Please note: In this booklet you are asked to complete and return a number of forms to the Academic Administrator. It is hoped that you will be able to do this as one complete package, preferably as soon as is convenient, but definitely no later than 22nd August.

However, graduates are often asked by their Department to come up earlier than this; and formal inductions are arranged in College from Monday 6th October; the Bursar usually makes graduate rooms available from September 22nd onwards (see also section 7). (This is organised by the O.U.S.U. in the Examination Schools. Here various organisations will encourage you to join them. It is usually best not to part with membership fees at the Fair but to go along to introductory meetings and decide then whether or not to join.)

1st Week It is essential that all students new to Oxford attend the Matriculation Ceremony on Saturday 18th October, at which you will formally become a member of the University. Details will be placed in your College pigeonhole. A group photograph will be taken after the ceremony. Two THE MIDDLE COMMON ROOM (MCR)
All graduates are members of the MCR and, as members, are welcome to use the facilities offered by the College. These consist of a computer room, a tea room with an open fire and kitchen unit, bathroom, post room, and a reading room (the Octagon) which was converted from a 15th century chapel. The MCR also provides magazines, daily newspapers, complimentary tea and coffee, a wine cabinet, a large selection of films, and a myriad of social activities (which are listed on the MCR Term Card). The MCR is run by the President and an elected Committee of 15 students. This Committee is intended as a support structure for the MCR, and any Committee member would be willing to advise you on questions you may have when settling into Oxford Life. As well as having access to MCR facilities, graduates also have access to the JCR and associated facilities.
When you arrive, you should visit the Lodge, the Academic Administrator and the MCR President. The MCR President will be on hand to welcome you and, at arranged times, will show you around the College and the Octagon (the MCR quarters). Post for members of the MCR is left, in the first instance, in the Lodge, and is then taken by one of the MCR officers to the Octagon where it is distributed into pigeonholes.
Every Graduate is allocated a ‘College Advisor’; a member of the Senior Common Room, who will be on hand to offer guidance.
The Tutor for Graduates, Dr Christopher Tyerman, is responsible for graduates and he may be contacted via the Academic Administrator. The Chaplain, Nurse and Junior Deans tend to students’ welfare needs, and the MCR also has its own Welfare Officer, who may be contacted through the MCR President, Toby Murray, (

Three UNIVERSITY CARD & MATRICULATION
On arriving at College you should go to the College Office to collect your University Card which will give you access to Libraries and Departments. On the morning of Saturday 18th you will be required to attend the Matriculation Ceremony in the Sheldonian Theatre. 'Sub fusc' must be worn (i.e. for men dark grey or black suit, white shirt, white bow tie, dark shoes; for women black skirt or trousers, white shirt, black tie, black tights & shoes. Gowns & caps are also worn.) New or second hand gowns may be obtained from shops in the town: Castell & Son, 13 Broad Street (tel. 01865 244000); Shepherd & Woodward, 109 High Street (tel. 01865 249491); or Walters & Co., 10 The Turl (tel. 01865 241848). Details of Matriculation will be given to you in 0th Week.
Four LIBRARIES i)
Bodleian Library
This is the University Library, it is a copyright deposit library and as such does not lend books. Admission is by means of your University (‘Bodleian’) Card. ii)
College Library
Access to the Library is by wicket key, issued by the Lodge to students on arrival. There is a computer room in the library basement, and all desks have computer points. There will be an introductory tour of the College Library before the start of term, at which copies of the Library Information booklet will be available.

Faculty Libraries
Each faculty or division maintains its own Library. The details of registration and admittance to those Libraries are distributed by each department.
Five PHOTOGRAPHS In addition to the photograph for the University Card, you are also required to submit as soon as possible to the Academic Administrator four passportsize photographs of yourself, with your name written on the back. These are essential for College records.

