Assistive Technology of Alaska (ATLA) in collaboration with various statewide partners in government, education, independent living, and vocational rehabilitation is proud to host the Midnight Sun Assistive Technology Conference to be held in Anchorage from August 5 - 7, 2009. The Midnight Sun Assistive Technology Conference will provide an opportunity to see first hand the latest in assistive technologies (AT), practices, and services for people with disabilities. The conference will serve as a unique opportunity for vendors, professionals, private individuals, parents, and service providers to exchange and gather information on the world of AT. Whether you are an AT supplier, service provider, or are just interested in seeing the latest in AT, you’ll want to join us in the land of the Midnight Sun for this one of a kind opportunity, all while visiting the beauty of Alaska.

Exhibitor Workshops Here’s your opportunity to showcase your products or services in an intimate setting! Apply to present an Exhibitor Workshop in which you can demonstrate the strengths and benefits of your products and services. These workshops are designed to give exhibitors an opportunity to attract a select audience and highlight products, services, or technologies in a setting free of the distractions. There are a limited number of spaces for this unique offer—and they will sell out fast—so, sign up today! Exhibitor Workshops will be available in (2) one-hour consecutive sessions and will be assigned on a first-come, first-served basis. The cost of each session is $125, full payment must accompany the application, and no refund will be issued if a workshop is assigned and then cancelled. Workshop sessions will be included and highlighted in the 2009 Conference Program Book, only if received by July 15, 2009. Otherwise, the listing will appear in the Addendum of the MSATC Conference Daily. Promotion of the workshop is the responsibility of the exhibitor. MSATC makes no guarantees as to the attendance and popularity of such workshops. Selling is prohibited in Exhibitor Workshop sessions! Workshop Guidelines

Workshops will be held in the Dena’ina Convention Center and will be scheduled in one hour increments, with 30 minutes for set up and removal of equipment. The meeting room will be setup in banquet style for approximately 15 people and will be equipped with a materials table. Equipment required, other than that which is specified here, is the responsibility of the exhibitor. ALL submissions received are subject to approval by the MSATC Committee. Workshop applications will only be accepted from exhibitors participating in the 2009 Exhibit Show. Please note: If an exhibitor cancels booth space, that exhibitor’s workshop will automatically be cancelled, and there will be no refund of the workshop fee. Promotion of the workshop is the responsibility of the exhibitor. MSATC makes no guarantees as to the attendance and popularity of such workshops. Selling is prohibited in Exhibitor Workshop sessions!

Rules and Regulations Governing Use of Space by Exhibitors

These rules and regulations form part of the Agreement for Exhibition Space made between the 2009 Midnight Sun Assistive Technology Conference and the Exhibitors. * * * *

