ANEX 12 – SAMPLE OF OUTREACH MATERIALS

OUTREACH AND BUILDING NETWORKS Global Village Networking Zones Networking Zones are areas in the Global Village where people working on the same issue, and/or from the same region, can gather to share skills and build their networks. Examples of Networking Zones at AIDS 2006 included: Aboriginal/Indigenous Peoples African African/Black Diaspora Caribbean Children Complementary Therapy/Traditional Healers Eastern Europe Gay and other MSM Harm Reduction/Drug Users Latino Café

LGBT-Queer Middle East Multi-Faith New Prevention Technologies People Living With HIV/AIDS Prisoners Sex Workers South Asian South East/East Asian Women Youth Pavilion

The Networking Zones are used to: • encourage networking between and among various stakeholders; • provide organizations with a platform to get key messages across to a wider audience; • provide organizations and their colleagues a space in which to mobilize themselves and to plan around their broader involvement in the Conference; and • support the emergence, organization and development of new (and strengthen existing) networks around issues, populations and/or regions. Networking Zones were a highly successful part of AIDS 2006. Many people say that where as in other parts of the conference the learning takes place in lecture halls with slides, Networking Zones allowed community people to learn by interacting and sharing skills with others with similar interests. It is anticipated that Networking Zones will be a part of the AIDS 2008 Global Village. Use the Global Village on-line application forms opening in December 2007 and closing in February 2008. TIP SHEET Global Village applications For a general description of the Global Village, click here. How to apply: Global Village, Youth and Cultural Programme applications are on one form. The application form is available online but if you do not have consistent and reliable internet connection, download the Word document form from the website, complete it and fax it in. Make sure you send in a complete application and don’t forget to include supporting documents/pictures. Global Village sessions should be interactive and include audience participation. Tips and advice/Things to keep in mind: Go to the AIDS 2008 website and look through the information about the Global Village and Cultural Activities and the opportunities that exist for you. Look through the application form before you start. Download it and print it if you can. Read through the instructions carefully and make sure you follow them. If you have questions, use the contact details provided with the application to direct your questions. Go the AIDS 2006 Virtual Village (have to make sure it is active ) and check the sessions, booths and Networking Zones to see what happened at the previous Global Village (note that not all activities will be the same at AIDS 2008). Connect with others in your town, city, country or globally who work in your field who you think might apply to the Global Village. Joint applications are stronger and show how communities can work together. Don’t leave your application until the last minute. The sooner you send it in the better. Sometimes it is difficult to link to the online application form in the last 48 hours before the deadline and you might miss it. There will be a large number of applications being submitted. Plan your application well in advance of sending it. Remember that being accepted does not guarantee that the Conference will support your travel or registration to the Conference. Consider fundraising now to help support your trip to Mexico City.

TIP SHEET Cultural Programme Applications Cultural activities are an important part of International AIDS Conferences and showcase culture as a critical response to HIV/AIDS. Usually cultural activities are held in the Global Village or in the city outside the conference venue. Typical cultural activities include performing arts (music, theatre and dance); film and video; literature; and the visual arts. Some conferences have chosen to focus on the culture of the region where the conference is being held whereas other conferences choose to showcase international culture. It will be up to the Cultural Programme working group to decide what the emphasis will be in Mexico. How to apply: When the Cultural Programme Applications are available on-line, go to the AIDS2008 website www.aids2008.org and read what types of cultural activities the conference is inviting applications for. Visit the AIDS2006 website http://www.aids2006.org/subpage.aspx?pageId=363 and the AIDS2004 website http://www.aids2004.org/subpage.aspx?pageId=222 to see what sorts of cultural activities were presented in Toronto and Bangkok. Consider joining with others in your region in making your submission. Joint applications are stronger and show how communities can work together. There will likely be a large number of applications submitted. Plan your application well in advance of sending it. If you can, print up the application and fill it out manually before you complete it on-line. Tips and advice/Things to keep in mind: If the application process allows you, consider sending in examples of your work (pictures, eg tapes & CDs, web addresses) to allow the reviewers to better understand your work. TIP SHEET Youth Activity applications A wide range of Youth activities happen before and throughout the whole Conference. Youth applications to the Global Village or Cultural Activities Programme should be submitted using the Global Village and Cultural Activities Application Form – there will be a box to mark your application as “youth”. Global Village sessions should be interactive and include audience participation. With applications for abstract sessions (presentation and poster), skills building workshops, affiliated events, satellites and exhibitions it is best to have the word “youth” in the title and the text of the application. The scholarship application form will ask for your age. Scholarship applicants need to be at least 18 years of age at the start of the Conference.
