ANIMANIA 2004 CODE OF CONDUCT FOR ARTISTS [ L A S T U P D A TE D 2 3/ 05 / 2 0 04 ]

GENERAL INFORMATION All Artist Staff present at the Convention must comply with the Code of Conduct for General Public.

Allocation of Space/Area Artist space shall be assigned with the discretion of Aurora Entertainment Pty Ltd (hereinafter referred to as “the Organisation”).

Insurance It is the Artists responsibility to have public liability insurance to cover themselves. A copy of the insurance policy must be forwarded to the Organisation within five (5) workings day after payments have been received. If the Artist does not hold/have current public liability insurance, please fill out the declaration form accordingly to indicate this.

Damages Any and all damages caused to the Venue whether intentional or unintentionally inflicted by the Artist shall be passed on to the Artist. The amount will first be recovered from the Security Bond. Any outstanding amount above the Security Bond will be billed to the Artist. The Organisation will advise the extent of the damage after consultation with Venue Management. The Organisation reserves the rights on the way the damages are recovered from the Artist.

Table Configuration They are to be left as they were found. Any rearrangement will result in obstructions to the emergency exit routes. Under no circumstance are they to be rearranged without first consulting Management.

Reservations / Payment To reserve Artists space, you must contact Management to confirm availability. DO NOT send payment unless you have spoken to Management and reserved a space. Reservation date starts from the signed date of the “Acceptance Form” in the Artist Pack. After reserving space, we will hold your reservation for ten (10) working days to await payment. If payment is not made within that time, the tables will be released to the general pool. All Cash or Money Orders / Bank Cheques must be made out to “Aurora Entertainment Pty Ltd”.

Refund Policy Should Artists find they are unable to attend, cancellation of the booking can be arranged by contacting the Management

Artists will receive a refund of half of the investment should a replacement Artist be found for that space. Should a replacement NOT be found, the Artist will forfeit the full investment. The Security Bond shall be refunded to the Artist in either scenario. Please allow four (4) to eight (8) working weeks for the Organisation to process a refund cheque. Artists who cancel give up any claim or reservation to the cancelled space. Any Artist space not claimed by NOON on the first day of the Convention will be considered forfeited and will be reclaimed by the Convention. The Artist in question will forfeit all Investment and Security Bond paid. Should any Artist not advise Management that they are no longer able to attend the Convention will automatically forfeit all Investment and Security Bonds paid.

Signage Policy Not limiting to decorations, signs and banners may not be taped, nailed, tacked, stapled, or otherwise fastened to ceilings, walls, painted surfaces, or columns in Sydney City Town Hall (hereinafter referred to as “the Venue”). No holes may be drilled, cored, or punched in the Venue. No sand, glitter or other miscellaneous decorations are allowed in the Venue. The Artists may display / attach their own signage, however, only strictly within their allocated Space and to the authorised objects. Any Artist found violating the signage policy will have their Security Bond forfeited and will be issued with a warning. Any further violation will result in the immediate removal of the violating party and all fees paid will be forfeited. If Artist are unsure as to what constitutes as acceptable signage, please consult Management.

Last Minute Registration Artists who sign up less than eight (8) weeks before the Convention must be aware of the following. The Artist package will have a premium of fifty (50%) added to it. The Security Bond amount will stay as it is. The Artist must pay for Artist space with cash, money order, or bank cheques, NO exceptions. The Artist will be assigned space at the discretion of the Organisation.

Suggested Procedures for Artists’ Protection of Valuables The Organisation will be providing as secure an Artists’ Area as possible. We will not provide bag check due to our venue, but we continue to have Security Staff monitor the Artists’ Area. Please take extra precautions in the placement of your merchandise and cash to guard against the possibility of theft. Artists are responsible for their own property, merchandise and money. Every due care and precaution has been taken by the Organisation to ensure that valuables are protected, but under no circumstances will the Organisation or its personnels be liable for loss or damage including but not limited to merchandise, equipment, or revenue as a direct or indirect result of Artists poor management.

Artists’ Area Hours Attendees will be allowed access to the exhibition hall only during opening and closing hours. We require that you be present at all times during these hours.

Convention hours will be advised closer to Convention date. Please note that Artist MUST setup on Saturday before the opening of the Convention, no exceptions. Failure to comply will result in the Artist forfeiting the Security Bond.

