There are varied art forms that have been passed down through the ages. One such form of art is that of oil paintings. These have not been just those that are made on canvas, but also the cave paintings, and the wonderful murals. However, in over the last century there has been an escalation in interest in the arts. There are not on more artists, but also the demand and increasing art lovers and connoisseurs. There are a number of companies hosting and organizing events on a regular basis. These range from the small time private events to the large-scale international events. Yes, the large scales one do happen far rarer, but then the amount of returns they churn out is far beyond expectations. However, in the past there have been events that have also resulted in losses to the hosts and sponsors for varied reasons. But then, all said and done, event management is about organization and execution, and that is precisely where the money lies. Those in the field are paid for their these services. Today, there a number of people, who have entered the field because they realize the potential of the market where demand and supply is concerned. In fact, the most profitable aspect of this field is the need for creativity. And that is how and where one earns. There are people, who are part of this profession on an individual basis, or then as a company, having pooled in together resources –financial and manpower. The management of events calls, largely for coordination, from stage one. The first thing required is to get the orders for the event. This process is also known as pitching for an event. Usually, whether it is for small time events (birthday parties and weddings), or then for the larger ones assigned by companies (exhibitions and trade fairs), or then the international concerts; the event manager/company is asked to submit a project report, with the finances involved. On the basis of this is the assignment given to them.

Event management is the application of the management practice of project management to the creation and development of festivals and events.

Event Management involves studying the intricacies of the brand, identifying the target audience, devising the event concept, planning the logistics and coordinating the technical aspects before actually executing the modalities of the proposed event.

The recent growth of festivals and events as an industry around the world means that the management can no longer be ad hoc. Events and festivals, such as the Asian Games, have a large impact on their communities and, in some cases, the whole country.

More than 800 companies have forayed into events. Growth is therefore 30% annually. Recently, a study on Live Entertainment industry was done by Pricewaterhouse Coopers to study and evaluate the untapped opportunities in the Indian Entertainment Industry. The report unfolds the story of gradual growth in live entertainment shows and the consequential growth in the Event Management Industry. The positive side is the growing acceptance of professional event management in both public and private sector. Event Management involves planning, creatively organizing and executing an event – a product or brand launch, an exhibition, a concert, a show or even a conference. Event Management is the most intimate form of marketing. It is a controlled activity aimed at the target audience. It is also called 'experiential marketing', or ‘niche marketing’, where the environment is controlled to suit the needs of the product or the show being showcased. The fact is that the event management industry is approximately eight to ten years old in India and is still gaining momentum. The hype can be created through the print media, TV, etc. The venue has to be booked and properly organized for the show. Other outsourcing aspects like lighting, food, stage, stalls, electric equipment, ticketing etc are to be taken care of. Performers have to be booked in case of marriages or parties according to requirements. As events cannot be managed single-handedly, companies have structured their organizations to employ people in various departments required to organize a successful event. Event Manager The Event Manager is the person who plans and executes the event. Event managers and their teams are often behind-the-scenes running the event. The logistics side of the industry is paid less than the sales/sponsorship side, though some may say that these are two different industries.\ How ever to become an event manager in a reputed firm or company, one must have an MBA degree along with good public relations. Having a degree in public relations along with your Masters in marketing is an added advantage, as a PR graduate comes out with top-level media communications skills.

Include a manual and run sheets for all personnel. Event tool kit – consider things like blue tac for posters, blank name tags, first aid kit, torch and gaffa tape.

Promotion of, and communication at your event • • •

Organise media releases, photographic images for press usage on television, the Internet and in print. Have a photographer and/or video producer at your event. Get letterhead and invitations printed, newsletters and emails issued or mailbox drops.

Entrances and exits Give detailed instructions to your guests on how to get there, including public transport options and parking stations. Be aware of emergency exits, disabled access, location for unloading of equipment and equipment storage areas, ticketing, queuing, registration and name tags and event site map.

