HISTTORY In 1910, twenty‐four college and university registrars and d business offficers, feeling the need to o discuss their ccommon resp ponsibilities, m met in Detroit, Michigan. Before adjou urnment, of tthis conference, the particiipants organized the Ameerican Associaation of Colleegiate Registrrars. From thiis small initial meetin ng, AACRAO has grown to o a membersh hip of more tthan 2,000 institutions witth some 7,50 00 active memb bers in the are eas of admisssion, registration and reco ords, internattional educattion, and institu utional researrch, as well ass affiliate meember organizations. Thesse members rrepresent maany types o of institution ns of higher education in tthe United States, Mexico, Canada and d other counttries. In 194 49, when man ny institutions began to esstablish separate offices o of admissionss and recordss, AACRA AO adopted itts present tittle: American n Association of Collegiatee Registrars and Admission ns Officers (AACRAO).. Our Michigaan Association of College Registrars ho osted its first meeting in 1 1921 on the campus of Easttern Michigan n University iin Ypsilanti. LLike AACRAO,, we adopted d the title of M MACRAO in the early fifties. The organizaation continues to be a national leaderr.
MISSSION STA ATEMENT The M Michigan Asso ociation of Co ollegiate Registrars and A Admissions Officers (MACRAO) is organized to provid de for the excchange of info ormation con ncerning issuees of interestt to its memb bers and to contrib bute to the advancement of education n in Michigan n. The asssociation, through an ann nual conferen nce, other wo orkshops and d seminars an nd contacts w with educattional leaders and other p professional aassociations in the state, sstrives to pro ovide professsional develo opment oppo ortunities for its memberss as well as prrovide a forum for discusssion and the exchan nge of ideas.

COM MMITTEE MEMBER RSHIP APPO OINTMENT PROCESS MACRA AO committe ee membersh hip is voluntarry and all MACRAO membeers are welco ome to submit an applicaation. Comm mittee appointtments shall b be for three‐yyear terms, w with the excep ption of the Local Arranggements Com mmittee which h is a one‐yeaar term appointment. In o order to servee the full term m of the appoin ntment, mem mbers are expeected to activvely contributte to the funcction and actiivities of the committee. Memb bers who misss meetings orr who do not aactively contrribute to the work of the committee may be replaced by tthe committeee Chair upon n review and recommendaation of the Exxecutive Comm mittee. Excepttions to the three‐year lim mit are approvved by the MA ACRAO Execu utive Committtee, througgh whom the appointed m member reporrts. For comm mittee appoin ntment, indiviiduals need to o be listed aas members o of MACRAO in the MACRA AO Membersh hip Directory (http:///www.macraao.org/Directory/DirSearch h.asp) and are required to o submit a Committee Memb bership Appliccation. At the same time, the committee Chair shoulld recommend to the Vice‐President: ming year • individuals recommendeed for Chair aand Co‐Chair ffor the upcom dations for reeplacement o of any inactivee members • recommend ns for any alteernate memb bers, if availab ble • nomination The Vice‐President reviews all reecommended d committee aappointments and discussses duplications, replacements and rrecommendations with thee Executive C Committee as necessary. A At the Octobeer Executtive Committe ee meeting, aappointmentss will be discu ussed. Invitattions to accep pt appointments to commiittees will be extended by the Vice‐Pressident to each new ap pplicant with an appropriaate reply datee. The Vice‐Prresident notiffies the comm mittee Chair and th he Executive C Committee if any member declines an aappointment,, and decision ns are made tto invite alternaates to serve.. Executive Committee meembers may aapproach meembers to join n a committeee after discusssion with the Executive Co ommittee and d the current committee C Chair. Commiittee memberrship should d be as complete as possib ble by the Ann nual Meeting. TASK FORCES/A AD HOC COM MMITTEES From ttime to time, a topic of som me urgency o or specialized concern, butt not necessarily of an onggoing naturee is brought to o the attentio on of the Asso ociation. In such instancess it is usual fo or the Executiive Comm mittee to explo ore the matteer and determ mine if it can b be dealt with by an existin ng standing committee or if it w would be desirable to estab blish a task fo orce or ad hocc committee.. Such ggroups are normally established by Execcutive Committee action aand appointed d by the President in consulltation with th he Executive Committee. They may bee made up of persons seleccted from existing standing committee es, an area off specializatio on within the Association, former Presid dents, or som me other selection of persons based on th he nature of tthe task to bee accomplisheed. Normally the group wiill be given aa deadline byy which it is to o complete itss work and reeport back to the Executivee Committee. Fundin ng for these aactivities mustt be considerred when its eestablishment is proposed d and normally would be made available ffrom Associattion funds.
