Security Guidelines 1.1 Security Services 1. Manning of all entry Points of the Building 24/7 2. Records Maintenance of vehicles, material and visitors entering and exiting the building 3. General watch & ward – Security guards will be placed at different strategic locations to safeguard property and watch people movement 4. Fire safety / Evacuation Services and Emergency Handling -Handling emergencies and help in evacuation of people to meet any unforeseen eventuality 5. Traffic and Parking Management-Making sure vehicles are parked in the right places and vehicle movement is smooth 6. Patrolling of common areas at regular intervals 7. Coordination with other agencies like Hospital, Fire Department & Police 8. Meeting statutory requirements of different agencies for security 9. It is proposed that the guards walk around the complex and keep a log of the same a. Go around the building and basement every hour (beat/patrol) b. Walk down the stairs from the top floor to the basement every hour. c.

Not more than 2 guards to be found in the security cabin at any point in time

d. No person apart from security agency to be found in the security cabin e. Security guard to patrol the Lobby at all times f.

It is proposed that 2 more shelters be erected surrounding the complex for the security guards. This is to ensure more coverage and visibility to the guard

g. It is proposed the security cabin have a landline telephone for residents etc to get in touch with. This is a shared service and cost of which shall be borne by AAOA. (Either as outgoing calls barred or as an extension/parallel line to AAOA phone line).

1.2 People working in the complex 1. Photo ID Register for all non-residents including Maids/drivers/car washers/ dhobis/casual workers/all shop owners in AAOA would be maintained. Register would have to be signed by owners with a fixed period in mind and any extensions would have to be appropriately documented and approved. 2. All residents who employ drivers should inform the security accordingly giving full details in the Photo ID Register. The residents would be responsible for getting their photographs, of their drivers/maids. These would need to be signed by the drivers/maids daily. 3. Drivers: The area at the back of the building shall have a seating area for all drivers. It is encouraged that all drivers be seated in the cars or in the allocated seating area and not in any other part of the apartment. Drivers found away from their vehicles OR the allocated seating area would be instructed by the security to adhere to this rule. They shall not use apartment facilities for washing or cooking inside the premises. They shall not be allowed to stay overnight inside the car when the same is parked inside the premises.

1.3 Visitors to Apartment 1. Security personnel at the main gate need to call up residents before they allow entry to visitors. 2. Once residents allow visitors to enter, visitors need to enter in the logbook. The log book shall include "Date of visit", "Time of entry and exit", "Name of the visitor", number of accompanied guests, contact phone/mob number of the visitor, flat number to visit, Name of the person to visit, visitors signature etc. 3. Postmen/Courier delivery person shall show their identity cards before they are allowed to enter. These servicemen are allowed to visit only designated apartments. It is encouraged that residents come to the

security desk to collect the couriers so that entry of such Postmen/Courier is kept to minimum. The security would call up the resident and collect the courier on their behalf (by maintaining a mail register) to keep Postmen/Courier movement in the apartment to a minimum. The Postmen/Courier could also just place the letter/packet in the respective apartment mailbox after making an entry in the mail register. 4. Occupant(s) are to ensure that their Guest(s) do not cause annoyance or nuisance to other residents 5. The Association reserves the right to request any Guest(s) in breach of any of these rules to leave the flat or Block or building without having to assign any reasons for doing so.

1.4 Stickers on Vehicles: 1. Security Supervisor shall maintain a register containing all the vehicle registration numbers and their owner’s flat numbers. The register must be updated as soon as new stickers are issued, or, withdrawn (residents leave the complex) 2. New resident, or resident purchasing new car, must get sticker for his/her vehicle within 1 week from the date of entry entering the complex. 3. Vehicles of residents staying in the complex more than 1 week without stickers are not allowed to enter the complex. Security shall inform Association and Security about those defaulters 3 days prior to such ban on entry of vehicles. 4. Stickers also must be issued for the vehicles of the drivers, employees of Security or any other nonresident service providers of AAOA. These stickers shall bear a separate marking to distinguish from normal stickers issued to residents. 5. Procedure for getting and removing stickers: 6. Resident must submit Xerox copy of the blue book, indicating car owners' name, which must match with residents' names OR equivalent (Letter from company OR Signed affidavit from vehicle owner authorizing its use to the AAOA resident). Tenants additionally shall submit proof of their tenancy (bearing names of the tenants). Security shall archive these records. 7. Security must maintain a register keeping account of stickers, bearing details name of the vehicle owner to whom stickers are issued, vehicle registration number, apartment number and issue date. No two stickers shall be issued for the same vehicle registration number except that somebody wants replacement of a damaged sticker upon showing the proof. 8. Residents leaving the complex (e.g. end of tenancy) must get clearance certificate from the association before they are allowed to take household items. Upon getting clearance certificate, stickers shall be removed from vehicles. 9. Similarly, stickers shall be removed from vehicles, which are sold by residents. No new sticker shall be issued to the residents unless association gets proof of removal of stickers of the sold vehicles.