The End Pack up equipment and organise staff to “bump out”. Have a clean up plan in place. Arrange collection of equipment. Analyse research and assess budgets. Have a debrief to know what worked and what didn’t for next time. Send thank you notes. Good event management can create “buzz” and goodwill for your business, product or service and perhaps result in extra sales and profits. How to become an event manager Not so long ago, events management conjured up images of corporate hospitality or sporting events. Today, it is a vast and fast growing industry, with events managers involved in arranging anything from trade fairs to weddings and from conferences to street festivals. The types of employers are also increasingly varied, so whilst you might work for a single venue, you could also get a job with an events management or PR company dealing with a range of venues. "I thrive off the fact that one day I'll be having lunch with a celebrity to discuss her birthday party and the next day, I'll be arranging a West End launch," says Crissie Bushell, events manager for Eden Cancan. "It's glam, it's sociable and it's diverse." It wouldn't suit someone who values their sleep, she jokes. "It's definitely not 9-5 and it's often very hard work and long hours, particularly in the days leading up to the event," she explains. "But if you love this industry like I do, you don't really mind." It's all worth it when you see the event come together, agrees David Cunningham, events manager for Lewis Media Centre in London. "Just last week, we ran a Comic Relief press conference attended by the likes of Bob Geldoff and Annie Lennox and masses of broadcast media people. It was such a buzz," he says. Events managers are essentially the ambassadors for clients looking to organise an event, whether it be a charity fundraiser, dog show or party. "Once the sales team have confirmed the booking, we take over the coordination," explains Martin Litherland, acting events operations manager for the QEII conference centre in Westminster. "You have regular meetings with them to discuss their needs, then you sort out the venue and make sure the support services are all coordinated - such as catering and audio visual." Litherland entered the industry 12 years ago, having done a degree in psychology. "I realised events management would really suit my skills set. You have to be a multi-tasker because you're usually dealing with lots of events at the same time. You have to be able to communicate with people at all levels and you have to be someone who is a good negotiator and organiser. You also need to be a quick thinker and someone who can cope with tight deadlines." In addition, you need to be resourceful, imaginative and a problem solver. "After all, you'll be expected to learn how to source things where others can't and to work out how to meet clients needs, no matter how complicated." Being a good team player is key too. "In my team, there are seven events managers all working very closely together," says Litherland. It tends to be a young person's job, he admits. "A lot of people burn out after a few years because the work is so demanding. But others, like me, move into management and some set up their own businesses to cope for the growing demand for events of all kinds." For those that do leave, they generally find their skills are snapped up in other industries, he says, adding that many people find they miss events management so much that they return to it after a short break. Many people, like Litherland, enter the industry with an unrelated degree, whilst others move from PR or marketing. Degrees in events management are also becoming a popular route in. "The first degree started in the late Nineties," says Kevin Fields, senior lecturer in events and hospitality management at the University of Gloucester. "Prior to that, it had been taught as modules on tourism courses, but it became clear that there was a demand for a distinct discipline in itself." If you do a search on UCAS, he says, you'll find about 140 courses. "They are all very different, so it is worth doing some research before choosing one. For instance, you can do a pure events management course or couple it with something like marketing or specialise in areas such as arts or sport or fashion." Admissions tutors look for enthusiasm, as well as people who have thought about why they are attracted to events management. "For many, it's the satisfaction of working towards something tangible. A lot of us do jobs in life where it's a long time before you see what you've achieved, but with events management, it's not long before you're at the event thinking, 'I made this happen'," he says. Even if you have no desire to move into management, there is room for progression, he says. You can simply move onto bigger and more complex events. Think Robbie Williams concerts, Labour Party Conferences and the Olympic Games. When choosing a course, make sure you find a university with a good track record, advises Fields. "Some universities have come to it relatively new and struggle to attract the type of staff they should - those with a combination of theoretical knowledge and industry experience. It tends to be the universities with the best reputation and who have run the course for a while that have such teaching staff on board." You should also look at course content. "At first glance, courses appear to be very similar, but the content is worth exploring in some detail to make sure that it devotes quite a bit of time to areas like financial acumen and creativity. After all, you can run the best event in the world, but it's no good if you can't keep within a budget or it has no sense of innovation about it."

