I will be answering this mail with an acknowledgement letter stating that their information will be forwarded to the team working on that area. Correspondence that covers more than one team will have a team designated as the primary and information copies will be sent to the other team(s). You are not expected to have any further correspondence with the writer unless you want to pursue the information they've submitted. Please copy me on any written correspondence (including emails) you may have with these writers. If you think that another team should be the primary team or another team should receive a copy, just write it on the cover sheet and I will take care of forwarding it. Our goal is to ensure that all information we receive is considered; however, in view of staff and time limitations, this should not turn,:into a pen pal vsituation that is not productive. I am sending the initial copies to you and in the future I will be sending them to each team's Administrative Assistant; you can set up any process to handle these letters that best suits your team.
