AIESEC Maastricht Full-time and Part-time Board functions

The History of AIESEC In 1948, seven economics and business students of Western Europe came together in Stockholm. They founded of what has grown out to be the largest international student association of the world, AIESEC. AIESEC is an acronym for Association Internationale des Etudiants en Sciences Economiques et Commerciales: an organisation set up for students in economics, business and related studies. Nowadays, AIESEC is no longer strictly an economics and business related organization, it is open for students of every study. With the idea of recovering the good relations between European countries, the founders of AIESEC aimed for peace and fulfilment of humankind potential. They believed they would achieve this goal by giving individuals the experience of living and working abroad themselves. By giving people cultural experiences, they would create cultural understanding. Currently AIESEC has grown from 7 to 110 countries. AIESEC has become the largest student association in the world, with about 28,000 active members at this very moment. It forms an international platform for young people to discover and develop their potential to provide leadership, having a positive impact on society. International structure of AIESEC AIESEC International is the global umbrella organization of AIESEC, located in Rotterdam. Eighteen people of different nationalities work fulltime to coordinate all global AIESEC activities and communicate between the 110 countries in which AIESEC is present. AIESEC Netherlands is one of the 110 National Member Committees (MC) and is located in Rotterdam as well. AIESEC the Netherlands is responsible for coordinating and supporting the Local Committees of the Netherlands. Seven students work fulltime for a year to keep the organization running. In the Netherlands, AIESEC is located in 10 university cities: Amsterdam, Groningen, Leiden, Maastricht, Nijmegen, Rotterdam, Tilburg, Twente, Utrecht and Wageningen. AIESEC Maastricht exists for 23 years now. The team of AIESEC Maastricht consists of approximately 25 board members, working full- or part-time for either exchange or career related activities. Structure of AIESEC Maastricht Everybody working for AIESEC Maastricht makes part out of the Local Committee (LC). At the moment, these are 25 ‘ members’ . Five of them form the daily executive board (EB) of AIESEC Maastricht. In the past, only the President and Vice-president had full-time positions within this board. However, since November 2008 an executive board is formed with five fulltime members. All are responsible for their own tasks and lead the teams for which the part-time members work. The following image should help you understand the structure with which AIESEC Maastricht is organized:

Personal Development and Opportunities Becoming active within AIESEC provides you with the unique opportunity to develop yourself both personally and professionally. Companies such as Procter & Gamble, Randstad, Vodafone, De Baak, and the Boston Consultancy Group organize trainings together with AIESEC on a national level. Depending upon the team you are in, you will be offered trainings which help you to improve you work and personal skills. Moreover, on a local level, AIESEC Maastricht cooperates with AC&T Consulting, providing us with trainings such as time management and 360° feedback. AIESEC the Netherlands offers you twice a year two days of national congress. At these congresses, 250 active AIESEC members come together to follow professional and personal trainings, to work on the strategy of AIESEC the Netherlands as a member committee of AIESEC International, and to get even more motivated for AIESEC. Furthermore, it is also possible to attend one of the more than 350 international congresses organized, which we aim to do at least once. Much time is invested in the development of AIESEC board members. You will learn to solve problems and carry responsibility independently as well as within a team. You have specific, function related tasks, but you are also involved in activities of the others. In conclusion, your year within AIESEC provides you with a wide range of different experiences and challenges. Not to forget about the responsibility of social support for the foreign trainees who will be spending their time in the Netherlands: get to know different cultures and learn from each other.