Whatever route people choose, they should be prepared to start at the bottom and remember that any relevant experience is worthwhile, even bar work or waiting on tables. Young people should also take any opportunity they can to gain experience of organising events such as a university ball, as well as gaining work experience with an events management company. "You might have the best degree in the world, but a good personality and experience matters more to me," says Caroline Harms, head of events at the Roof Gardens in Kensington. Sam Jameson, director of Organza Events, which arranges events for the likes of Big Brother and Mac Make-up, agrees. "It's an incredibly competitive industry, so you need to make sure you stand out." To get ahead quickly, says Alix Francis, head of events at marketing agency JJ, people should learn how to visualise events quickly and make sure they always have attention to detail. And perhaps most importantly of all, they should never rest on their laurels. "Events are essentially a performance," she explains, "and you are only ever as good as your last one." CASE STUDY ONE Chris Zachar, 31, is operations manager for Grass Roots Events "My role mainly involves client relations and seeing a project through from start to finish. The variety involved in this is incredible, especially as we deal with anything from incentive travel to meetings and conferences. Every day is different, every destination is different and every person you deal with is different. I also enjoy the buzz of putting together an event, although it's not a job for people who are afraid of long hours and a sometimes pressurised environment. My advice to anyone wanting to go into events management is to get as much experience as possible, even if it's voluntary, and think carefully about where you apply for jobs. There are lots of different event management companies with specialisms such as incentive travel or team building. Once you've thought about which one appeals to you, impress the interviewer with the research you've done about the industry and why this particular company. My degree is in media studies and I was lucky enough to join a small agency, which did a lot of sporting hospitality and incentive travel. I started off doing research and loading lorries and I progressed from there. Grass Routes is the third agency I've been with and I'm now in a relatively senior position." CASE STUDY TWO Adam Pollington, 29, is an events manager for Warwick Conferences "I'm responsible for the management of events at three purpose- built, dedicated training and conference centres, situated at the University of Warwick. I manage the logistics of each event and venue requirements to match and exceed client expectations. I'm also responsible for managing quotes and ensuring the highest level of customer service throughout the venues, and I'm the account representative for key clients. I love the way that each project I work on evolves. I enjoy the variety of clients too. At Warwick, we deal with large firms who know exactly what they want through to people who are desperate for ideas, through to academics who expect nothing but the best. My degree is in leisure management, but I'd say attributes are just as important as qualifications. You need to have brilliant customer service skills, the ability to be pragmatic and to respond to change. You need to maintain composure under pressure and interact with people from all different walks of life. My message to careers advisers would be to really promote this industry. It's increasingly lucrative and the opportunities both nationally and internationally are amazing. My work in previous roles has taken me to the USA, Poland and Russia among other countries. Trust in what you do, and get as much of your material out there as you can."

Formerly sequestered in advertisement, mass media or public relations, 'event management' is catching the attention of companies and graduates alike. It does not have a textbook definition and to try and define it would mean to borrow heavily from mainstream management and media concepts. It usually consists of conceptualization, planning, budgeting, and execution of below-the-line activities such as exhibitions, stage shows, fashion or rock shows, music concerts, celebrity appearances, fashion or charity shows, conferences, weddings, product or brand launches, and sports shows to name few. "Events begin where the glamour ends," Brian Tellis, director of Fountainhead, an event management company. "EM is the most intimate form of marketing. It is a controlled activity aimed at the target audience." According to him, events have always been there. Any form of event management as a profession was mostly meeting, organising and project planning. "Today it is much more professional and more organized a sector than, say, a decade ago. Event management started the moment multinationals started pouring in when our markets liberalised in the 80s," says Tellis. Kunal Bhandula, director of Opus Planet, says it is difficult to pinpoint exactly when event management broke away from mainstream course and started carving a niche for itself in the industry. "I think it was around 1996 that it rapidly gained importance as a professionally managed niche of marketing," he says. Reaching out to customers more intimately "Companies realise that through events they can reach out to customers more closely, more intimately and it is cheaper than mainstream or conventional forms of communication, say television or print," Kunal said. Tellis calls it 'experiential marketing', or niche marketing, where the environment is controlled to suit the needs of the product or the show being showcased and the output being far tangible that that of the conventional media. An event is a niche communication medium that allows companies to reach their target audience directly with tangible outcomes, which are not possible through conventional forms of advertisement. "Through events, we can select and reach out directly to our target audience, we can control our budgets and at the end of the event tangibly analyse if the event was a success or not," says Tellis. "This is quite difficult, say, in mainstream communications, where the results are intangible and we are not sure who is seeing it and whom the communication reaches out to." Providing a plethora of services

