Virtual Office Management System The proposed system “Virtual Office Management System” aims to automate all the activities. Citing the feasibility reasons mentioned earlier, the proposed system implementation will be completed in phases. The Ist phase of this system implementation concentrates on the following modules. o o o o

Human Resource (HR) Management System Marketing Department Management System Front Office Management System Technical Team Management System

The complete system is proposed to be implemented in four phases. This phase-wise implementation has also the benefits of overcoming forced adoption of the system, which as observed in majority of cases, could be rejected. Add to it the advantage of possibility of inclusion of new features with the growth of the technology. For instance: integration of digital logging of employee movements in and out of the office, which could enable precise number of hours worked. The four modules intended to be implemented in this phase have been explained in detail below. These modules cover almost every aspect currently handled in the manual methodology.

Human Resource (HR) Management System Following are the list of activities that will be handled by the HR department in the proposed system: 1. Employee Profile Management:- Includes following activities: a. Profile Creation b. Profile Deletion c. Profile Updation d. Profile Suspension e. Profile Reactivation f. Profile Search 2. Task Scheduling Management:- will be handled cooperatively between Technical team and HR. Includes the following:

a. View Current Schedule i. Employee-wise ii. Branch-wise iii. Task/Project-wise b. Send alert to handle: i. To assign new task ii. To request current project status iii. Schedule changes 3. Group Management a. Creation b. Updation c. Deletion d. Suspension e. Reactivation 4. Resume tracking system: a. Resume upload b. Resume search 5. Resource Allocation Management a. Receive alerts about resource request b. Respond to resource requests c. Search resource details

Marketing Management It includes the following activities. 1. Client Profile Management a. Creation b. Updation c. Deletion d. Search e. Blacklist 2. Client follow-up and Client Meeting schedule 3. Forward of confirmed orders to HR for execution scheduling 4. Resource Request 5. Follow-up on payment collection 6. DSR preparation

Front Office Management 1. Data entry of enquiries 2. Data entry of employee attendance details 3. Data entry of expenditures and revenue collection

Technical Team (Task Execution) Management 1. Status reporting a. Day-wise b. Weakly 2. Request for resources 3. Schedule meetings/discussions
