A Pre-Bid Conference for the project was held on February 20, 2008 at 3:00 PM. A list of attendees is attached.

Drawings and specifications are available from Sud Associates, P.A. in the Durham office. Sud Associates, P.A. 1813 Chapel Hill Road Durham, NC 27707 Telephone 919/493-5277 Drawings and specifications were provided to contractors in attendance who had requested them or previously forwarded plan deposits.

Gamal Dorgham thanked the contractors for taking the time to attend. He introduced the staff of North Carolina A&T State University present at the meeting.

Gamal Dorgham provided the background and an overview of the project.

To ensure a fair bidding process, questions and/or clarifications requested by contractors will not be accepted after an established cut-off date. A cut-off date of March 6, 2006 at 12:00 PM was established. Contractors are encouraged to fax or e-mail their questions to Gamal Dorgham. FAX 919/493-5549 E-mail

Any contractor who wishes to visit the site again before the bid date should schedule in advance with Harry F. Giberson of NC A&T State University Phone 336/ 334-7572.

The project will be performed under a single prime contract.

Gamal Dorgham reviewed the Supplementary General Conditions, Article 23 – Time of Completion. The work must be completed in 90 calendar days instead of 60 days. The 90 days is started after the Notice to proceed

The building will be occupied during construction. However, there will be no university activity in room A14 until the project is complete.
10.
Harry Giberson addressed the meeting: A. The Contractor shall allow Minorities subcontractor businesses to participate in his bid and fill out the Minority Participation Forms. The Minority work participation percentage of the total project work shall be 10% minimum. B. The work schedule will be flexible and Contractor can work at different time. The working hours shall be coordinated with Benjamin Forbes. C. Harry Giberson is the university representative of the project and Benjamin Forbes is the building contact representative. D. The Contractor shall provide dust barrier or Shield to isolate the room A-14 from the building. The adjacent hall way and the exist shall be maintain clear for fire egress. E. The Contractor will be allowed to have some parking spaces and permits beside the boiler room at North of the building. Contractor to coordinate that with Benjamin Forbes.

Contractors are responsible for compliance with the “Guidelines for Recruitment and Selection of Minority Businesses for Participation in State Construction Contracts” which is included at the end of the project specifications. Documentation demonstrating compliance must be available for review and submission immediately following the bid opening. A contract award recommendation cannot be made by the engineer until compliance is verified. Each contractor must submit either Appendix B or Appendix D with the bid.

The contractors are responsible for site verification of existing conditions and distances. Locations and distances should not be scaled from the drawings. Contractors shall verify all existing conditions, pipe sizes, flow directions, etc. Any costs resulting from their failure to verify will be the contractor’s responsibility.

All contractors present at the meeting agreed to receive the Addenda and project correspondence by E-mail only. Contractors should send an acknowledgment when they receive any correspondence.

The drawings were reviewed.

The Contractor shall find out the lead time and the delivery date of the AHU prior to the construction. This is the item that will need close attention.
16.
Questions/Clarifications from the contractors were addressed. The site was visited to familiarize the contractors with the facility. Responses to the questions/clarifications discussed during the meeting or subsequently asked by contractors are attached.
17.
All contractors submitting proposals shall incorporate the items in this Addendum and all other addenda into their proposals and acknowledge receipt of the Addenda on their bid proposal forms.

CLARIFICATIONS/ RESPONSES FROM PRE-BID CONFERENCE AND CONTRACTORS’ QUESTIONS Proposal # 59-P9100 Renovation of room A14 in CH Moore 1. The last Sprinkler Contractor that work in the building was Patriot Co. 2. Disconnect the vent pipe in the existing wall below the slab and the roof. Cap the remaining vent pipe at both ends. 3. Raise up the height of sprinkler pipe in the storage room to be above the new ceiling elevation. 4. The Owner will remove the unused doors out of the room. 5. The dimming electrical lighting work is shown as cloud on the last E -101. This should be included in the project work. 6. The electrical drawing stated that the drawings is at 1/8”:1’ scale. The correct drawing scale is 1/4”:1’ scale. 7. Drawings Sheet M-101 – Keyed Note # 5 stated that: provide ductwork smoked detector and tie its control wiring to the AHU relays and to the existing fire alarm system. This shall be changed to: Provide ductwork smoke detector and tie in its control wiring to the AHU relays. 8. Replace plaster with sheet rock per specifications and patch the walls as needed.
