KIWI WEST AQUATICS INCORPORATED MINUTES OF MEETING Thursday 18 December 2008, 6.15pm

PRESENT: James Elkington, Carol Pound, Leigh Buchanan, Zoe Athersuch, Denise Marshall

APOLOGIES: Karen Stothart, Roger Gannon

MATTERS ARISING FROM MINUTES OF THE LAST MEETING: • Thank-You letters still to be sent out by James. Zoe to email James another copy. It was moved that the Minutes of the Meeting held on 27 November 2008 be confirmed as a true and accurate record. James Elkington/Zoe Athersuch

CORRESPONDENCE: Nothing to report

TREASURER’S REPORT No Report - missing a bank statement to be followed up by Leigh. Still working on bringing accounts up to date. • Leigh is currently trialling an accounting program. • Leigh enquired about online access to bank statements but not available for accounts which requires multiple signatories. fortnightly bank statements have been requested instead of monthly • Cheques for payments presented • To contact Arafura Treasurer about amount accidently deposited into wrong account • Change to accounts for club members, accounts to be recorded under single family name instead of individual accounts. This will make it easier to keep accounts balanced for families with multiple swimmers • A reminder to be sent out and made more visible on notice board about $0.25 club fee which some members are not paying • Payment for trips and camps to be made before event takes place • Leigh to enquire about term deposit rates and to discuss at next meeting if we should transfer part of savings to this account

COACHES REPORT: Andrew/Roger not present.

FUNDING Karen not present. • Lions phoned to inform Karen they currently have no funds for distribution at the present time and our application has been regrettably declined. • Still waiting to hear from Pub Charity and Kia Toa RACE SECRETARY Club needs to write Swimming Manawatu regarding the lack of acknowledgement from the swim centre when members are selected for NZ teams (ie. Pacific School Games). Not even a mention in the centre management committee report – Craig to follow this up Zoe Athersuch/James Elkington Club should write to Swimming Manawatu requesting centre meets are started at the deep end of a swimming pool where possible. This is better for performance and health and safety of swimmers – Craig to follow up Zoe Athersuch/James Elkington Move that Kiwi apply for website domain name cost approx $40 per year Zoe Athersuch/Denise Marshall

Arafura meeting Wednesday night – everything going well with fundraising moving ahead very well Swim-A-Thon ready to go, Sponsor cards to be ready in a day or two Trying to reduce cost of camp by only taking 3 managers and 2 coaches instead of all Arafura managers
