ACTUAL ACTIVITIES CONDUCTED -

Attended Cluter Meeting at SWAd Satellite Office, Naga City

We started it with asking for the God’s grace, followed by reading of the previous minutes, agenda for the day; and the consolidated issues/ concerns and accomplishments of each Municipality. Discussing of all activities and deadlines; the PDO of BUS, GRS and CVS entertain some queries of the ML.

ISSUES & CONCERNS

ACTION TAKEN/ RECOMMENDATION

GRS- those bene. belongs to ECR who were also in the payroll list this july- august asking that if they can claim the grant only for that quarter.

According to the memo that it should be hold, explained to them about the ECR done; and ML also advised that if the bene were not satisfied they can file for grievance of appealing for termination.

Retropayment- deadline should be October 24, 2011.

Orientation of the program was given. Arranging of Barangay in order according to what Barangay came first. Asked the help of the leaders to let their members fall in line alphabetically.

Distribution of CV Forms to schools and health centers

Some member of the family can’t claim due to they were below 18 years old; where in fact how they can claim the money if the oldest child is just 15 years old or below 18? Bene or members were getting mad of the frequent changing procedures everytime they will get the grants.

ML discussed reason why they have that little amount by orienting them about the systems and the process; and through the CVF , ML can explain the problem of that particular household.

Incomplete name of student listed in the forms

Some parents or the grantee itself did not yet updated their child/ it was not yet checked and encoded.

Coordinates with the PSDS while they were having their staff meeting. Distribute the forms per school heads and then asking for an agreement when it will be retrieved.

Wrong spelling of names Massive and retro certificate of compliance.

Facilitate the distribution of the massive and retro certificate of compliance to schools and health.

Coordinate with the school heads and the daycare worker; validating what school the child is enrolled

Some teachers cannot look for the previous data because it was already submitted to the district office.

Teachers assure to try to look for their copy.

Some bene update that they enrolled in the particular school however; the truth is they were not enrolled.

Advise the teacher that before signing for the school certification; it must be completely filled up and try to look for the record if they were really enrolled.

Arranged the CV Forms according to the transmittal being given. Endorsed those CV of other Municipality.

Entertain walk in client Preparations of all reports to be sub mitted. Informing those unpaid bene about the schedule pay out

Some bene. came to claim their grants not on the date scheduled.

They are asking the ML to give them the money.

Submit all reports to our cluster office at Tambo, Pamplona

File the certificates on massive and retropayment.

Explained that if we scheduled a 3- day pay –out they must come on that given schedule not on the date they wanted to claim it. Explained also where the grants that were not released. Focusing on what they were asking for; while we have set minds, to where we know what we have to do. Working handon hand will leads to success.