1.5 Visitors’ vehicles: 1. Visitors are allowed to park their cars/two wheelers inside the premises depending on availability on firstcome-first-served basis. Limited parking slots (6 nos) will be reserved for visitors near the security area and owners / residents shall inform the visitors accordingly. Slot shall be allocated by the security based on first-come first-serve basis. If all the slots are occupied, visitor shall make alternate arrangement for parking the car. 2. Security will maintain cards with the parking slot number for the entire visitor parking slots, which can be issued to four-wheeler for parking inside the complex. 3. Overnight parking of visitor vehicles OR any vehicle in visitor slot is not allowed, permission of AAOA is required to do so. 4. Time of entry and exit with visitors’ vehicle nos. and the apartment number where guests are going to visit, and the parking slot number have to be maintained at security gate 5. For four wheelers, cards for display would be issued to the visiting vehicles which need to be parked in the visitors slots and expected to display prominently the guest's flat no. (written on a post-it paper and put on the inside of windshield OR a alternate card which displays VISITOR shall be issued by security to the visitor to be displayed on the windshield).

6. For two wheelers, a card with a sling will be provided to identify that the vehicle belongs to a visitor and the same should be hanged onto the two-wheeler so that it is prominently visible. 7. Security shall regulate school vehicles to a point where it does not inconvenience entry/exit of vehicles. 8. People: Entry in the visitors register is a must unless accompanied by a resident in his car. Security is expected to call the concerned resident without which the visitor will not be allowed entry. Security at all points of time is expected to have details about people in the complex who have entered through the visitor’s gate. It is expected that all residents should ensure that they sign the visitors' slip given by the security, before their guests leave their flats. 9. If any vehicle parked inside or in the visitors parking area without the sticker and if association/security does not have vehicle details (owner, reg no etc.,) for more than 7 days, it shall be notified to nearest police station due to security reasons (as required by law). As a result such vehicle may be towed away by police based on their discretion.

1.6 Regulation of traffic in the complex 1. Unescorted taxi/autos shall not be allowed to enter complex: If a resident wishes to bring a taxi/auto inside for carrying luggage we insist that the resident come to the main gate and escort the taxi inside. Security will track exit of such a taxi within reasonable time. Telephonic instructions to allow taxi inside will NOT be accepted". In case resident is unable to go security main gate; he/she must send another person to escort. 2. Exceptions a. Elderly residents b. Heavy luggage c.

Resident not being well enough to walk till his/her block

d. Heavy rains 3. Speeding of vehicles: Maximum speed limit of the vehicles is 10 km/hr. Security shall identify the vehicles who flout this rule; admonish the drivers, and bring this to notice of security committee, in case drivers do not follow this rule repeatedly

1.7 Other guidelines 1. Children are discouraged to play in the lobby and basement areas. They are also not allowed to do cycling in the lobby. 2. After play, cycles, exercising equipment or heavy and bulky toys may not be left behind in any of the common areas including staircase, mailbox and landing areas or near the swimming pool, since they cause obstruction and nuisance to other residents and restrict access for cleaning. 3. Security to inspect the adequacy of the barbed wire fencing around the complex 4. All security related complaints can be logged with the register maintained with Security under the security category. These complaints will be used for monitoring the security related SLAs. 5. Vehicles carrying construction materials (Cement, Sand, steel rods, steel structures, Aluminum structures etc) shall be allowed only with the pre-approval from the Managing Committee. 6. Commercial vehicles are not allowed to enter walkway zone (for shifting luggage’s, or delivering goods) between 5:00 PM till 8:00 PM. 7. Flowerpots will not be kept on the parapet walls, as this can be a potential security hazard in case it falls down. Security will inform any residents in case it is observed that a flowerpot is kept on a parapet wall Tenants : 8. Kindly inform the association office about your tenants. As per recent advisory received from Banashankari Police Station, apartment complexes are required to maintain detailed records of tenants. Kindly follow the association guidelines on the same. 9. Security will not allow any tenant to shift in without prior approval from the association (along with the no dues certificate)

Long absence 10. Residents are requested to inform the security of any long absence /vacation trips. A register has been kept to record the information. This will enable us to keep a vigil on the locked flats and the parked vehicles as well as to prevent unauthorized access by any vendor or service provider. 11. It will also allow us to contact you in case of any emergency. Shifting 12. As per Association guidelines, shifting will only be allowed based on no dues certificate issued by the association office. Without the no due certificate, security will not allow trucks to move in or out. Additional Parking Guidelines 13. Reverse parking in the front of the building shall not be allowed as it leaves smoke patches on the compound wall. 14. Owners can rent out their parking slots to other owners/residents of the apartment but same is to be informed to the association/security so that stickers can be issued. However, renting out parking slots to non-owners/residents of AAOA is not allowed. 15. Owners / residents can make their own arrangement to display the car number at the allotted parking slot. 16. One-way rule is applicable 24 hours for entry and exit 17. Only drop and pick-up in the lobby area (No waiting allowed). 18. No visitor car parking allowed inside other than allotted places. 19. No parking shall be allowed other than allotted area for the owner/resident 20. Due to security reasons, movement of Taxi & hired vehicles shall be restricted. No taxi & hired vehicles will be allowed to park inside the premises. If taxi is hired on permanent basis, it can be allowed but same as in section 2.1 shall be applied and driver shall be issued with the identity badge by the association. Taxis and hired vehicle drivers are not allowed to clean/wash their vehicles within the premises.
