SOUTH VILLAGE OWNERS’ ASSOCIATION ANNUAL GENERAL MEETING MINUTES February 13, 2008 – Recreation Centre Chair – Kelly Youngdale All attendees received a copy of the official Agenda and annual report of the South Village Owners’ Association Second Annual General Meeting. 1.

Call to Order The Annual General Meeting was called to order at 7:00 p.m. by the Chair, Kelly Youngdale.

Welcome and Chair Address The chair welcomed all attendees and outlined the evening’s procedures.

Adoption of Minutes The February 15, 2008 minutes were adopted as motioned by Lionel Nolet and seconded by Rick Piironen,

4. Financial Report As motioned by Kim Dawson and seconded by Denise Dawson, the 2007 Financial Statement as presented by Lionel Nolet was adopted. There are 133 sites without West Beach. Eight (8) of these are Developer lots for a total of 125 lots in South Village.

As motioned by Raymond Rousson and seconded by Lloyd Mackey the 2008 Budget was accepted. As motioned by Frédéric St-Louis and seconded by Lloyd Mackey, the Annual Audit was waived. 2007 Dues - Eleven (11) owners still have to pay the 2007 dues. 2008 Dues – 65 remain unpaid as of February 13, 2008 ($20,600) Further action will be considered by the Board of Directors/Management Committee. Residents will be reminded of the importance of paying the dues as stipulated in our Covenants in the next SVOA Newsletter. A reminder letter may also be sent to owners owing yearly dues. Additional steps may be taken. 5. Communication/Residents Directory/Welcoming Committee Susan Mackay presented the report. 6. Recreation – Social Committee Denise Dawson presented the report. 7. Community Beautification Committee Susan Mackay presented the report. 8. Physical Plant / Pool Committee Rick Piironen presented the report emphasising the health and safety obligations that the Association must abide by as stipulated by the City of Ottawa in the maintenance of the community pool. This committee is in real need of additional volunteers. Rick is presently the only member and the responsibilities are enormous. If no volunteers are identified, there is a high risk that the pool may not be open this year. Brad Goatcher volunteered to sit on this committee.

9. Entrance Sign Committee

As Chair of this committee, Rob Wallingford presented the report. Sunset lakes Development are providing $20,000 for the entrance sign. Designs will be sent to Sunset Lakes in the next two (2) weeks for their approval. A package will then be sent out to the community for voting. The work should start this Spring and take a month for completion. Obtaining the required building permits will be the longest process. 10. Design Review Committee Kim Dawson presented the report. The committee exists to work with residents. 11. Government Relations / Legal Committee Lloyd Mackey presented the report. 12. Water Quality Committee Frédéric St-Louis provided the report. All lakes meet the established standards for drinking quality. All residents are encouraged to use organic fertilizers while the use of any fertilizer near the lakes is discouraged. 13. Confirmation of Board of Directors The Board of Directors was elected on November 5, 2007 when Sunset lakes Development officially transferred responsibilities to the South Village Owners’ Association. Six (6) Directors were elected and were presented to the attendees. There is room for one (1) additional Director. Rob Wallingford stated that the mandate of the Board is to allow greater participation. Input in always welcomed. 14. Confirmation of Management Committee As motioned by Kim Dawson and seconded by Dial Singh, the composition of the Management Committee was approved. There is a need for additional volunteers. 15. Question Period In answer to a resident’s question, the opening date of the community pool will be June 24, 2008. 16. Next Meeting

The next Annual General Meeting will be held in March 2009. The next Management Committee meeting will be held on March 5, 2008 at 7:00 p.m. at the Recreation Centre. 17. Adjournment The Annual General Meeting was adjourned at 8:15 p.m. and was followed by a Wine and Cheese. As recorded by Gisèle Devaney See list of attendees on next page.
