SOUTH VILLAGE OWNERS’ ASSOCIATION MANAGEMENT COMMITTEE MINUTES March 19, 2008 – Recreation Centre Chair – Rob Wallingford In attendance: Rob Wallingford (chair), Rick Piironen, Kim Dawson, Pauline Drummond, Raymond Rousson, and Suzanne Mackey. Reviewed the minutes from the AGM. No questions or comments and minutes adopted. 1. Finance Committee - discussion of unpaid dues and how to proceed. - decided a second notice would be drafted by Gisele Delaney and Pauline Drummond. Legal committee (Lloyd Mackey) will assist if required. Letter due for approval by management by Monday 24 march 2008. Late payment for dues by 8 of April 2008 . This issue will be further discussed on the 9 April 2008 management meeting. Motion to accept the drafting of second letter brought forward by R. Wallingford and motion seconded by R. Rousson. - A new cheque was signed for the trapper (Gary fisher) who claimed not to have received the first one. If not needed Pauline will destroy it. There is confusion regarding SVOA versus city payment. Rob will call Reno, and the trapper to review the contract. Lloyd Mackey from legal will follow up with the city( Doug Thompson’s office) if required.. - cheques were signed for Fraser Electric and Debbie Cosby. Debbie’s cheque was given to Suzanne Mackey to deliver. - Motion to have blank SVOA cheques at all management meetings. Such that it will ease the payment of bills. Rob will hold them and give them to Kelly Youngdale when he is on holiday. Bills and invoices are to be brought to management meetings as such bills can be paid once a month.
2. Social - Activity nights will be once every season, rather than once a month. Attendance was not there to continue once/month. Next activity night scheduled for 9 April 2008. Speaker yet to be confirmed is A. Bloom Landscaping. Since it was noted the activity night conflicts with the management meeting Kim will ask Denise to change time and/or date. - survey results of survey handed out at AGM yielded 3 people who will volunteer and will be directed to the chair of appropriate committee. 3. Beautification - Rob to call Marion Pora to see if she will head the committee and suggest to get a meeting started and to have a representative at the management meetings. 4.Rec. Center - Rick will send an e-mail to South Village community to advertise for the pool job. As well as place an ad in the local papers (The Packet, Manotick Messenger etc.) for a person outside the community. - Rob is pursuing a deal for free paper towel holders, t.p. dispensers and possibly soap dispensers for the rec. center bathrooms. 5.Entrance Sign - Rob will apply for a sign permit from the City of Ottawa. Possible cost 2 or 3 hundred dollars. A meeting is to be held the week of 31 of March 2008. New business - R. Rousson asked of SVOA should do anything re the private snow removal contractors and where they plough the snow - roads are getting narrow and his concerns were for emergency vehicles. Since the roads are city this is a city issue. Next management meetings: April 9 2008 7pm. May 7 2008 7 pm June 4 2008 7pm. Meeting adjourned 8:15pm.