Artists’ Area Setup Before bringing vehicles around for unloading, Artists MUST check in with Management. At that time, passes will be issued and Artists may unload. It is the Artists responsibility to contact Management and to pre-arrange a suitable drop-off time. You are strongly encouraged to bring your own handcarts, as there are none available for your use within the complex. Please note the there are time restrictions in the dock area, please plan to arrive in plenty of time to unload your merchandise. To expedite this process, you may wish to package your merchandise or use containers that are easily stackable. All goods MUST be brought in via the Loading Dock and under no circumstances is it to go through Frontof-House entries.

Artist Passes The Artist Package has indicated that a pass will be issued to the Artist. The pass issued to Artists will be treated as Public Area Access Pass with some Back-of-House Access granted, these being the Goods Lift and Loading Dock. Back-of-House Access privileges are activated ONLY during bump-in and bump-out times Artist passes must be worn at all times. Passes may not be sold, loaned, or otherwise transferred to persons who are not you. Identifications will need to produced upon request and spot-checks.

Display Guidelines Each work of art must be clearly labeled on the back with the artist's real name and contact address. Please do not put nicknames or alias. There will be backing boards for the hanging of 2-dimensional artwork. There will be tables for the displaying of 3-dimensional works. Please provide your own protective cases if necessary. Animania will not be responsible for your models falling over. Display at your own risk. Fabric items such as scarves, quilts, and T-shirts may either be rigged for hanging or mounted for table display. Art Staff will be on hand to assist in the hanging and display of all artwork if the Artist needs assistance. The Art Staff - to accommodate the needs of the Art Show, may rearrange Artwork at their discretion. All submissions must be of an artist's original production. Art Show will reject artwork, which appears to be traced or direct copy from an already existing piece. If it is determined by the Art Manager that the artwork is a plagiarism then it will be removed for the duration of the Convention.

Registered artists not attending the convention can designate an agent to display their work. Artists may not submit works by another artist unless they are agents authorised by submission by way of written consent. Normal safety regulations must be observed. This means no whirling or spinning blades, emission of toxic odors or fumes, explosives, radioactive materials, or biohazards.

Adult Materials Policy ANIMANIA 2004 is a family friendly event. We ask that Artists, particularly those with adult merchandise, please keep this in mind when setting up. The acceptability of adult displays are at the sole discretion of the Management; failure to comply with warnings will result in removal from the Artists’ Area, the revocation of Artist status and forfeiture of Artist Fees and Security Bond. The public showing of adult animated or live film at the Convention is strictly prohibited. Adult media can be sold, as long as appropriate cloaking device is in place to prevent access by underage eyes. Any form of child pornography is absolutely prohibited and will be dealt with severely. The offending Artist will be immediately reported to the authorities. Furthermore, the Organisation reserves the right to pursue legal actions against the said Artist. It is recommended that any adult content related materials be stored underneath the Artists’ table and only brought out upon request of the customer. Any Artist found selling adult media to non-legal (18-) aged attendees will be immediately ejected from the Convention without refund and forfeit refund rights to the Security Bond. The proper authorities will be contacted. It is the Artists responsibility to ascertain whether the buyer is of legal age (18+).

Requirements from the Venue 1. Decorations, signs, banners, etc. may not be taped, nailed, tacked, stapled, or otherwise fastened to ceilings, walls, painted surfaces, or columns in the Venue. 2. No holes may be drilled, cored, or punched in the Venue. 3. Parking in the loading dock, service drives of the Venue, or even employees’ parking area is prohibited. Violators will be towed at their own expense and risk. 4. All freight and exhibit material must enter the Venue through the Loading Dock. The Venue is requesting Clubs to load and unload through the Loading Dock. Special considerations can be made, please contact the Management for further details. 5. All fire, safety, and building regulations must be strictly followed. Particular attention should be paid to the prohibitions against propane, acetylene, and other flammable materials. 6. Clubs are responsible for the removal of all materials at the conclusion of the Convention. The table area used by the Club must be cleaned. 7. The Venue prohibits the use of normal tape on their walls and floors. No tape may be used on painted or portable walls. 8. No sand, glitter or other messy decorations may be used at the Venue.
