Project scope The reason for undertaking the project The reason I am undertaking this project is in order for me to be able to try and promote the H10 business. I have been asked my Mr Gilbert to create this project to try and gain enough profit from one hotel to be able to upgrade this three star hotel to a four star hotel. Once the hotel has been upgraded the profit which will be made will go towards building a new hotel in a new location. In this project I present the hotel in a way which will interest potential guests and make them want to stay in this hotel. The expected benefits to the organisation H10 will benefit from this project in a number of ways. First of all more guests will be staying at this particular hotel and therefore the hotel will be making more profit. Secondly as the hotel make enough profit the three star hotel will be made into a four star hotel, this will encourage a wider range of people to stay at the hotel and also encourage more guests to visit. Another benefit to H10 will be that as the hotel starts to make more profit H10 will be able to start discussing locations for a new hotel. Over all a new hotel will be a huge success for the business and will make H10 a group of over 40 hotels all over the world. The objectives of the project The objective of the project will be to create a presentation which will encourage more guests to stay at a particular hotel. The presentation will give potential guests a good insight as to what the hotel has to offer and will also offer a gallery of pictures which show a true likeness of the hotel as well as a video which shows many hotels in the H10 group. In the future if this project is very successful the same idea could be used to turn another three star hotel into a four star hotel. The H10 Company would then be able to build lots more hotels and become an even more successful business. I will list the objectives that I will try to meet in this project; I will then explain why these objectives are so important in making this presentation a success. 1. I will try to provide images that give a true likeness of the hotel. I will do this in order for the customers of this hotel to be able to see what the inside of the hotel is like and what the surroundings of the hotel are before they decide to visit this accommodation. 2. I will make sure that all information which I publish is true at the time of releasing this presentation. I will do this to make sure that I do not give any false information which could lead guests to believe incorrect information about this hotel. 3. I will ensure that the presentation is easy to navigate around. I will do this to make sure that everyone feels ease using this project. I would like every age group to be able to access this piece whether it is at home or via their local library. 4. I will make sure that when I give information about the company H10 I include information about other hotels; this will not only promote my chosen hotel but will also represent other hotels all over the world.
5. I will make sure that when I write about the area in which the hotel is located I mention possible bad points as well as the good points about the hotels location. 6. I will make sure that all of the features of the hotel that I mention in this presentation are correct and accurate at the time of releasing this presentation. 7. I will make sure that the review of the hotel that I use is a real review taken from a secure website, I will do this in order to make sure that it is from a real customer of the hotel so that other potential customers ill be able to relate to it. Key success criteria My key success criteria will outline the things that will make my project a success. I will outline this bellow and then try to meet these whilst completing the project in order to make it a success. • I will have a set date by which the project should be completed • A maximum cost for the presentation overall • How much profit the hotel will make • How much it will cost to refurbish certain parts of the hotel • How it will be distributed amongst travel agents • How long it will take after the presentation has been released for it to have its full effect. • The text that is in the project should be 100% accurate at the point of release. • The images used in the presentation should show a true likeness of the hotel at the time of release. The constraints The presentation which I will create should be able to run on most computer systems. It should be able to run on a standard windows operating system. It should be able to run on computers which are older as well as the new models. There will be a master back up of this presentation in order for me to insure that it can be uploaded in to many places and not be changed or slowed down. The purchase of flash will not be necessary in order for guests to be able to view this presentation. This presentation will be easy to use and will require no knowledge of computers in order for users to be at ease using this presentation, this will allow older users as well as new users to be able to use this system. Areas of risk There are certain areas of risk whilst I am doing this project. For example my client, Daniel Gilbert could fall ill at anytime in this project, he therefore may not be able to come to meetings and give me the go ahead for the project to carry on, it could therefore be put on hold. Another risk would be if I took ill, in this case I wouldn’t be able to carry on work on the project and work on the presentation would stop until I regained full health. Another risk which we may encounter would be if the computer which I am working on was to stop working. This would put the project on hold as I
wouldn’t be able to do any work on the presentation, I will therefore try to keep my computer in top condition. First of all I have Mr Bryan and Mr Deacon; these people will be my senior project manager and my assistant senior project manager. They will both be able to help to me complete my project by giving me advice and guidance when it comes to questions which I may have. I will also have Darminder Atker, he will be my peer reviewer and will be able to help me use flash if I get stuck, he will also be able to advise me on designs of the presentation. The other resources which I will have will be the computers which I will use whilst creating this project. The project’s stakeholders Faye Inglesant‐ Project Manager Faye is the project manger in this project; she was approached by Daniel Gilbert and asked to create a presentation in order to advertise a specific hotel. Faye is a student at Wyggeston & Queen Elizabeth 1 College where she is currently studding A2 Applied ICT. Daniel Gilbert‐ Client Daniel is the customer in this project; he gives the go ahead for each section and makes sure that the project is being completed the way he wants it to be. He will give the initial designs the go ahead and make up the specifications which Faye will then have to incorporate into the project. Mr Bryan‐ Senior Project Manager Mr Bryan is Faye’s ICT teacher and will therefore be around most of the time to make sure that the project is on track. He will also be able to give advice to Faye on how she can improve certain aspects of her project.
Mr Deacon‐ Assistant senior project manager Mr Deacon is the assistant to Mr Bryan; he will be available if Mr Bryan isn’t. He will be able to take up the role of Mr Bryan or sit in on meetings as well as Mr Bryan. He will also be able to advise Faye on the running of the project and give help if she had queries. Darminder Atker‐ Peer Reviewer Darminder will be able to give Faye advice on the initial designs and on how to create the project. He will also be able to help if she needs help using flash or any other program. Interim review points The interim review points which I will use will be meetings. I will have a meeting to present the initial plan and the scope document. I will then have 4 updated plan meetings. There will then be one last meeting for the end of project review meeting, this will be where we review the objectives and discuss whether the project has been a success. The project deliverables, i.e. the product (s)/services(s) to be produced Once I have finished the project I will give my client a copy of the presentation on a compact disc. This presentation can then be easily distributed amongst travel agents and other companies. Each time the presentation is sent out it will be sent on a CD, therefore when the company shows this presentation to a potential customer the travel agent can show this presentation via the internet or the disc. This Compact disc will also feature getting started with instructions and a brief user guide. The quality criteria that the deliverables must meet • The CD Rom should be auto play • The Presentation should load up within 30 seconds • The user guide and the getting started with instructions should be well laid out • The getting started with instructions should include, software needed, optimum pixels and operating system that the presentation will run on. • The presentation should be within the size limit of 30MB The target completion date The completion date for this project is 27/01/2009. By this date everything will be complete and ready to hand over to my customer.
