Minutes of project proposal meeting held at Wyggeston & Queen Elizabeth College on 25/09/08 at 8:45. Apologies for absence Daniel Gilbert sends his apologies for being absent, he had other commitments. Mr Gilbert was happy from the initial meeting that this project would be a success and so gave me the go ahead for the project at the initial meeting. 2. Introduce Project I presented the project to the meeting and explained what the project would be about and what the benefits of the project would be. During this meeting I spoke about the problem that H10 have and how I would plan to solve this problem. 3. Presentation of proposal for H10 hotels. I presented the power point presentation to the meeting, as I was doing this I explained each part of the project proposal. I also explained how I would manage the project and what I would do in order to make this project a success. During the meeting we also spoke about deadlines, it was decided that the final deadline for the project would be 27/01/2009. This will be the finial hand over date for the project. 4. Questions/Discussion on the project Whilst I was presenting this meeting the senior managers asked several questions. I will outline the questions and the responses below. Will you be able to complete all of your scenes on time for your deadline? Hopefully I will be able to complete every scene, if I run out of time whilst doing this project I will have to cut some scenes out of the presentation. I will discuss this with my client Daniel Gilbert if this should happen. How long have you planned for each scene? I have started to work on my project plan; once I have reached work on the prototype section of the project plan I will be able to estimate how long I have for each scene. This will then allow me to give a rough estimate about how long I have to do each scene. How Could This Project Save Money? This project could save money for the company by not only promoting the company but also promoting downloading broachers for the company online as well as them being printed. Customers will have the option of downloading or having a broacher sent out to them.
Have you got a deadline? Yes I have got a deadline; the deadline which has been set for this project is 27/01/2009. This will be the final handover date for the project. As I am running the project management part of this project as well as creating the flash presentation I will allow 19.5 weeks to complete both. This gives me roughly 10 weeks to complete my flash presentation. What actions are you going to undertake before the next meeting? I am going to create a scope document which will give the project in more detail. I will also have the initial plan ready for the next meeting. I will also create a new agenda for the next meeting. 5. Date And time of next meeting The date and time of the next meeting will be on 02/10/2008 at 8:45 at Wyggeston & Queen Elizabeth 1 college.