COMMITTEE MEEMBER RESSPONSIBILITTIES The MACRAO comm mittee structu ure is MACRA AO at work. Itt is the means by which th he majority off our dingly, it is neecessary that all the comm mittee membeers are familiaar with activities are carried out. Accord the expectations off them and th he procedure by which theese expectatio ons are accom mplished. The C Chairs and Co‐‐Chairs have aaccepted the additional ressponsibilities of leadership are expected to com mmunicate frrequently with the Vice‐Prresident and P President‐Elect regarding preparration for the e Annual Meeting and attend occasionaal Executive Committee meeetings as neccessary or requested. Comm mittee Chairs aand Co‐Chairss will meet peeriodically witth the Executtive Committeee to: d and discusss topics for th he Annual Meeeting (session ns/workshops) • recommend d discuss com mmittee activiity and projecct plans • present and Chairs/Co‐Chaairs in setting goals and ob bjectives, prep paring budgett requests, an nd • assist the C preparing tthe Committeee Year‐End R Report • be familiar with the resp ponsibilities o of committee leadership/m membership
GOALLS AND OBJJECTIVES Each committee Ch hair is responssible for a revview of defineed committeee goals and ob bjectives with h the committee members to assure tthat they are accurate, and d that all mem mbers have a mutual undersstanding. An ny updated orr revised goalls or objectivees should be ssubmitted to the Executive Comm mittee for review and appro oval as soon aas they are deeveloped.
TRAN NSITION OF CHAIRPERSONS Each committee Ch hair and Co‐Ch hair is respon nsible to the EExecutive Com mmittee for b being knowled dgeable duties, respon nsibilities and d activities described in thee Committee and Leadersh hip Manual. A An of all d inform med and respo onsible leadership will enh hance the effeectiveness an nd creative vieew of the com mmittee. Chairs should organ nize their com mmittee to wo ork effectively and producctively at a qu uality professiional level. W When the com mmittee appo ointment pro ocess is finalizzed, the curreent Chair is responsible forr contaccting the inco oming Chair ab bout the tran nsition prior to o or at the An nnual Meeting. The new C Chair assumes responsibiility for the co ommittee at tthe Annual M Meeting. The ou utgoing Chair should ackno owledge the o outgoing com mmittee mem mbers’ work att the last Ann nual Meetin ng of their term. Certificattes of Apprecciation are prepared for all active comm mittee members, signed d by the Presid dent and Secretary, and presented at the Annual Meeting by thee incoming President‐ Elect.
