Introduction This document is designed as a guide and reference to the Midwest Network Management Database. After reading this you will have the knowledge to complete tasks with speed and ease in the database. Using Midwest.mdb will allow you to do everything from create a new student, giving that student an account, all the way to viewing the account invoice data. All of which will be explained in this document.

Getting Started Upon opening Midwest.mdb the Main Menu will be displayed. This menu displays the three main categories you will be working on in the database. The three main categories are; Invoicing, Student Management, Account management. You will be shown how to use each category correctly throughout this document.

Buttons & Navigation In order to use Access effectively you must first know how to use the buttons to perform certain tasks and navigate the many different types of menus, forms, queries and reports. This section will guide you through each of the common buttons used throughout the Midwest database.

Delete Record Once clicked, the current record in the form will be deleted. Be careful when using this button for once you have deleted the record, you cannot get it back!

Add Record When clicked, it will bring up a blank record in the form allowing you to enter the required details for a new record.

Save Record When clicked, the current record will be saved. Be sure to click this button after changes have been made to a record.

Previous Record Clicking this button will scroll back one record in the list.

Next Record Clicking this button will scroll forward one record in the list.

Close Form Clicking this button will close the form and take you back to the last menu.

The Menus Main Menu The main menu is the first menu you will see when you open up the Midwest database. The main menu contains three main categories that you will be using throughout the database. Navigating the main menu is simple, clicking on any of the three large buttons Invoicing, Student Management and Account management will take you to the appropriate menus for each category. Clicking on ‘Quit Access’ button will close the main menu form and will shut down the application.

Invoicing Clicking the ‘Invoicing’ button on the main menu will present the Invoicing menu, this menu contains everything you will need for invoicing. There are Three buttons. The first is the Sessions list button, when you click this, it will Generate a Sessions report used for the invoice for each user. The second button named Invoice.doc opens up the mail merge document that will be sent out to all account holders. Finally there is the close form button which closes the form and returns you to the main menu.

Student Management Clicking the ‘Student Management’ button on the main menu will present the student management menu which only contains two buttons the first one being Student Data, when this is clicked it opens up the New Student form which will manage all of the students in the Midwest training program. Secondly there is the Close form button which closes the menu and returns to the main menu.

Account Management Clicking on the ‘Account Management’ button in the main menu will open the Account Management menu which houses everything you will need for managing your user accounts. The account management menu contains Six buttons. The first button is the New Account button this will open the form necessary to create new user accounts. The second button named Edit account details opens the necessary form to edit accounts. The third button named Delete Account opens a form needed to delete any un-needed accounts. The fourth button called Sessions Log opens up a form needed to add sessions to accounts. The Sixth button runs a query that deletes sessions. Lastly is the close form button which closes the menu and returns to the main menu.

Forms This section describes the forms used in the Midwest Database, what they do and how to use them.

Student Data The student data form is used for everything to do with students, from entering student details, to editing created students details, or even deleting students.

New Account The New Account form is simply for creating Accounts for currently enrolled students who wish to have an account to give them access to the Midwest network.

Edit Accounts The Edit Accounts form is used for just that, editing current accounts, this form can change the student’s password, their login ID or even the date it was created.

Delete Accounts This form is used for deleting Accounts of students who have left Midwest Training.

Sessions Log This form is used for filling out new sessions for each account. This must be done at the end of every day.

Queries This section describes the Queries used in the Midwest Database, what they do and how to use them.

Delete Sessions The Delete sessions query once clicked will prompt you to insert a Login ID then the Date you would like to delete. Be Careful with this feature as once these records are deleted they cannot be recovered.

Reports This section describes the Reports used in the Midwest Database, what they do and how to use them.

Sessions List Clicking the Sessions List button will open a report that holds all sessions of each account signed up in the Midwest Database.
