Key Function:
To manage, develop and promote the Support Staff functions within the school in the furtherance of whole school objectives.
Main Duties: 1. Strategic Role • To function as the senior member of the associate staff • To act as a ‘bridge’ to facilitate closer working relationships between the teaching and the associate staff in order to successfully implement the DfES Workload Initiative • To be responsible for the recruitment and management of the associate staff, including direct line management where appropriate (NB school office remains responsibility of HM PA as Office Manager) • To liaise with staff who hold key positions of responsibility to ensure the coherent delivery of administrative services to the whole school community e.g. SIMS software, School computer network, Library, catering, site staff, office manager etc. • Provision of administrative support to Leadership Team 2. Whole School Administration • To manage the admissions process in conjunction with HM • To act as Senior Invigilator for the annual Entrance Exam • To manage the production and return of statistical information required by the DfES/LEA • To work with CRF to ensure the smooth running of planned ‘events’ i.e. school photographs, health inspections, Careers Days, etc. • To coordinate the work of the associate staff team outside of the General Office, to ensure a timely and reliable service is provided to internal/external customers

To take and publish minutes of meetings as requested by HM
3. Personnel Management • To manage the recruitment process for all staff - medical and criminal background checks, issuing of contracts by the Foundation Office etc. • To liaise with GC to establish and maintain a performance management and professional development programme for the associate staff • To administer day to day absence cover arrangements • To maintain adequate records of staff absence 4. Estate Management • To convene and chair regular meetings of the Health and Safety Committee • To oversee the maintenance of the school site and grounds • To oversee the furnishing and general decoration of the school buildings • To act as project coordinator for larger scale building/refurbishment projects • To be responsible for the letting of the school premises to outside organisations and school staff and to develop out of hours lettings in line with the school ethos • To ensure suitable risk assessments for all school activities are conducted and documented • To establish and maintain suitable loss prevention strategies 5. Marketing • To promote the school to different audiences and raise the profile of the school within the West Midlands area. • To liaise with local businesses with regard to fundraising, sponsorship and joint projects • To act as press liaison officer, referring enquires to appropriate members of staff • To generate press releases 6. Finance • To negotiate, manage and monitor contracts, tenders and agreements for the provision of support services and to make recommendations to the Leadership Team • To liaise with the Foundation Office Finance staff to ensure that the school receives all the funds (DfES/LEA etc) to which it is entitled • To be the point of contact with central and other agencies with regard to grant applications, gifts and other donations • To maximise income generation within the ethos of the school • To liaise with staff responsible for catering, transport, bookings for school facilities and the school shop • To monitor time sheets and expense claims of associate staff

To liaise with the Foundation Office regarding all insurance claims To ensure that the asset register is maintained
