FEC Parent Group Wednesday, June 24, 2009 5:00 PM – 6:15 PM

AGENDA Introduction of Parents History of Family Enrichment Center Always wanted to include parent involvement but there has not been a structure for it. Need a parent group to collaborate with one another on issues going on at the FEC, as well as build enthusiasm to enhance and support the FEC. Group is not the same as the workshops that are offered to the parents every few months. Need Mission Statement and Goals for FEC Parent Group Parent Involvement What are the goals of this group? 1. Fundraising – The Yavapai College Foundation raised $2.1 million to build center. The college supports this center as part of their academic environment. There is a $50,000 gap for the 08-09 fiscal year and anticipated $20,000 shortfall for the 09-10 fiscal year. We recovered some of the gap by raising tuition beginning July 1st. The Foundation has agreed to assist in a fundraiser to make $20,000. We need parents’ ideas to execute a plan for raising money. (i.e. silent auction, selling children’s artwork, making greeting cards, dinner, garage sale, etc.) 2. Social Networking Among Parents – Open the channels of communication to determine what impacts parents. Begin a Ning web site (linked off the FEC home page) dedicated to the FEC. It will allow parents to see what the Parent Group is doing, discuss issues with one another online, and push announcements out to parents via email. It was also noted that parents could use reminders of what supplies each classroom may need (baby wipes, Kleenex, markers, etc.) 3. Social Event Planning – Parents can plan quarterly social events for the children of the FEC. (i.e. Super Silliest Band, Picnics in the Park, etc.) 4. Volunteer Grounds Assistance – Assistance is needed to pull weeds, install shelves in sheds, and maintain some of the property at the FEC. This committee group needs to organize the time, place, and child care to assist in these matters. 5. Annual Program Evaluation – There are many rubrics and surveys available on providing feedback of the FEC. We need parents to assist in input on the survey and design an evaluation tool. (what’s working, what’s not working). This should be in an electronic format (such as surveymonkey.com). 6. Donations/Management of Donations – Assist in managing donations and/or supplies that come into the FEC. (Perhaps work with Social Networking Gorup) Discussion on Development of Parents Group to Work on the Goals of the FEC

ACTION PLAN The following steps should be examined between now and the next meeting. Items will be discussed at next meeting. 1. Determine Name of Parent Group Example: FEC Steering Group Email suggestions to [email protected] Compile suggestions and vote at next meeting (7/8/09) 2. Create Mission Statement for Parent Group Example: The purpose of the FEC Parent Group is to enhance and support the educational experience at the Family Enrichment Center, to develop a closer connection between school and home by encouraging parent involvement, and to improve the environment at the FEC through volunteer and financial support. Email suggestions to [email protected] Compile suggestions and vote at next meeting (7/8/09) 3. Determine Subcommittees and Chair of each FEC Parent Subcommittee 4. Determine Need for Bylaws of the Family Enrichment Center Reasons to have Bylaws: 1. Consistency. Rules and policies that have been documented in the form of bylaws can be applied consistently so that emotion and personalities do not get involved. 2. Efficiency. Your bylaws include procedures for decision making so we can conduct all its business according to the rules and as efficiently as possible. 3. Protection. Bylaws help protect the group from internal conflict, and financial risk. 4. Legitimacy. A strong set of bylaws is a sign that we take ourselves seriously as the FEC Parent Group. Bylaws give the members assurance of the mission, structure, and policies of the group. Bylaws contain: 1. ARTICLE I: NAME, DESCRIPTION, & MISSION 2. ARTICLE II: MEMBERSHIP 3. ARTICLE III: OFFICERS 4. ARTICLE IV: MEETINGS 5. ARTICLE V: FINANIAL POLICIES 5. Ad hoc Fundraising Committee will set up meeting with Yavapai College Foundation Lead initiative: Toni Jarnagin, Cami Suba Assist initiative: Doug Lange, Terra Schmidt, Lora Scott, Samantha Garcia, Marguerit deGoey, Jaime Hougard 6. Ad hoc Social Networking Committee will create Ning website for communication with FEC parents Lead initiative: Roberta Schamber, Jordana Dezeeuw Spencer Assist initiative: Stacey Hilton, Julie Garver, Lora Scott, Terra Schmidt

7. Ad hoc Donations/Management of Donations (Part of Social Networking Group) Lead initiative: Doug Lange Assist initiative: Marguerite deGoey 8. Ad hoc Volunteer Grouds Assistance Lead initiative: ?