Companies approach event managers with a vague idea and a budget in mind. It is then entirely up to the event manager to develop and improvise and turn the idea into a success. Once the idea and the budget are settled, event managers begin coordinating with sponsors and performers, arranging travel, security, and accommodation for the stars if there is a show. They also have to supervise ticket and stage design, arrange music, sound and lights, and look into those numerous details that go into making an event successful. Security is another big issue that is dealt with by event managers. In India, shows usually have to end before midnight at the latest, even earlier in some places. Event managers have to ensure that events conclude on time, and in case they stretch beyond the permitted hours, they have to handle the police and the local bureaucracy. Bad security could ruin an otherwise well-organised event. Unwanted guests, stampedes, fights, and harassment of performers are a few things event managers have to tackle during public events. Event management spells big money But what are the numbers that is making the industry sit up and take notice? "We are talking about Rs 3,300 crore (Rs 33 billion) only this year," Tellis said. "Companies are focusing more and more into events, as the returns are more specified than elsewhere. With a tightly packed competitive environment, nothing like events to give boost and not weigh on the purse either." Live entertainment is also another factor for the increase in events and the moolah that they rake in. Television channels are looking towards programmes based on live events like awards shows, pageants, rock shows, musical programmes based on Bollywood churn-outs, et cetera, to boost their ratings and increase as spends. The event management industry is expected to grow at an astounding rate of 30 per cent per annum over the next five years. "I am sure it will reach Rs 11,600 crore (Rs 116 billion) in 2006," says Tellis. Segments like music, culture, sports, fashion shows, Bollywood-based shows and award ceremonies are emerging as the main growth drivers in the sector. "Sports management is not very well known in India. Cricket being the dominant sport, event management usually centers around it," says Rehan Shaik, group consultant in Advent, a Lintas event management company. He says event management in sports is usually long term and something, which companies in India do not understand, and even if they are interested it is usually related to cricket. "For example, Castrol withdrew its support to the Indian Hockey Federation," he said. So are there any courses for EM? He believes that with new and more professional approach to event management, more students will take up sports management. In Mumbai, event management is offered as a one-year part time diploma for undergraduates and post-graduate diploma for graduates. The classes are held in the evenings. Three institutes provide specialised training in event management, two of which have branches in other cities as well. One-year-old and growing is the Bandra-based Event Management Development Institute, situated in the IES Management College building in Bandra, northwest Mumbai and has branches in Pune, Kochi, Bangalore, Hyderabad, and Coimbatore. "EMDI aspires to deliver quality knowledge to candidates ion the intricacies of event management. We researched extensively for a year before we launched the institute," says Nowshir Engineer, joint director of the institute. "Students are selected based on their performance on written tests and interview. We try to ensure that only those who are really keen on the field are selected and not in it for the glamour," he says. But isn't glamour part of the reason why events are so exciting? "Its one of the biggest problem we face. Half the time we spend trying to tell people that the glamour is what the audience sees as a final product. Event management is 99 per cent hard work," says Jimmy Nagdev, joint director at EMDI. Tellis and Kunal also agree. "I like to tell the young guys out there who are aspiring for this field that if you think its all glamour and glitz and you will be partying all the time, then better forget getting into event management," says Tellis, who is part of the academic council in EMDI. "One has to remember that to become a successful event manager, you may need to put in 365 days a year without even a Sunday off," says Kunal, grinning broadly. "The candidate should have commitment and should be interested in the field," says Engineer, joint director of the Event Management Development Institute. "It's not like a time-pass course. The person should be very serious and mentally prepared to withstand the pressures involved." National Institute of Event Management is four years now and it's founder, Professor Hoshi Bhiwandiwalla, says it was the first to start offering event management as a separate course and a career option. "I got the idea to start a course in event management because India has vast pool of talent and knowledge to conduct events," he says. "There is so much resource and demand in the market for events. Foreign courses existed, but there remained the gap between our culture and foreign culture." He said the foreign syllabus had to be modified to include Indian culture, bureaucracy, mentality and the huge need to create awareness of event management as a career of its own. It has branches in Pune, Hyderabad, Ahmedabad, Bangalore and Delhi. NIEM also selects candidates through an entrance test and interview. The International Institute of Event Management, also started four years ago, is the only institute with recognition from the SNDT Women's University in Mumbai. "Ours is the only institute in Mumbai that offers a one-year diploma course in even management that is recognised by an university," says Kavyal Sedani, administrator and counselor. "There is no entrance test and candidates are selected through an interview and counseling session." All the institutes maintain that they have the best faculty and the most advanced course materials to equip the students. What's the study programme like? The curriculum is usually a mix of theory and practical. Theory usually borders around management subjects and related subjects like accountancy, law, and marketing. Students are also sent for hands-on training in event management companies and organisations. They are introduced into the basic theoretical aspects of management, marketing, law, accountancy, costing, communication and media, but in relation to handling of events. Event objectives, revenue generation, sales & marketing, entertainment & celebration, communication awareness brand equity are some of the topics that are covered. Skill sets related to scripting, set designing, television production, direction, graphics, operations, legal, backstage management, venue management, construction, technicals and celebrity management are taught to the students. "The present bunch of managers are totally clueless about the technicalities while conducting events. So they have to depend on the technicians, which is not good when you are working in time constraints," says Jateen Rajput, director of Consumer links.