Booths will be provided with (1) 6’ table (upon request), (2) chairs, (1) booth sign with up to two lines of text, furnishings or services other than those provided as indicated must be arranged for with the Decorator at the Exhibitor’s expense. The Exhibitor shall comply with and ensure that its employees and agents comply with all legal requirements imposed by a government body. Special building rules regarding the operation of oil or gasoline engines must be strictly observed, as must all other special building rules and regulations. Any Exhibitor desiring to hold drawings for trips, merchandise, etc. must advise the Conference in writing 30 days prior to the opening of the Conference. You must indicate that you will honor all local, state and federal laws. The Conference, sponsoring Associations or Dena’Ina Convention Center shall not in any manner or for any cause be liable or responsible to any Exhibitor or any other person for any injury or damage to any person, business or property in any way related to or arising on connection with the exhibition; and any and all claims for such injuries or damages are hereby waived and each exhibitor agrees to indemnify and hold harmless the conference, sponsoring Associations, Dena’Ina Convention Center and their directors, officers, employees and agents (the “Indemnified Parties”) against any all claims, liabilities, losses and expenses, including reasonable attorney’s fees, imposed on, incurred by or asserted against the Indemnified Parties caused by any act or omission of that exhibitor, or occurring within the exhibit space leased by that exhibitor or arising in connection with the activities conducted by that exhibitor in connection with the Conference. The exhibitors shall not place in the exhibit area any apparatus or goods that in any manner that may be objectionable to other exhibitors or to the spectators at such exhibition or that shall in any manner be dangerous or calculated to cause injury to any persons coming in contact with them or result on fire or damage to the building or exhibits. The Conference reserves the right to prohibit the display of any article that, in its opinion, is not in keeping with the nature and character of the Exhibition, or not in harmony with the other exhibits and the decoration of the building. In the event that the premises in which the exhibition is to be held is destroyed or damaged, so the exhibition cannot be held, the exhibitors have no cause or action of claim for damages or compensation against the Conference or sponsoring Associations. The exhibitors shall have the rights, subject to provisions herein contained, to arrange their exhibits within the space allotted to them in the manner best suited for displaying and demonstrating the goods manufactures or represented by them. No part of an exhibit shall extend outside of the exhibit space boundary. The exhibitors shall care for their own exhibits and take such steps and precautions as may be necessary to prevent injury or damage to themselves or their exhibits. The exhibitor shall, at his/her expense, provide insurance for protection against fire, theft, vandalism or destruction by any cause. He/she shall also provide workmen’s compensation and general liability insurance in an amount not less than one million dollars per occurrence. The exhibitors shall not assign or sublet any of the spaces granted to them as herein before set forth, without the prior written consent of the Conference. Neither this “Agreement for Exhibition Space” nor any booth or display space request or allocation will be binding on the Conference, University of Washington, or sponsoring Associations unless and until the exhibitor completes, signs and returns the “Agreement for Exhibit Space;” and issues payment in accordance with said Agreement, and said Agreement is executed by the Exhibits Coordinator (University of Washington) on behalf of the Conference. Exhibitor registration provides two exhibitor badges only. Additional badges are for the express purpose of staffing the exhibit, not for general attendance to the conference. Exhibitors requiring or desiring additional badges for their personnel may obtain extra exhibitor badges at a cost of $10.00 each. These will be available prior to the conference at the registration area at the conference site. Payment must accompany requests for additional badges. Badges requested at the conference will be on a cash-only basis. Exhibitor badges are good for admittance to the conference floor area only and will be valid for the duration of the Exhibition. Badges must be worn by exhibitors to gain entrance to the Exhibition area and at all times while in the exhibition area. Booth contracts will be date stamped as they are received. Reservations of booth space will not be accepted over the telephone, only by return of the contract with payment. Selection of participants and final booth assignments will be made by MSATC Exhibitor commitee. The committee reserves the right to refuse booth space to any exhibitor not in character with the exhibit theme, ASSISTIVE TECHNOLOGY, as well as to separate competitors and to ensure a balanced cross section of assistive technologies at the conference. Security for the exhibit hall will not be provided. The hall will be locked during non-exhibition hours. Convention Center staff will groom the exhibition area nightly. If an exhibitor cancels prior to July 1, 2009, a full refund, less a $25 processing fee will be made. NO REFUNDS after July 1, 2009.

IMPORTANT INFORMATION - PLEASE READ CAREFULLY

* The Dena’Ina Convention Center will not accept advance shipment of exhibit materials. All costs of shipping, drayage and storage, etc. are the sole responsibility of the exhibitor. Please contact Art Services North (907-279-7500) for further information about shipping and/or drayage services. * Exhibit load in and set-up will be 8:00-11:00am on Wednesday, August 5th, 2009. Exhibitors are prohibited from hanging or installing any items directly on Dena’Ina Convention Center walls. * Exhibit break down will be 3:00-5:00pm on Friday, August 7, 2009. Exhibitors shall remove all exhibits and any goods or property brought into the exhibit hall and leave said space both clean and free from all rubbish (including cardboard boxes) no later than 5:00pm (Alaska Standard Time) on Friday, August 7, 2009. Exhibitors will be charged a clean up fee for any boxes, rubbish, etc. left behind.
