PRSS EXECUTIVE BOARD OFFICER DESCRIPTION • 2009-2010 All members of the Executive Board must:  Keep in contact with all other E-board members throughout the summer  Attend all E-Board meetings and twice monthly chapter meetings  Represent PRSSA at the fall and spring student activities fairs  Introduce themselves to their professors and represent PRSSA in their classes  Work together as a team  Uphold the excellence of the Public Relations Student Society and Cameron University

PRESIDENT (Must have been a member of PRSSA for at least one year; interview with current president and faculty advisor required) • • • • • • • • • • • • • • • • • •

Maintains contact with new E-Board over the summer Directs overall operations of the chapter by ensuring open and continuous lines of communication for the E-board Recommends goals, objectives, plans and programs for the benefit of the chapter Presides at and oversees all membership and executive board meetings Distributes a printed agenda to members and faculty advisor before each meeting Sets final schedule, with help of Vice President-Programming for each semester Handles arrangements for meetings, including procurement of meeting rooms for the year and inspection of room before each meeting to ensure adequate setup Coordinates professional development opportunities for PRSA members — Workshops, Coffee, Socials, Senior Night Serves as or appoints the liaison between National PRSSA and CU PRSSA (when applicable) Serves as or appoints the director of Aggie ImPRessions Serves as or appoints the Cameron University Student Government Association Representative Meets weekly with the faculty advisor Works with the treasurer to develop the chapter’s yearly budget Works with the E-Board on Zenith Award entries Reviews chapter constitution and bylaws at beginning and ending of term of office Reviews and/or updates each officer’s job description (with faculty advisor) at the end of spring semester Directs the recruitment program for new members prior to each national enrollment period along with vice president Meets with successor to review and turn over records before the end of spring semester to ensure a smooth transition to the next year

VICE PRESIDENT- Programming • • • • • • • • •

Performs the duties of chapter president if the president is absent or unable to perform his/her duties (becomes president if current president resigns or is removed from office) Organizes committees — Type and number of committees created under the discretion of the VP and president Organizes and appoints committees for university and community events — UGA Homecoming (application must be completed over the summer) Helps committees to establish plans, goals and objectives and updates the E-Board and faculty advisor of committees’ plans, goals and objectives Keeps in contact weekly with all committee heads and regularly reports to president and faculty advisor Is available to attend committee meetings Directs the recruitment program for new members prior to each national enrollment period along with president Meets with successor to review and turn over records before the end of spring semester to ensure a smooth transition to the next year Organizes professional speakers for meetings by making all necessary arrangements and providing appropriate follow-up

VICE PRESIDENT- Communication • • • • • • •

Produces and distributes fliers for all meetings and events Maintains the PRSS bulletin board in the Communcations building Maintains the PRSS facebook page Maintains the PRSS blog Creates and maintains the PRSS display board for Gold Rush and preview events Creates membership packet for fall and spring recruitment Meets with successor to review and turn over records before the end of spring semester to ensure a smooth transition to the next year

TREASURER (No member can spend any money without prior approval of the faculty advisor, president and treasurer)

Works with chapter president to prepare annual budget Provides financial reports periodically to president and faculty advisor • Collects fees for special events and fundraisers Deposits all funds into PRSS’s accounts Disburses chapter funds with approval of faculty advisor Reimburses E-board members for PRSSA expenses Keeps accurate financial records by making timely deposits and balancing the checkbook Gives monthly (or as needed) updates to president on account balances Handles student travel issues for PRSS trips Meets with successor to review and turn over records before the end of spring semester to ensure a smooth transition to the next year

SECRETARY • • • • • •

Maintains a record of chapter members and attendance at meetings Handles all chapter correspondence Collects PRSS mail from the Student Activities Building Buys gifts for speakers and writes thank you notes Contacts COMM faculty about meetings and PRSS events through Norma Schmall, department secretary Meets with successor to review and turn over records before the end of spring semester to ensure a smooth transition to the next year
