CD1 NOTICE OF CONFERENCE The purpose of LGBT Conference is to discuss matters of concern to LGBT students, to set policy and to provide networking and workshop sessions. This document has been put together to help you take part in NUS LGBT Conference. Should you have any further queries, please contact the Events Team on 0871 221 8221.
LGBT STUDENTS The conference is open only to lesbian, gay, bisexual and trans people on selfdetermining basis and only lesbian, gay, bisexual and trans students shall be eligible for election as delegates to the Conference.
POLICY Policy passed at LGBT Conference then becomes LGBT Campaign policy. To have input into the LGBT policy procedure, unions can submit motion(s).
HOW TO SUBMIT MOTIONS The deadline for submission of motions to NUS LGBT Conference is Wednesday 18 March 2009 at 5pm. 1. Motions can be submitted by any individual member of NUS who self defines as lesbian gay bisexual or trans, Constituent Members of NUS (colleges and universities who are member of NUS) and recognised NUS Areas. Motions must state who has submitted them. Each individual/Constituent Member/Area is entitled to submit 4 motions, one per zone 2. The Executive Committee would encourage all motions to be submitted under the following headings: 1. Welfare and student rights 2. Education 3. Strong and Active Unions
4. Society and Citizenship

CD1 NOTICE OF CONFERENCE 3. The maximum word length of a motion is 500 words, unless it is an amendment to the Standing Orders (the rules governing the conduct of business at conference). Motions which are longer than 500 words will be ruled out of order. 4. Motions should be sent to: NUS LGBT Campaign Steering Committee, c/o

AMENDMENTS The deadline for submission of amendments to NUS LGBT Conference is Monday 6 April 2009, at 5pm. 1. Amendments can be submitted by any individual member of NUS who selfdefines as Lesbian, Gay, Bisexual or Trans; Constituent Members of NUS (colleges and universities who are members of NUS) and recognised NUS Areas.
Amendments
must
state

them.
Each

CD1 NOTICE OF CONFERENCE COMPOSITING Compositing will be held on Wednesday 8 April 2009, the venue will be confirmed at a later stage.
We realise that this is during Passover, but Jewish students are
advised that they can send proxies to compositing. Compositing is the process whereby all the motions and amendments that have been submitted are arrange in a logical manner before they are presented for discussion at conference. All the text that has been submitted will be organised under motion headings and the order and inter-relationships of the motions and amendments will be worked out. You can attend compositing if: •
You have submitted motions/amendments or are a representative of a student union or NUS Area who has.
•
You have a proxy to composite on behalf of another individual/student union/NUS Area who has submitted motions/amendments but cannot attend the composite meeting.
The correct wording for proxies is as follows: ‘I, (your name) of (your college) authorise (the name of the person to whom you are giving your proxy) of (the college to which that person belongs) to composite on my behalf for the National Union of Students Lesbian, Gay, Bisexual and Trans Conference, April 2009. All proxies should be signed. Ideally, proxies should be on an original copy of student union/college headed paper. If this is not possible, Steering Committee will adjudicate on whether to accept the proxy.
ELECTIONS There will be elections for the LGBT Officers, LGBT Committee and Steering Committee at this conference.

CD1 NOTICE OF CONFERENCE Nominations for the LGBT Officer (open place) and LGBT Officer (women’s place) will close on Friday 27 February 2009 at 5.00pm.
Please contact the events
department for a nomination form. Nominations for committee positions will be open and be closed at the conference. Further details will be announced at conference.
EMERGENCY MOTIONS The deadline for the submission of emergency motions is 5pm on the afternoon of the first day of Conference, Friday 24 April. Emergency motions submitted at conference should be submitted to the Steering Committee. Please note that emergency motions can be sent in advance c/o Events Office.
THE DELEGATION ENTITLEMENT Each Constituent Member is entitled to send four delegates with full voting and speaking rights.
NUS LGBT has a policy of gender balanced delegations. Your
delegation should consist of 2 open place and 2 women’s place delegates. Delegations which are not gender balanced will not be accepted for registration by the Steering committee. Please contact the Steering Committee at
[email protected] if you require any further information on this. Each delegate will be charged a registration fee for the event, details of which can be found on the www.officeronline.co.uk website and on online booking information. In exceptional circumstances, Steering Committee may waive the registration fee. Please make requests for such a fee-waiver in writing to the ‘Chair of Steering Committee’ c/o NUS HQ. The Conference shall be open only to Lesbian, Gay, Bisexual and Trans students on a self-determining basis.
LGBT COMMITTEE The LGBT Committee consists of the following voting members; three open place members elected by the full conference, three members elected by the women's caucus, one bisexual students' representative elected by the bisexual students'

CD1 NOTICE OF CONFERENCE caucus, one black students' representative elected by the black students' caucus, one disabled students' representative elected by the disabled students' caucus, one further education representative elected by the further education caucus and one trans representative elected by the trans caucus. In addition to this the LGBT Officers from UCMC (NUS Wales), NUS/USI and NUS Scotland will each have voting places on the committee. Each of these officers are elected by their own autonomous conferences.
SPEAKING RIGHTS Members of the NUS LGBT Committee and NUS LGBT officers have full speaking rights. All delegates or observers appointed by CM’s and Area organisations also have full have speaking rights.
REGISTRATION In order for you to register for conference you must have authorisation by your union president or your SSLO.
They will authorise your booking by confirming your
conference security code, which has been mailed out to them in the post. If they do not have this code they should contact your regional office who will be able to confirm your code after asking some security questions, to confirm that you are the affiliated member. The delegation must register for Conference on www.regonline.co.uk.
The Events
Office cannot fill in a form for you. Please ensure all names are printed clearly and correctly. Regonline forms MUST be completed by 1pm, Thursday 9 April 2009 at the very latest. If you have not held your elections by the closing date, make sure your registration reaches us in time with the number of delegates and observers you will be sending then make the changes to your delegation at least one week prior to the start of conference. By doing this you will avoid the late registration fee, which has to be charged to cover the additional administrative work incurred, and you will be guaranteed accommodation and meals. The fee for late registration is £50.00 per person.

CD1 NOTICE OF CONFERENCE Online registration www.regonline.co.uk will be available from February 2009. Accommodation, meal entitlements and access requirements cannot be guaranteed after Thursday 9 April 2009.
ACCESS NEEDS Please ensure that you include details of any access needs required by your delegates, to enable that person to fully participate in this event.
Advance notice allows the
necessary arrangements to be made in good time. Please note all such requirements when booking online. Full details are necessary. Childcare can be provided. It is very important that you register children in advance to ensure a high standard of care, safety and enjoyment for children using the crèche. Please include childcare details when registering. NUS cannot take responsibility for childcare not booked without our consent. Please contact the Events Office to discuss the options available to you.
