Olympic View Elementary PTA Board and General Meeting Minutes

Wednesday, September 18, 2018

Present: Cherie LaFavor, President, PTA Volunteer Coordinator Stacie Thompson, Vice President Stephanie Nace, Secretary Jolene Avalos, Treasurer Jason Greer, Principal Ron Vannice, Vice Principal Jess Lindauer, Librarian Others Present: Rochelle Veerkamp, Becky Crain, Jennifer Jensen, Veronica Whitcher, Justin Olmstead, Bethany Sand, Amy Roberts, Jacky, Oscar Avalos, JJ Pritchett, Katherine Ferraro Today’s meeting took place in the library at Olympic View Elementary @ 1330 Horne Street NE, Lacey, WA 98516. ​Motion 1​ was made at 3:20 pm by Cherie LaFavor to call the meeting to order.

Introductions Circling around the room, all attendees introduced themselves.

Principal’s Report Jason said it’s been a good start to the year, with a great turnout for the parent coffee! It’s the first time we’ve done it; about 50 people came. The school is growing, currently 584 students with 6 kindergarten classes and 5 1st grade. OVE is working on a new school mission with student council help; a draft should be ready by the next PTA meeting. Olympic View is hosting a school board meeting on 10/9 in the gym. There’s a big city-wide push for spreading compassion, and their tracking for 500 acts of compassion.

PTA Info How to know stuff Stephanie said that the PTA Facebook and website, emails from the Volunteer Coordinator and RoboCall are great resources to know what’s going on with PTA and what we need help with at any given time. She mentioned there’s an immediate need “to-do” list on the website home page. Volunteering Jennifer gave her email out, explaining that’s the one that will send links to sign up for volunteering. She said people can email her directly to volunteer or sign up through the website links sent out, and she made sure they know where to apply through the district to get approved if they haven’t yet. Cherie went over the list of PTA events we know we need volunteers for at this point.

Treasurer’s Report

Olympic View Elementary PTA Board and General Meeting Minutes Jolene explained the budget report and the planned upcoming fundraisers.

Sponsorships/Donations Cherie asked that anyone with small businesses, or friends or family with small businesses consider a sponsorship for fall fun run t-shirts, and maybe donations to our Bingo fundraiser as well.

PTA Events and Fundraisers OVE Fun Run We went over dates of the Fun Run kick off and the run itself. This year a company is coordinating the event and has a great model that includes STEAM-themed activities throughout the week prior to the run, prizes and online fundraising! Box Tops Fall Drive There’s still a Box Tops competition running for a gift card from PTA for students who turn in 50 by the 30th. Mr. Greer has mentioned it, as well as the class competition, during morning announcements. The winner of the class competition gets a pajama and cocoa day at school. Multi-cultural event This event is new this year, probably taking place in February. Mr. Olmstead shared ideas so far: tables in the gym with games & activities, a reader in the library, a puzzle scavenger hunt, and reaching out to local businesses to participate. A flyer will go out to families soon, and a date will be secured shortly. Spirit wear The Budd Bay online store is open until October 1, there’s new gear on there! School dance PTA wants to try a new event, a school dance, in place of another movie night. Maybe with glow sticks and a dance competition? We should make sure to advertise it as a family event, so parents don’t assume they can drop off. Date TBA.

Old Business

Attendees looked over the minutes from the June meeting. Mr. Vannice made ​Motion 2​ to approve the minutes. Mr. Greer seconded the motion. All were in favor. Motion carried, the minutes from the last meeting were approved.

New Business/Open Forum Mr. Avalos asked about the budget carry over and the current balance. He recommended PTA help parents understand terminology they may not know, names of events, etc. He asked about getting a PTA calendar of events early on and recommended that we put a ½ page flyer in folders telling parents to like the PTA Facebook page and the website address. Becky Crain asked about the membership drive, which will run in October. PTA is planning to hold class competitions again.

Closing

Next PTA meeting will be October 16 at 3:15 p.m. ​Motion 3 ​was made by Cherie to adjourn the meeting.
