Systematization of the Media Library Books 1. Use borrower’s card for all the books. It must have the stamp of Carmelites Media Library. 2. Make a listing of all the books acquired and place them all in order in the shelves. 3. Make a number series for the books for easy location (use the book for cataloguing) 4. Allocate a specific box for the borrower’s cards in case books are rented out. 5. Label each shelf with the number series. 6. Make space for returned books and catalogue them as soon as possible. Uncatalogue books including returned books should be kept in a safe place so that nobody can borrow them just yet (preferably make space in the Media Office) News clippings and other materials Newletters/Pamphlets/Digests/Brochures 1. 2. 3. 4. 5.

Must have separate vertical files (FABC, UCIP, Ibon, EDM, Carmel News) Pamphlets, digests and brochures must also have their own filing boxes. Label the vertical files. News clippings must be filed as much as possible according to subjects. Internet materials must be filed according to groups (e.g. MindaNews, mindanao1081, pinoytok and others). After these materials are filed in separate folders, topics must be typed and materials shall be arranged according to date of publication. Stamp all folders, pamphlets, digests and brochures with Carmelite Media Library. Make a separate folder for CVs of possible speakers. Databanking from newspapers and other printed publication must be done every week. Clippings on media and religion or anything worthy of clipping in the library must be done at least quarterly. Each filer, envelope or boxes have Borrowers’ Form.

Magazines 1. File magazines separately. (e.g. Newsbreak, PJR, I-magazine-renewal, CODE RED) 2. After a year or two of subscription, the issues must be bind. (Newsbreak-1 yr.; PJR and I-magazine-2 yrs.) 3. Look for missing issues. 4. Start a new number series for book bind magazines. 5. Separately bought magazines must be placed in one vertical file. 6. Make a listing of all the magazines and must be placed inside the book bind. 7. Stamp all with Carmelite Media Library. Audio Tapes, VCD/CD, and videotapes 1. Make a listing of all the videotapes, VCD/CD, and audiotapes.

2. Separate shelves of documentary and leisure films. Also separate Filipino & English films. 3. All audiotapes used for interviews must be encoded. Important interviews must be maintained and those used for lectures, meetings and forums must be encoded and can be kept for at least a month then recycle it. 4. Separate file must be kept for transcribed interviews. 5. Look into overdue videotapes and contact the borrowers. Pictures/photos 1. Must be placed in a photo album and labeled. 2. A photo box is also maintained for photos that needed to be preserved (can be arranged by labels and tags) Films 1. VHS, VCD, DVD (Original or Dubbed) format must maintain a list. For new acquisitions, new titles should be added. 2. Label the films with TBCMEDIA LIBRARY Sticker. 3. Every film shall have its own index card for renting record purposes. 4. Prioritize new acquisitions. TO DO: 1. Label the new acquisitions with the TBCMEDIA LIBRARY Stickers. Prepare the index cards for each. 2. Prepare the shelf for the dvds/vcds. 3. For the original copies (new acquisition), copy the following in a separate sheet of paper for easy recording:          

Title Year released Place (french, spanish, japanese film but use the name of the country) Genre (drama, comedy, action) Director Cast (at least two major actors) Running Time Rated (R, or none) Synopsis Poster (source: www.imdb.com / www.allmovie.com / www.hkflix.com)

4. For the dubbed and none original sources, get the information above from the internet address indicated above.