Executive Board The Executive Board consists of 5 people working full-time for AIESEC Maastricht: President, Vice-President, Outgoing Exchange Coordinator, Incoming Exchange Coordinator and Make a Move Coordinator. They are mainly responsible for the development of AIESEC Maastricht as an organization and they coordinate all the projects AIESEC offers. Main responsibilities: -

Keep track of the continuity of AIESEC Maastricht Create a strategic plan for AIESEC Maastricht and make sure it will be implemented Decision making on a general level Lead, motivate and support all the members of AIESEC Maastricht Represent AIESEC Maastricht nationally and internationally Decision making and strategic thinking on a national level Contact with external relations: university, companies, students

Local Committee President (LCP) Give direction to and support the whole AIESEC team. Ensure the continuity of AIESEC Maastricht. He or she will form a key figure in coordinating and representing the local committee. The LCP leads meetings of the Local Committee, the Executive Board, and with external relations. The LCP serves both as an overall support for all members as well as the person who keeps track of the strategy of the whole LC. An LCP also has frequent contact with AIESEC on the national level and with the other committees in the Netherlands. Main responsibilities: • • • •

What is the best part of being a LCP? Marelle van Beerschoten (LCP 08-09): “You will learn about the challenges of managing a critical and ambitious group of people. You are responsible for their well-functioning and development. Focus is put upon your personal and professional development and this is really the year to become clear about your strengths and weaknesses and to challenge these. It has helped me in making decisions about my future career. Besides being a coach you will also have to manage relationships with external parties to facilitate the financial means needed for continuity and innovation within AIESEC. Constant meetings with different external relations – for advisory as well acquisition means - have helped me to develop my sales and customer orientation skills. The nice thing about a leadership position within AIESEC, moreover, is being able to determine strategy not only on a local, but also on a national level and bring about change and prosperity to the organization. Above all that, each day brings new challenges and lots of fun. The international congresses are unforgettable and you will create a network of close friends from all over the world.”

Vice President (VP) The Vice President works closely together with the President. He or she is responsible for ensuring the financial situation of AIESEC Maastricht now and in the future. The VP needs to make decisions about investments and budgets. Next to that, the VP is responsible for external relation exploration and relationship management. He keeps close contact with the Local Advisory Board, Sponsor group & university related connections. Furthermore, the VP is end responsible of the Marketing, where he coordinates the Marketing Special Assignment (MSA) and the marketing team. Finally, the VP makes sure that the information systems in the office are up to date. Together with the EB the VP will discuss strategic issues concerning the whole LC. The VP will also have regular contact with VPs of other local committees in the Netherlands and the national committee. Main responsibilities: • Finance • External Relations • Marketing • Management Information Systems What is the best part of being a VP? Marco Wijnakker (VP 08-09): “When I started my term, I had no idea what challenges and opportunities were waiting for me. The VP function is a very diverse role, where you can excel in a lot of different fields. Personally, I developed my conversation & presentation skills by visiting many local companies. I learned how to make sound financial decisions & how to create good marketing strategies. Next to my personal development, AIESEC offered me a new local, national and even international network of young, active & intelligent people. During the many leadership trainings & discussions about global issues, I discovered that opinions vary around globe, but the intentions are the same. I’ m really happy that AIESEC offered me this opportunity to develop myself, my leadership skills, my network & my view of the world.”

Outgoing Exchange (OGX) Coordinator As an OGX coordinator you are responsible for the Outgoing Exchange program. This involves sending University Maastricht (UM) students abroad and guiding these students in the process of going abroad. You are responsible for reaching the set targets and goals. You lead, support and motivate the OGX team. Together with the EB you will discuss strategic issues concerning the whole LC. You will also regularly have contact with OGX coordinators of other local committees in the Netherlands and the national committee. In addition, you will keep contact with foreign AIESEC committees. Main responsibilities: • Motivate and support the OGX team • Achieving set targets and goals • Implement the strategic plan of AIESEC in the OGX team • Manage contact with Maastricht University and AIESEC abroad • Holding the final responsibility for all students going abroad • Preparing and leading the weekly OGX team meeting What is the best part of being an OGX coordinator? Gerdine Tiemens (OGX- co 08-09): “Being an OGX coordinator enabled me to develop myself through a wide variety of responsibilities and tasks. It is great to have to lead and manage a team of 6 active students at this age. I have learned how to motivate and guide my team members in many different ways. In the end it is my responsibility to work, all together, towards the same goals for one year. Besides, the responsibility for the whole OGX process enabled me to gain skills in different areas like marketing, selection, presenting, organizing events, coaching etc. I have learned how to be involved in all different areas while carrying the end responsibility for it. Moreover, thinking about long term strategy gave me the ability to implement my own ideas on OGX and AIESEC Maastricht as a whole. It is very challenging to work together with the Executive Board on these strategic plans and decisions affecting the whole organization. Last but not least: I am very glad that besides my personal development, AIESEC helped me to create a bigger network on local, national and international level. In this year got to know lots of interesting people from all over the world in a professional and social way.”

