2.0 INTRODUCTION Global Tech Corporation (GTC) started the business in year 2009. Iwan Saputra was in charge of the Project Manager for GTC. The top-down research grant is also an indicator of the commitment and support from the UUM top-management for the Government’s effort in maximizing the utilization of information technology infrastructures in order to increase the effectiveness of management and administration. The project that we’ll running is implemented for the UIL manager and end user (students) in order to manage the practicum placement. Furthermore, UIL has managed Online Practicum Students Placement System (OPSP) since

______________________________________________TID3073 IT PROJECT MANAGEMENT Online Practicum Students Placement System (OPSPS) was originally developed as web based application with the effective user interface. Although many advances have been made in the website, the users (Students) still tend to come to the UIL computer lab for the practicum registration just for one day. This is the most things that we consider in order to running the PSPS project. The new OPSPS will cover the online registrations which require the student fill in the form just in a couple of day without need to come to the UIL computer lab. This is important to UIL manager and student because it can result the increased of profession and saved management time. There are more 1000 students need to register for practicum every semester. Each students will require the registration under their College whether College of Art and Sciences (CAS), College of Business (COB), or College of Law, Government and International Students (COLGIS). The new OPSPS can manage the student’s registration automatically without manual.

4.0 PROJECT OBJECTIVE Global Tech Corporation (GTC) is strategic goals include continuing growth and maximize the usability of the use of this system. The IT related project management will support these goals by increase visibility of the company expertise to the user by allowing

There are other several objectives and goals that have been focused and take into consideration when developing PSPS. They are as follows:Student’s Requirements  Created to fulfill university student’s requirements. High Technology  Realizing the need of that university to help student in enhancing their lifestyle, one interactive product will be produce complete with high technology characteristics specially design for university students so that they can easily manage practicum registration through online. Other functionalities  PSPS not only focusing on registration but to come up with much other functionality as well to provide a good and effective service to the students and also administrators. Global Tech provides a variety of IT services to assist in selecting a company for practicum, register online, and check status of practicum, store student’s data, practicum postponement, and also managing the practicum results.

Beneficial Project  The company focuses on finding and managing high beneficial projects and developing project performance and benefit to the UUM organization after the project is implemented. The mission of Global Tech is increase the usability if this

Replacement of Manual System  Our company plan and manage one IT project to UUM practicum department. It is because most of the student busy with their assignment, and therefore it’s difficult for them to use the manual registration. With the development of student practicum system they able to all practicum related issue through online.

5.0 PROJECT SCOPE 5.1 Project Justification GTC focuses on identify new and variety of functionality system for the students, where the interface is more compelling easy to navigate and useful for students. It designed simple and user – friendly. Practicum system is created with the creative Interface likes keep it simple and uncluttered with main menus containing sub-menus with more advance functionality. There are many kinds of element inside this system that convenient for student to understand what in the system and how to use it. In interaction style, PSPS is designed by menu selection system design which provides users with the list of items, select the one most appropriate to their tasks and user can observe the effect. Menu selection is chosen as interaction style in this system because is requiring careful task analysis to ensure that all functions are supported conveniently and use consistently. PSPS use simple menu selection where the user have little training and use the interface intermittently. 5.2 Project Characteristic and Requirements

______________________________________________TID3073 IT PROJECT MANAGEMENT A) Templates and Tool – The system will allow authorized users to download files they can use to create project management documents to help them to use project management tools. B) Search Feature- This key can help to find the students in the search menu. C) Availability- The system is accessible by students at anytime. D) Security- We can’t allow hackers to access the system and view the personal student details. Thus, we must have a strong security and maintenance to ensure that the database protected.

6.0 PROJECT STACKHOLDERS The following are stakeholders of the PSPS project:

Project Manager GTC project manager is Iwan Saputra. He will be responsible to ensure the entire team member performance. Other than that, he also will make sure that the resources and support enough throughout the project development. The most important is the decision making.



HR Manager/Finance Manager Faizal is our HR Manager who will be in-charge of all related with human resources management and financial issues. Moreover, he will handle task and salary for the project team as well as develops cost estimation and budget.



Technical Leader Develop the technical part of the project is the main role of this person. Patrick is the GTC’s technical leader who responsible to prepare user requirement, technical specification and project charter which covers timeline, user manual and so on. In

Quality Assurance Leader Khalid in charge and responsible in ensuring the test case or test script is in place and the application is being tested by user as well as report outcome from the activities. QA includes all of the activities related to satisfying the relevant quality standards for a project .Another goal of quality assurance is continuous quality improvement.



Project Governance Manager Parukutty will be responsible for this part in digesting and organizing progress reports throughout the entire project. Her knowledge in taking minutes of meeting is a plus point for her job.



Upper Management The lecturer and UIL is what we connected in almost time so we can stay focus on the project.



Product User Group The students will be the use the system so that we must close to the user requirements.

7.0 PROJECT METHODOLOGY The methodology we use is waterfall. This is because we do not make any maintenance in our project. It simply states that first one should think about what is being built, then establish the plan for how it should be built, and then build it. It forces a discipline process to avoid the pressures of writing code long before it is known what is to be built. The process forces the analysis team to precisely define their requirements. It is much easier to build something if it is known what that something is. Significant numbers of software systems have been built using this methodology. Many corporations owe their success to this methodology. The software we used in our project is Microsoft Office 2007, Adobe Dreamweaver and Adobe Illustrator. Other than this, we do give other approaches to gather user requirements and needs. Here, we provide questionnaire form for them to fill up and from the answer we develop the user requirements. Moreover, we also will conduct interviews with the UIL department to gather information about the current system and what are the constraints they foresee from it. This will help us in developing the system and to reduce errors on the system and produce a better system compare to the one which exist know. 8|Page

8.0 PROJECT CONTRIBUTION 8.1 Contribution There are several contributions by developing the Online Practicum Students Placement System (OPSPS). They are: Saving time and energy – The online system can be accessed anytime which can help students to save their time to queue up to get the registration form where we encounter this problem in the manual system.  Data Storage- Having an online registration the student’s data will be stored safely in the database and low possibility for lost of data which always happens in manual registration.  Practicum management- Easy for the practicum organization to store the marks and evaluations in the online system which can directly access by the UIL department to refer on the practicum results and add-in comments. 8.2 Project Constraint The project constraint that might happen in this project is:  Product cost Based on product cost aspect, the price might be a bit expensive because it using a high technology application. So, not all students can afford to buy this product. Sophisticated materials nowadays need a big capital to develop a quality product. Market price has to be suitable with the development cost.  Virus infection This product has other functions such as accessing wireless in campus and college area. It is a worrisome that it will expose to virus infection. It will disturb the system application and make the memory or storage of the product become limited. For example, the 9|Page

______________________________________________TID3073 IT PROJECT MANAGEMENT infected file will become corrupted where the file cannot be erasing and it will reduce the memory space.  Development process time To develop a high technology and sophisticated product, it need a long time to enhancing the quality. Besides that, it needs the combination of professional person that have expertise in many field like Science Computer Specialist, Technology and Multimedia and others.
