Recruitment & Selection Policy The recruitment of employees is a constant activity at S. Zia-ul-Haq & Sons. The process of recruitment is becoming more and more important in today’s business as it reflects the increasing need for a well motivated and flexible workforce. To ensure that the induction of new employees is accomplished systematically and according to the requirements of the company, there is a need to follow a laid down Recruitment & Selection Process. The overall aim of the recruitment & selection process is to ensure that the right number of suitably qualified people are available at the right time, in order to run the business most profitably and to achieve the Company’s corporate goals. Procedure: The Head of Department (HOD) fills out the Employee Requisition Form (SZS/HR/F/003) giving full justification for the hiring; this is a formal request for recruitment of a required human resource. The authority for approving the ERF is Chief Executive Officer (CEO). HOD submits the duly approved ERF to the HR Department (HRD) along with the Job Description (JD) for further necessary action. On receiving the duly approved ERF, the HRD will check the ERF to ensure that it is filled in completely and that the authorized signatories have signed and approved the requisition. A JD should be attached with the ERF. If a JD does not exist for the requisition position, the requisitioning departmental head is to prepare one. If the ERF is not filled in completely or some authorizations are missing, it will be sent back to the requisitioning department to ensure that the required approvals are obtained. Sources of Hiring: After the ERF is verified for its completeness, the HRD initiates the search. The search process will be initiated by identifying suitable candidates through various sources (resume database, advertisements, referrals, head hunters, existing employees). Screening of CVs: Applications received by the HRD for the concerned vacancies are filtered based on JD. A list of candidates shortlisted for the position is prepared. The shortlisted candidates are invited to fill out an Employment Application Form (SZS/HR/F/001) when they come for an interview. Conducting Interviews: Initial interview will be conducted by HRD and then with HOD, interview rating is to be provided on an Interview Evaluation Form (SZS/HR/F/002). Suitable experience gap between interviewer and interviewee is recommended. Employment Offer: Recruitment & Selection Policy

The interviewers will endorse their approval along with details of the salary and benefits at the end of the candidates interview evaluation form. Based on these approvals the HRD will obtain approval from CEO through email for issuance of offer letter. The selected candidate is made an offer. Appointment: Once the offer is accepted then HRD will issue the appointment letter to the candidate on the date of joining the company. The HRD will give a copy of the letter to the candidate and retain a signed copy. Joining Report: Employee will be required to sign a Joining Report on the first day of employment and will return it to HRD after getting it signed by HOD. Job Description: On the day of joining the organization, employee will be provided Job Description of the position for which he has been hired.
