major Responsibilities:

 Coordinating workshops - including venue bookings, catering, travel arrangements, accommodation and production of delegate materials.  Co-ordinate workshops on the day, assisting with registration, meeting and greeting facilitators and assisting with any queries.  Taking responsibility for workshops and working proactively to ensure that all appropriate preparations and follow-up requirements are made in good time.  Liaison with facilitators, course contributors and participants.  Maintenance of accurate filing systems  Handling correspondence that relates to the Educational Programmes delivered by the Department.  Accurate updating of databases.  Processing delegate payments and accurately recording financial information, working closely with the Finance Department.  Processing expenses claims and invoices in line with departmental budgets  Production of suitable marketing materials and promotion of events using a variety of methods  Arranging the collection and collation of course materials into house styled packs ready for distribution.

 Working closely with other members of the team.  Any other duties as may be reasonable expected and which are commensurate with the level of the post.  Adhere and comply with the provisions of the College’s Health and Safety Policy.  Undertake all duties and responsibilities in compliance with the rules and regulations encompassing equal opportunities.