FUND DING – EXPENSES AND D REIMBUR RSEMENT MACRA AO budgets aa specific amo ount annuallyy to fund apprroved committee activities under the d direction of the President and the Executive Committeee. There are several types of committeee expenses tthat are ursable by MA ACRAO provid ded advance approval is o obtained from m the Presiden nt. Committees that expect to charge regiistration fees for programss or to generaate income from MACRAO O sponsored w workshops aree required to submit an Income and Exxpense Reportt to the Execu utive Committtee for appro oval before an ny commitmeents are madee. Comm mittee Chairs aand memberss provide leaderrship and coordination for the program sessions and d workshops. They contactt and confirm m speakeers and ensurre their prepaaration for theeir sessions, ssubmit requirred budget/reeimbursemen nt forms, identiffy moderators (who introd duce speakerss and collect eevaluations, iif applicable) for each com mmittee‐ sponso ored session, and ensure tthat session m materials are provided for the attendeees. Every effo ort must be made to avoid canceling a session once it is included in n the program m. If replacem ments for speakers, panel members or moderators aare required, it is the comm mittee’s responsibility to identify them and contacct the Preside ent‐Elect imm mediately to m make the neceessary changee(s). The Execcutive Comm mittee or other ccommittees m may assist in identifying reeplacements, if necessary. The Exxecutive Committee mainttains oversigh ht of the Annu ual Meeting through its regular meetinggs. It assurees that the needs of the meembership arre met in proggram applicab bility and inteerest; approves the budget, registration n fees, publication costs, aand honorariaa; approves th he meeting program and fformat submittted by the President‐Elecct; and assurees fiscal respo onsibility in acccounting and d reporting off income and exxpenses.
GUID DELINES FOR R HONORARIA Comm mittee membe ers are encouraged to seekk presenters, in addition to o MACRAO m members, who o will participate in the m meeting as a p professional ccommitment, such as profeessionals from m the State Govern nment, Michiigan Departm ment of of Edu ucation, indivvidual schoolss or colleges, o or testing ageencies and ab bsorb their ow wn expenses. Any honorarium that is p paid must be preapproved via the appro opriate form (refer to “Funding‐ Expensees and Reimb burse” section n). Individ duals making professional presentations at the Annu ual Meeting o or a MACRAO sponsored event may bee eligible to receive an hon norarium and d/or expensess, subject to tthe following: ual is NOT a m member of MACRAO and is not an emp ployee of a MA ACRAO member • the individu institution ual is NOT an admissions o or records pro ofessional • the individu ual does NOTT represent a vvendor • the individu ual would nott otherwise have a reason to attend thee meeting or event • the individu Executtive Committe ee approval is required to give an hono orarium. If th he individual w will be attend ding the entire event or mee eting in addition to his/her presentation, registration and registration fees will be requireed. Attend dance at the A Annual Meetiing by representatives of A AACRAO is geenerally paid ffor by AACRA AO, with the pro ovision that M MACRAO will provide 1 (on ne) night’s co omplimentaryy hotel room aand a meal (breakkfast, lunch, o or dinner) as aappropriate. If the individual elects to aattend the en ntire conferen nce, registrration and reggistration fees will be requ uired.

The President‐Elect w will work with the sponsoring committeee to develop registration m material, locatio ons and food requirementss for the workshop. Workkshops which do not achievve a critical registrration numbe er to cover expenses may b be subject to cancellation pending the jjudgment of tthe Executtive Committe ee. Propossals for free‐sstanding workkshops at tim mes other than n the Annual Meeting or aan ongoing co ommittee activityy should be submitted to tthe Executivee Committee at least nine months priorr to the planned worksh hop date. The same guideelines are followed for these workshopss as for preco onference wo orkshops. Costs m must be cove ered entirely b by registration fees chargeed. GUID DELINES FOR R MACRAO O PROPOSALLS AND RESSOLUTIONSS A writtten proposal or resolution n should be co oncise and cleear, stating w what is to be aaccomplished, who will complete the w work, the costt, and the length of time reequired to co omplete the p project. The p proposal should d be factual, aavoiding any ggeneralization ns; redirectio on and/or rew writing may bee required. The following is an outline of req quired proposal or resoluttion sections: 1. Introductio on and Objecttives: summaarize why thee committee ffeels the prop posal or resolution is required an nd what the b benefits to the Association n will be. 2. Summary: make a brieff statement o of the major ffeatures or structure of thee proposal, providing an objective judgment o of the importaance of the project. 3. Need: estaablish the neeed for the pro oject or resolu ution indicatin ng why and h how it has nott been satisfied byy another group or association. Review w procedures and survey otther associations for activities w which might du uplicate this p project. 4. Methods: iindicate the aactivities to be used to ach hieve the desiired results.