Incoming Exchange (ICX) Coordinator As an ICX coordinator you are responsible for the Incoming Exchange program. It is your goal to create and raise quality traineeships and receive foreign trainees in Maastricht. This goal will be achieved together with your team members. You will work closely with your team and the Executive Board. On a regular basis you have contact with your Dutch counterparts of other Local Committees and Coordinators of the National Board. Apart from this you and the board will discuss and implement strategic plans concerning AIESEC Maastricht. Main responsibilities: • Motivate and support the ICX team • Manage and expand relations with local companies • Achieve the team targets • Implement the Strategic Plan for the ICX team • Preparing and leading the weekly ICX team meeting • Holding the final responsibility for receiving and supporting foreign trainees who come to Maastricht (on a formal and a social basis) What is the best part of being an ICX coordinator? Tim Kreukniet (ICX coordinator ‘ 09:) “Being the ICX coordinator involves a range of diverse tasks. Firstly, you will have to guide and motivate your team members, in order to reach the goals of the team. This is very challenging and it gives you the opportunity to manage a team of intelligent people at a young age. Secondly, your professional skills will get a big impulse as you will have frequent contact with companies. You have to manage relations with companies who have trainees, next to that you will have frequent acquisition contacts with new companies. Thirdly, focusing on the long term is very challenging; it gives you the ability to incorporate your own ideas about strategic planning onto an actual organization. The strategic plan is made in close cooperation with the entire Executive Board and approved by the Board of Advisors. This combination pushes you to come up with well-thought trough plans and motivates you to strive for excellence. Lastly, working with the incoming exchange coordinators of other cities expands your network all over the Netherlands”.

Make a Move Coordinator As a Make a Move coordinator you are responsible for organizing, coordinating and realizing the Make a Move Career Week and the trainings that precede the Career Week. Regarding the Career Week – the largest recruitment event in Maastricht - you are responsible for making sure that all participating students (approximately 500) and companies (around 40) are satisfied and that the event runs smoothly. Furthermore, as an EB member you will think strategically on how to improve AIESEC Maastricht. You will also frequently have contact with Make a Move coordinators from other local committees in the Netherlands and the national committee. Main responsibilities: • • • •

Motivating and supporting your team members Responsible for the strategic and financial policies of Make a Move Responsible for the further development of Make a Move activities Responsible for the Career Week

Availability: you can apply for this position in November 2009; function starts in January 2010.

Part-time board In these functions you will be part of one of the three teams of the Local Committee and contribute to its performance. Here you will spend on average 10-15 hours per week on AIESEC. The three teams will be described next.

Outgoing Exchange team Goal of the function: As a member of the OGX team you are responsible for the Outgoing Exchange program. Together with both your coordinator and the other OGX team members you select, support and prepare students who wish to go abroad with AIESEC. Main responsibilities: • Setting up and executing an effective marketing plan to promote the AIESEC brand and recruit students for international internships • Selecting suitable students for the program and executing the interviews. • Coach students who go abroad with AIESEC by guiding, supporting and preparing them for their internship • Organizing events in order to either recruit students or to prepare them for their internship abroad • Keeping contact with abroad AIESEC offices and students that have been sent abroad What is the best part of being in the OGX team? The best part of being a member of the OGX team is that you have the responsibility for a student’ s internship abroad; from recruiting until the moment the student comes back from its internship. You will develop different skills, from presentation to selection and from selling a product to coaching different students. Furthermore you will be part of the international AIESEC network by being contact with our offices abroad. It is very rewarding to receive enthusiastic stories from UM students doing an internship in one of the 110 AIESEC countries, realizing you are the one who made that experience happen.