Seven ACCOMMODATION AND MEALS Meals are served in Hall at the following times: Breakfast 8.15 9am MondayFriday Brunch 11am 12.30pm Saturday & Sunday during term Lunch 12.15 1.30pm MondayFriday Dinner 6 6.45pm MondayFriday. Formal Hall 7.15pm Wednesdays & Sundays (only in term) College Guest Night 7.15pm Fridays of 4th and 8th weeks (Dinner is not served on Saturdays) Meals are purchased by swiping your University card, and the cost is added to your battels bill the following term.
Accommodation It is hoped to allocate rooms in College accommodation for almost all Fresher Graduates during their first year, and an application form for this will already have been sent to you unless you were informed otherwise. You should collect your keys from the College Lodge on arrival. N.B. you will be required to sign a Licence to Occupy College Accommodation; a refundable deposit of £75 will be added to your first term’s battels bill Parking is heavily penalised and only 20 mins are allowed for unloading. Please note that, because of the difficulties of parking in Oxford, graduates are strongly advised NOT to bring cars to Oxford. Basic furniture and heating will be provided as will pillows, duvet, duvet cover with matching pillowcase, white pillowcase and white sheet, but you should bring your own towels and such items of crockery and cutlery as you may need. All graduate rooms have telephone connection points provided via the NTL cable network; phone cards can be purchased from the Lodge. All internal calls are free. In all college accommodation internet access is available directly via the University ethernet system.
For those who have not been allocated rooms or who wish to live in private lodgings, the University Accommodation Officer, Ewert House, Ewert Place, Summertown, Oxford OX2 7BZ [tel. 01865278286 (single) or 01865278287 (married) email:
[email protected]] will supply a list of lodgings which you may find helpful. You must live within 25 miles of the centre of Oxford or seek special dispensation from this limit. Please let the Lodge and the College Office have your address as soon as you have found accommodation. If you change your address, please let us know. Graduates often request to come up early and may do so any time after September 22 nd, however, you do have to pay extra for any College accommodation before Thursday 9 th October at the vacation rate of £13.66 per night. Please use the Lodge Slip to advise us when you plan to arrive.
Electoral Roll The College can register only those people who are actually living in College property and who are eligible to vote. Notices will be posted about this. It is advisable for UK graduates to ensure that they are on the electoral roll of their home district so that they can apply for a postal vote there in the event of an election. You will usually be eligible to vote in either place. EU graduates may apply for a form to participate if they wish to do so and a notice to this effect will be posted in College in October.
Bicycle Registration All students are required to register their bicycles. Registration transfers are available free of charge from the Lodge, which keeps a record of all numbers and will advise you on how to attach them. You may also borrow the UV marker to mark your property with the same number as your bicycles. Other items to note •
There are strict regulations in the College regarding noise. You might find it helpful to bring headphones for radio, hifi, TV. etc.

You should ensure that all of your personal possessions are covered by insurance against theft and fire. The College can accept no responsibility for your personal possessions.

Each individual television requires a licence; it is not covered by the College's own TV licence
Eight FEES AND CHARGES A statement of fees and College charges payable during the academic year 2008/9 will be detailed in the new version of the booklet "Information for Members", which will be available to view on the College website from the end of August, and a hard copy will await your arrival. Please read it carefully as it is the official College rulebook and contains important information on academic and domestic procedures at Hertford.
Please note that College fees are due at the beginning of the year unless the permission of the Bursar has been received for you to pay termly; the bill will be sent to YOU unless you notify us otherwise. If you are a Graduate who is not funded by any public body you must provide a written statement (Financial Guarantee) that you understand the level of expenditure involved and can meet it and that another person has agreed to pay it if you fail to do so yourself. Any maintenance grant is normally sent direct to the College for you to collect at the beginning of each term. Battels (i.e. College bills for room, meals, etc.) are also payable at the beginning of each term. Interest is charged on battels still outstanding by the end of 5th Week. Bank accounts You will be required to pay your College Battels (charges for rent and food). To pay by card or cheque you will need to have a UK Bank Account. As proof of your student status, banks will ask you to produce (i) your 'offer of a place' letter and (ii) your University Card (which you will receive on arrival here). Following legislation placed upon banks by the Regulator, Financial Services Authority, the banks have been required to request further information, especially from those students visiting from overseas. The following additional information will be required: proof of identification, passport, confirmation of your address while living in the UK and, if appropriate, your home address overseas, using separate documentation for both which must be in some form of official documentation. If an overseas student already holds a bank account in their home country an up to date statement would be of assistance.

