Present: JG, CG, SA, PA 1. Introductions 1.1. Client confirmed that they have visited 2no jobs recently completed by PA and that they have been impressed by workmanship quality and the owners' reference. 2. Tender 2.1 Current tender figure stands at 78k. PA confirmed that above drainage was included in item --2.2 As already mentioned to PA, the cost needs to go down to a budget the Client can afford. SA in agreement with the Clinet have proposed the following savings: 2.2.1 Subcontractor savings - zinc package- £2500. PA's quote is the highest. Alternative quotes are required to bring down the figure closer to 6k. PA to confirm. - weatherproofing- SA explained that the reduced extent of works (5sqm plus small additionals) does not justify proposed sum. Alternative quotes are required to bring down the figure by about £800k if possible. PA to confirm. - slating works- one has agreed that the works would only involve small area and that stripping out and installation of rooflights would have been allowed for elsewhere. Poss savings £300. PA to confirm. 2.2.2 Provisional sums savings - half wall tiling -£950 - sanitaryware-£500 2.2.3 Omission of works - sattellite installation and provisionals. Client to decide if they wish to retain the installation and only omit the provisionals, and inform SA and PA. Save £1130 - chimney works Save £2340 - dimmers to be omitted throughout the scheme except for in the dining area, stairwell and master bedroom, where LED lighting will be used. PA to revise electrical figure. 2.2.4 Heating installation - quote received from PA's M&E subcontractor at £7400 for supply and install alternative system involving 300l cylinder, new boiler and 2no solar panels. Heating will not benefit from solar panels, in contrast with previous quote for Rotex. Savings up to a further £1500 could be achieved if cylinder is smaller and the existing boiler is reused. - Client to approach M&E subcontractor to clarify options and inform SA and PA of final savings. accordingly. 3. Programme 3.1 Works to commence on site on 7 September 2009 3.2 PA confirmed 3 month construction time would be reasonable and write programme on this basis. PA should aim to complete in this timescale although official completion date in the Contract will be set as 23 December. 4. Contract 4.1 PA to update the figures in the schedule of works to take into account the above. The revised figure will have to be included in the contract. 4.2 PA to draw up programme to be attached to the contract before signing. 4.3 PA to provide new address and up to date fully operational email address to the Client before signing 4.4 PA to supply proof insurance as required by the Contract. 4.5 SA to prepare contract and relevant drawings before going on leave. SA will leave these documents with the Client ready to fill in and sign by them and PA. Post-meeting note: 4.5.1 SA and PA met pm on 31.07.09 to firm up details. SA will issue these details to form part of the contract. 4.6 PA and the Client will meet up as soon as PA is back from leave to sign contract. 5. Communication and meetings 5.1 All written communication between all parties will be by email. PA to confirm email address. During construction, SA will use email tracking to determine whether an email has been received/opened/read or not by the recipients. Emails should be checked regularly at least once every 2-3days. To avoid unnecessary administrative work, if communication by email is temporarily not possible please notify all parties ASAP to set up alternative channels of correspondence. 5.2 Only SA issues Architect's Instructions as per Contract. Any discussions between the Client and PA resulting in changes to the Works will have to be notified to SA so that an instruction could be issued asap. 5.2 SA will visit the site once a week to inspect the Works (agreed in principle on Tuesdays at 5pm). At the end of each month, SA , PA and Client will meet on site during one of the above site meetings for a general review and will agree on the extent of completion of the works to enable SA to issue monthly Interim Certificates. 5.3 SA will minute site meetings and distribute to all by email. Unless comments are received within 7 days from the date of issue, all notes are deemed to be accepted as true by all parties. The same applies to other emails that may be issued by SA during construction. Within all SA emails, the items to be actioned by PA will constitute Architect's Instructions and are to be executed by PA within 7 days from issue as per Contract 6. Variations 6.1 No cost variations will be accepted unless discussed and approved by SA before any works are carried out. SA will notify the Client of any cost variations prior to being approved. If no cost variations are mentioned in any of SA notes, then the construction cost is not affected. 7. Next meetings 7.1 SA, Client- 5.15pm, 7 August 09 7.2 PA, Client- TBC- for the signing of the contract. PA please call Client when back from leave. 7.2 SA, Client, PA 9.15am, 4 September 09
