English Correspondence Letter Samples The Form of A Letter The form of a letter is very important. If a letter has a correct form, It will be appealing to the eye and easy to read. Normally, it has 5 parts : 1. Heading 2. Salutation 3. Body 4. Closing 5. Signature

Heading The heading of a letter gives the writer’s address, street, state/province, and country ( if needed ), and the date. It normally goes in the upper right-hand corner of the first page. The following is the heading of a letter. 1234 Woodland Ave. Puyallup, Washington 98371 January 6, 2008

Salutation The salutation is the greeting. It is usually followed by a comma in personal letter. It begins at the left-hand margin. The following is the typical salutations in friendly letters. Dear Mother, Dear Aunt Kim Dear Rachel, Dear Professor Ryder

Body The body of a letter is the content of a letter. It should have introduction, development, conclusion. The ideas of the letter should be organized in paragraphs.

Closing Each of the following closing has slightly different meaning. You can choose one that best conveys your thoughts. Only the first word of the closing is capitalized. It is followed by a comma. Sincerely, Your son/daughter/niece/nephew/etc., Sincerely yours, Affectionately, Yours, Fondly, Yours truly, Warmly, Your friend, With love,

Signature Sign the name that the person being addressed is familiar with. Do not place any punctuation after signature. Business Letters Parts of A Business Letter 1. Letter Head A letter head consists of a name and address of a firm that sends a business letter. It sometimes consists of telephone number, address of

2. Date Line It consists of date, month, year or (month, date, year). If there is no Letter Head, make sure you put the name of the city before the date line. Examples : 23rd November, 1999 or November 23rd, 1999 28 July, 1999

If there is no letter head in a letter, you must write a full address of the sender, example : 115 Jalan Sukaindah, Bandung June 28th, 2009 3. Inside Address It usually consists of 3 or 4 lines, : • The name of a person or the firm you are writing to. • Number, the name of the street • The name of city ( A country when applicable) Examples : Mr. Prana Pramudya 115 Jalan Setia Bandung Mmes. Robert Thompson & Audrey 112, Downing Street London E.C. 2, England 4. Salutation British Style Examples:

Dear Sir, Sir, Dear Sirs, Dear Madam, Mesdames, American Style Examples: Dear Sir: Sir: Gentlemen: Dear Madam: Mesdames: If you know the person you are writing to, you can use the style below which is more personal or informal: Dear Mr. Herdianto, My dear Madam Tiara, 5. Subject Line Subject Line is usually capitalized and underlined: Examples: CHEAP CRUISE TO SCANDINAVIA SCANDINAVIAN VACATION 6. Body of the Letter Body of the Letter consists of 3 paragraphs : • the opening paragraph • the content paragraph • the closing paragraph 7.
