Olympic View Elementary PTA Board and General Meeting Minutes

Tuesday, October 16, 2018

Present: Cherie LaFavor, President Stacie Thompson, Vice President Stephanie Nace, Secretary Jason Greer, Principal Others Present: Shawna Ribordy, Bethany Sano, Michelle Izzi, Becky Crain, Oscar Avalos Today’s meeting took place in the library at Olympic View Elementary @ 1330 Horne Street NE, Lacey, WA 98516. ​Motion 1​ was made at 3:18 pm by Cherie LaFavor to call the meeting to order.

Introductions Circling around the room, all attendees introduced themselves.

Principal’s Report Mr. Vannice says thanks for PTA support of Watch Dogs, and Mr. Greer thanked PTA for providing dinner during conferences next week. OVE had our first PAWS for Reading; about 40 students came and 4 dogs. If done again it might be good to pair with another event so there’s another activity while kids wait their turn for a dog. The first parent coffee was today, and a few parents came. It was a productive meeting, and they are scheduled quarterly for the year. Teachers had feedback on the Boosterthon process, and requested as much notice as possible for things they need to help with, i.e. gathering t-shirt sizes. They also asked for help coming up with the incentives by grade. Mr. Greer suggested PTA set up an Amazon Smile account; the school can’t sign up for one directly. The school’s new mission statement is complete: “We are a diverse, inspiring and compassionate school community building a strong foundation to prepare all students to become lifelong learners and successful citizens.”

PTA Info Volunteering Cherie talked about the PTA events coming up that will need volunteers. Michelle Izzi signed up to volunteer for Movie night. Stephanie mentioned that the hearing/screening event tomorrow still needs volunteers and another parent [Bethany?] said she could do it.

Treasurer’s Report none

PTA Events and Fundraisers Box Tops Fall Drive Cherie has asked for help counting Box Tops. She sent collection sheets home to each student for the parents who have time to trim them and adhere them to sheets of 25.

Olympic View Elementary PTA Board and General Meeting Minutes Book Fair Stacie said we should receive the shipment Thursday or Friday morning this week; we’re planning to set up on Friday. The Book Fair runs through Thursday. Movie night Stacie shared that doors open at 6, movie runs 6:15-8:15; the Book Fair will be open during movie night. Multicultural Event The date has been set for Wednesday, February 20 at 5:30.

Membership Drive Membership envelopes are going home with students with information about Book Fair. Spirit Wear Orders will be delivered to classrooms in about two weeks. The store will be open several times this year. Parent Workshop The first one is from 6-8, topic tbd. Light snacks for adults and dinner for kids are provided. School dance PTA wants to do a school dance for a new family fun night activity. Families invited ,maybe themed. The date is tentatively set for January 18.

Old Business

Attendees looked over the minutes from the September meeting. Jason Greer made ​Motion 2​ to approve the minutes. Becky Crain seconded the motion. All were in favor. Motion carried, the minutes from the last meeting were approved.

New Business/Open Forum Stephanie mentioned that the PTA website is mostly up to date, but she can’t access the edit site currently due to security issues. Cherie shared the volunteer coordinator’s email address with attendees since we don’t know when it will be on the website. Oscar Avalos asked if we pay a royalty fee per movie night or one for the year, recommending that we maybe could do more to bring the cost per movie down. We talked about the need and ways to create more parent volunteers, parents leading committees with oversight from the PTA board. Ms. Crain asked about the Skateland night that benefits OVE, which is schedule for this evening. PTA board doesn’t know anything about it, Cherie will call and find out more information.

Olympic View Elementary PTA Board and General Meeting Minutes Mr. Avalos asked if we were able to find the sponsors needed for Fun Run t-shirts. Backdoor Bakery and Genuine Auto parts are our only t-shirt sponsors, and PTA will have to cover the rest of the cost. Cherie asked a lot of businesses for support. They mostly offered products and were not able to help financially. A parent asked where we usually order our pizza and thought they might be a good sponsor. Mr. Avalos recommended that we ask Pizza Time to sponsor us with free pizza for movie nights, and to make up their costs, offer a night when OVE families order Pizza Time, and a small percentage goes to the school. Cherie said they’ve told her their business is hurting. They’ve even raised the price on pizza for PTA, so they might not be in a position to sponsor us with pizza.

Closing Next PTA meeting will be December 4 at 3:15 p.m. Motion 3 ​was made by Cherie to adjourn the meeting at 4:08 p.m. Meeting was adjourned.