Jateen is also part of the academic council in EMDI and he equips the students with the technical know-how of stage, lighting and equipments. "You do not need to be an engineer or a science graduate to learn the stuff. All you need is bit of logical reasoning and for the rest I am there," he says laughing. What about placement? The faculty is usually from the industry, which also ensures that almost all the students are absorbed by the companies. The pay is directly proportional to the amount and quality of the event managers. "Those fresh out of the institutes can earn anywhere between seven to 10 grand (Rs 7,000 to Rs 10,000) and the figure just multiplies if one is good and hard working," says Kunal. "Institutes should try and ensure that students are associated with any event right from the start, that is from the planning stage itself," says Tellis. "That will give them a broad idea of how events actually turn out from idea to execution stage." IIEM prefers graduates for its course. "They are more serious about their careers," says IIEM's Sedani," and want to earn money. So training them is less of a hassle. And with our curriculum and training, they are able to start out on their own." Engineer, however, says EMDI pushes its students to work in established companies or organisations under experienced hands before launching on their own. "One can earn a lot in this career, but it involves back-breaking work. There is no stipulated amount and earnings largely depend on the success of each show or event. The event management organisations usually get a commission of 15 to 20 per cent of the total amount spent on organising an event," says Engineer. There are as many girls as boys in this field. But is the physical work and late nights involved, a deterrent for women? "I don't think so," says Dilshad. The third-year B.Com student joined EMDI as she was keen on handling and organising events. "It does make a difference being a woman, as men tend to take advantage and it become difficult to interact with workers and labourers. But then that's what it's all about. No one said it's easy, thought the final output is a sheer thrill." "We can do shows as good as the Oscars, if we are provided the infrastructure and the facilities," says Kunal.
