RECORDS MANAGEMENT ESTABLISH POLICIES AND PROCEDURES
Develop company‐wide policies for management of all company records. Policies should document guidelines for appropriate control of records through their entire lifecycle, should be written, and should be approved by appropriate company management.
In particular, they should define: •
How company employees are notified of hold requirements relevant to pending or ongoing litigation or government investigation and that destruction of records should be interrupted (critical to develop first)

The strategy for communicating records management policies to company employees and heightening awareness of the RMP

How business continuity will be ensured in the event of a disaster

How to determine when records become inactive and how they will be managed

Under what conditions records are destroyed and how it is determined they are eligible for destruction

Methods for testing compliance with approved policies and procedures
Work with the Steering team that authorized the program and establish policies to direct employees regarding proper management of company records. • Gather and review any existing policies to use as a starting point • Determine what revisions may be needed in order to accomplish better control of company records or if new policies are required
• Once developed, have management from each business area and legal council review and approve the policies • Develop procedures that tell employees how to apply approved policies in the course of their work • If written procedures do not exist, document the current company practices and identify both their value and inefficiencies • Determine what elements may be missing and make revisions in order to develop standard, repeatable procedures that enforce the policy • Establish a central repository to post, maintain, and communicate policies and procedures so they are available to all employees • Consider using a company Intranet or shared drive that is available to all employees as a vehicle for communicating these documents • In addition to making them available to all employees, documents can be updated in one place when it is required