Incoming Exchange team Goal of the function: As a member of the ICX team you are responsible for the Incoming Exchange program. Together with both your coordinator and the other ICX team members it is your responsibility to create as many quality traineeship opportunities as possible in Maastricht and surrounding areas. In addition, you are responsible for receiving and supporting foreign trainees who come to Maastricht for a traineeship. Main responsibilities: • • • • • •

Creating quality traineeships in Maastricht and surrounding areas Searching for suitable candidates for these traineeships by contacting abroad AIESEC offices and searching an online database Keeping close contact with the companies that wish to receive foreign trainees Arranging formalities to ensure that a foreign trainee can come to the Netherlands Organizing social activities for AIESEC trainees in Maastricht Organizing a network congress for SME in Maastricht (2 members)

What is the best part of being in the ICX team? Being part of the ICX team you will get a two-sided glance of the AIESEC picture. Firstly, you develop your professional skills: you are in contact with companies and will need to convince them that an AIESEC trainee is of added value to their company. Secondly, you get in touch with the international side of AIESEC since the ICX team is in close contact with the foreign trainees performing an internship in Maastricht. Our professionalism will determine the level of cooperation with companies. In all, the challenge is to give a great number of international students the opportunity to do an internship in Limburg.

Make a Move team Goal of the function: The Make a Move team yearly organizes the Career Week, creating an opportunity for students and companies to meet and get to know each other. The Career Week offers students the possibility to orientate generally or more specific on the labor market through company presentations, workshops, lunches, dinners, and individual consults. Together with your coordinator you are responsible for making the Career Week and the events preceding it a success. Main Responsibilities: Each new team decides how these tasks are divided among the team members: • • • • • •

Marketing External Relations Dutch Company contact German Company contact Logistics Special Projects

What is the best part of being in the Make a Move team? Together with your team members you are responsible for organizing the largest recruitment event of Maastricht. Because you work for a project, intensive teamwork and deadlines are challenging. You are responsible for bringing together approximately 40 companies and 500 students. Availability: you can apply for these functions – except for Special Projects in November 2009; function starts in January 2010. One position - Special Projects – can be applied for in April 2009 and starts in June 2009.

Marketing Special Assignment For this function you will spend on average 15-20 hours per week on AIESEC, providing you with more responsibility than the other part-time board functions. As a Marketing Special Assignment you are responsible for the marketing and external positioning of AIESEC in Maastricht. You are responsible for planning and executing the marketing campaigns for the national programs and the recruitment of new members. Furthermore, you will be leading the marketing team and track their functioning. Designing posters & flyers, brainstorming about new marketing goodies & activating the rest of AIESEC to help the marketing campaigns are things you will be doing. You will receive national marketing trainings and once in a while you will participate in national decisions on marketing. Creativity, feeling for marketing, enthusiasm and pro-activeness are important for this function. Main responsibilities: • • • • •

Motivating and supporting the marketing team Marketing of AIESEC’ s national programs Marketing of new members recruitment Designing marketing material Developing a marketing strategy

Expectations What does AIESEC expect from you? If you are interested in joining AIESEC Maastricht, these are some things we like to see in the applications: • • • • • • •

Some more practical issues concerning the member profile of AIESEC: •

You spend around 10-15 hours a week on AIESEC as a part-time board member and you will work full-time as a member of the Executive Board. It is possible for everyone to apply (all studies) If you decide to apply, you must apply for AIESEC in general, but you can indicate your preference for a certain position If selected you will be a member of AIESEC for the minimum of 1 year Tuesday evenings will then become your AIESEC evenings as we have meetings every Tuesday and drinks afterwards!
