Chapter 1 INTRODUCTION

1.1 Rationale Information Management System is a general term for software designed to facilitate the storage, organization and retrieval of information. Information, as we know it today, includes both electronic and physical information. The organizational structure must be capable of managing this information throughout the information lifecycle regardless of source or format. The Clinic Information Management System of St. Louise De Marillac College of Bogo has been developed to override the problems prevailing in the practicing of manual system. This software is supported to eliminate and in some cases reduce the hardships faced by this existing system. Moreover this system is designed for the particular need of the School Clinic to carry out operations in a more smooth and effective manner.

The application is reduced as much as possible to avoid errors while entering the data. No formal knowledge is needed for the user to use this system. Thus by this all it proves is userfriendly. This system, as described above, can lead to error free, secure, reliable and fast management system. It can assist the user to concentrate more on their other activities rather than to concentrate on manual records keeping. It will also help the organization in better utilization of resources and minimize paper works allowing ease to the person-in-charge in keeping track of the students’ health issue.

1.2 Background of the Study According to the quote “Health is wealth”, it is essential that we have healthy bodies to enable us to perform our everyday tasks and keeping track of it is very important. In every school, it is vital to have a system that tracks the medical transactions of its students and the faulty staffs. This way, the school will have a better idea on the students’ and the staffs’ health Clinic Information Management System

and can prevent severe conditions in the future with the help of tracking the patient’s medical history. Thus concludes why the researchers came up with the idea of making this system.

With a clinic information management system, the authorized user can gather and manage all that information in one easily accessible location while keeping the information safe.

1.3 Statement of the Problem This study is aiming to propose an Information Management System for St. Louise De Marillac College of Bogo’s School Clinic. It specifically seeks answers to the questions stated below: 1. How will the students and the clinic personnel benefit from this system? 2. What are the common problems encountered with the existing manual system? 3. What are the possible solutions to the problems encountered with the current system? 4. What is the difference with the manual system and the proposed system?

1.4 Purpose and Description of the Project Most schools have very low-regard of the students’ and its personnel’s’ health, and for them, getting sick is the last thing they want. But sometimes, we get too busy to take care of ourselves and most of us don’t keep tabs on how many times you’ve had headaches, nosebleeds, stomachache, fever, etc., a week. The purpose of this study is to produce a system that contains the information, medical history, medicine log and daily transaction that will help the clinic personnel to provide a realtime data access and monitors the status of every patient of the school.

1.5 Significance of the Project

This study will benefit the following: 

St. Louise De Marillac College of Bogo. The school will have a more updated, reliable and secured information of its people’s health.



The School Clinic’s Staff. With this system, it will be easier to manage the clinic and is convenient when it comes to retrieving patient records.



Patients. The patients become more aware of his/her health issues by looking through his/her records in the system.



Researchers. The researchers have developed their writing, analysis, and interpretation skills needed to make a good thesis.



Future Researchers. This will benefit other researchers who wish to have similar studies as they can get background information from the result of this study which will serve as template to modify their research.

1.6 Scope and Limitation of the Study The Clinic Information Management System will help the clinic manage their activities and reduce the problems occur while using the manual system. However, this will not provide cure or remedies to any sickness.

1.6.1 Scopes The processes on how the proposed system works will be the following: 

The system is encrypted with password upon starting which only the authorized personnel knows of.



Information can be added, edited, and deleted.



There will be a search bar.

1.6.2 Limitations 

System does not require internet connection.



The system is a desktop software.



There is only one user account in the system.



System is only available at St. Louise De Marillac College of Bogo’s School Clinic.

User-friendly www.techterms.com describes a hardware device or software interface that is easy to use. It is "friendly" to the user, meaning it is not difficult to learn or understand.



Real-time www.google.com relating to a system in which input data is processed within milliseconds so that it is available virtually immediately as feedback



Encrypt www.dictionary.cambridge.org to change electronic information or signals into a secret code that people cannot understand or use on normal equipment.



Desktop Software www.thebalance.com refers to a software that runs on desktop computers or laptops, must be installed and runs as a stand-alone software.



User Account www.dictionary.cambridge.org an agreement allowing you to use a particular system, website, etc.