Please note that if you believe you satisfy the Oxford
University regulations to pay fees at the UK/EU rate then you should contact the Academic Administrator immediately who will then advise on the documentary evidence required.

EXAMINATION ENTRIES & DICTIONARIES For some courses, examination entry forms may have to be submitted within the first few weeks of your arrival at Oxford. As there is a penalty charge for late submission, you are advised to watch your pigeonhole and email for notification. If English is not your first language and you wish to request permission to use a bilingual dictionary in an exam, you must tell the College Office as soon as possible.
Ten MEDICAL FACILITIES It is a requirement that every student must register with an Oxford doctor. The College Doctors are Dr John Sichel and Dr Diana Ferguson; you should complete the enclosed questionnaire and return it direct to Dr Sichel in the envelope provided by 22 August. The doctors will meet all Freshers in College on the morning of Saturday 11th October. Please bring your NHS medical card, if you have one to this meeting. You can, if you wish, register with a different doctor, in which case, the name and address of your doctor should be notified to the Academic Administrator and the Lodge. Graduate students are offered reduced rates by the Dentist, Mr David Beardmore. His surgery details are: 130 High Street, Oxford. Tel: 01865 249492. The College Nurse holds a surgery every weekday from 0th to 9th Week in the medical room in OB1 Basement. She is able to deal with minor illnesses and refer students to the doctors. She will visit students in their rooms if they are too unwell to attend surgery. She will provide confidential advice and/or referral on health matters, vaccination or welfare problems. The Nurse’s hours are displayed on the outside of the Surgery door and on the Hertford College web pages. The doctors hold a weekly surgery in College in the medical room during term. Overseas students are normally eligible for free NHS treatment. However, overseas students undertaking clinical medical work or work involving contact with hospital
patients here must bring with them a satisfactory Xray film taken during the previous 12 months and submit this to the Academic Administrator on arrival. Failure to produce this will mean that an Xray examination will have to be arranged during your first term in Oxford. Evidence of Hepatitis B vaccination is also required.

WELFARE The Chaplain, Leanne Roberts; the Dean, Professor Devenish; and the Nurse, Yo Davies, are responsible for the pastoral care of all the students. The Welfare team (which also includes the Junior Deans, MCR Welfare Officers, and Peer Supporters), is here to help make your time in Oxford as happy as possible. The Chaplain lives in College and is always pleased to speak in confidence with any member of College, irrespective of religious affiliation, regarding any matter. She is usually available in her room (NB2/8) – just call in or email to make an appointment (
[email protected]). The College Nurse is a mental health professional, trained in problemsolving methods.
Twelve
THE CHAPEL The Chapel, located in OB Quad is open to all students irrespective of belief. The College Chaplain is the Reverend Leanne Roberts, who is supported by a team of Wardens and the Organ Scholar. Hertford also has an active Roman Catholic community and Christian Union. Although the Chapel is a place of Christian worship, Leanne is available for all students, regardless of faith, and will be very happy to point those of other faiths in the appropriate direction. There is much university provision for all denominations and religions; please see the links on the Hertford Chapel website. The first Chapel service of term will be 5.45pm Choral Evensong on Sunday 12th October to which all are welcome. The Chaplain hosts tea and cake in Hall every afternoon of Freshers’ Week: a good chance to get to know people.
