Exhibits/Sponsors Rules & Regulations

Total Cost $ 1. Exhibitor must pay the organizers in full before Exhibitor is permitted to install its display. If Exhibitor does not occupy its space, Organizer Requested Booth Numbers: is authorized to occupy such space deemed to be in the best interest of the Expo without in any way releasing Exhibitor from any liability hereunder. Organizer reserves the right to relocate Exhibitor to a space other than originally specified. Choice #1 __________ Choice #2 __________ 2. The total liability of the Organizer in connection with this agreement should be limited to payments made by the Exhibitor to the Organizer under the term of this agreement. The Exhibitor agrees to indemnify the Organizer, and the owner of the premises against and hold them harmless from any claim or liability of whatever nature, which may arise or accrue by reason of the acts or negligence of the organizer or Exhibitor, their agents, employees, guests and invitees. 3. The Exhibitor shall not damage nor mar, or in any way deface, said premises. The Exhibitor shall be liable for any such damage including but not limited to those to the building walls, column, booth equipment, grass and ground, or any other property and will pay to the Organizer upon demand, such sum as shall be necessary to restore said premises. 4. Mechanical or electrical devices, which produce sound, must be operated so as not to disturb other Exhibitors. Organizer reserves the right to determine the placement and acceptable sound level of all devices. 5. The Exhibitor waives any and all claims against the Organizer based on loss due to inclement weather or an act of God. 6. The Exhibitor undertakes that all personal property must be removed in accordance with the desires of the Organizer and the drayage contractor. 7. The Exhibitor shall not assign this agreement or permit its space, or any part to be used by another, or use any portion of the premises other than herein specified without the written consent of the Organizer. 8. The Organizer and its representatives shall at all time have free access to the premises and the booth. 9. The Exhibitor shall employ only services made available by official contractors in the installation and dismantling of its exhibits and its operation when required. 10. Hours and dates for installation and showing shall be those specified by the Organizer.

Exhibitor agrees to hold harmless and indemnify the Organizers, Hamptons Expo Group as well as The Southampton Elks and the Town of Southampton from any and all liability in connection with any claim arising from the use or occupancy of exhibit space by the undersigned, its agents, employees, guests or invitees. Prime Selling Time In 2009, we are moving the event 4 weeks later in the season than 2008. The main reason is to better catch the population swell of the Hamptons Summer season, which escalates to 300,000 at its height. Each weekend during May, an increasing number of weekend homeowners open their homes for the season, which culminates on the Memorial Day weekend, considered the official start of the season. Exhibitors in 2009 will benefit by displaying during a much more populated “in-season” weekend than in 2008. By early June, Hamptonites and weekend homeowners

Additionally, the mild temperatures in early June, while perhaps still too chilly for the beach, are ideal for shopping in a fairgrounds indoor and outdoor expo setting. Staying light longer during the day also helps foster later afternoon/early evening traffic flow.

As Recession Proof As It Gets While no community is completely recession proof, the Hamptons is as good as it gets. The property value of the average attendee is $1.2 million, with 25% living in homes valued over $2 million. These affluent homeowners continue to have sizable budgets to maintain and enhance their property in order to protect this substantial real estate investment. Home improvement, remodeling, decorating and landscaping are how Hamptonites spend their money on the East End. While they might not be selling their homes this year, 90% indicated in 2008, that they were conducting home improvements in the next 12 months. Their average budget — a substantial $65k. Your Choice of Indoor or Outdoor Space—totaling 60,000+ square feet Indoor - Booths are 8’ deep and 10’ wide (your storefront) and include a 6’ decorated table, 2 chairs, wastebasket, pipe and drape (8’ back and 3’ side). A limited number of larger 10’ x 10’ booths (20) are available. The exhibitor entrance to the tent is 9’ high x 10’ wide.

Outdoor - Completely fenced in, this sizable 25,000 sq. ft. grass expo is adjacent to the indoor tent, just behind the indoor theater. To attract traffic flow, the Outdoor Expo has its own entrance/exit which is next to the parking lot. To help attract buyers outside, we have placed the restaurant, food seating areas, and special display/attractions in the area. Exhibitor booth sizes are divided into 10’ x 10’, 10’ x 20’, 20’ x 20’, 20’ x 30’ and 20’ x 40’ units. Outdoor Entrance

This dramatic and highly engineered fabric structure spans a gigantic 80 ft. wide and 380 ft. long and tops out at a 29 ft. ceiling. The entire floor is carpeted with new Astroturf as flooring over the low cut grass field. (Sheets of plywood can be provided to easy rolling of large display during set-up and break-down times.)
