Last updated: 11/4/2009 Notes: Real-Time Acquisitions Batch Import of MARC Records From Vendor: The customer creates “carts” in the vendor's database, similar to other online retail Web sites. Order data for each title, such as location, quantity, collection, fund, etc., may be included in 970 fields in the bibliographic record. When the carts are ready, they can be downloaded from the supplier into the local Polaris database using the Acquisitions Bib import profile. The bibliographic records are saved to record sets and then purchase orders and selection lists can be created using the "Bulk Add to PO/SL" function. The purchase orders can be sent to the supplier via EDI. 1
Receive Electronic Orders: Vendors may receive electronic orders, but are currently unable (or don’t have the IT resources to return confirmations and invoices. As of Aug 2009, Rainbow Books and Recorded Books use third-party EDI vendors to process their electronic transmissions. 2
Receive Enriched EDI Ordering: Certain libraries have cataloging, physical processing, and other services performed by the book supplier. An enriched EDI order has everything of a standard EDI order, but also contains branch-specific data, such as bib ID #, location, collection, etc. This allows certain vendors to return EDI files, and full MARC records with embedded item data including smart barcodes, etc. The physical materials are shipped to the library “shelf- ready.” The library receives electronic files of MARC data in addition to the electronic invoices. The MARC files are then uploaded into the local Polaris database using the Enriched EDI import profile. This profile contains duplicate bib match criteria, normally 035 001, as well as on-order item record update (e.g. 949$e). 3
Receive Electronic Acknowledgements: Vendors may return a PO confirmation via email, instead of an X12 POA. See also Produce Electronic Invoices (note 5 below). Electronic confirmations are retrieved from Polaris using the printed Electronic PO Acknowledgement Report. 4
Produce Electronic Invoices: A Polaris SQL job, the EDIAgent, runs on a regular schedule. The job accesses the library’s outgoing directory on the vendors’ ftp sites. It picks up both electronic confirmations and invoices and copies the files back to the library’s Polaris database. The EDI invoice is automatically generated in the user interface. It builds the Open invoice(s), and links the invoice lines to their corresponding PO lines. The EDIAgent also produces a log of the transaction. The log is sent by e-mail to the acquisitions staff responsible for the EDI processes. 5

Search Local PAC Database from Vendor Database: While searching a vendor’s database, a customer may want to consult their library's holdings before purchasing a title. An ISBN search of the library's local PAC database is initiated from within the vendor's database. . Midwest Tape supports searching by ISBN, OCLC # and UPC. 6
Support z39.50 Searching. This procedure copies Bibliographic Records into the local database from another (target) database. In Polaris, it is possible to set a vendor's database as a Z39.50 target. This facilitates the searching of a vendor's database by a library staff member who can then “copy-catalogthe record by saving it in the local Polaris database. Currently only Midwest Tape supports this feature. 7
Titles-to-go (TTG): The user types an ISBN and presses Enter within a Polaris purchase order. This launches an ISBN search in the local bibliographic database. If the title is not found locally, the system automatically (and transparently) conducts a second search, using web services across the Internet of the supplier's database. If the vendor holds the title, the vendor’s system returns bibliographic data (title, author, publisher, etc.), including price, binding format, and currently availability. 8
Pending or Released: Work still Pending, meaning we have not yet completed a live ordering cycle with the first library. Vendor is Released, meaning they’ve gone through internal testing, and have completed the cycle with at least one library. 9

Most of these vendors have opted not to continue discussions, given their small size, lack of IT support, or the work required to integrate with an ILS.
