Annual Regional Charity Revision 0

OBJECT This document outlines the selection process for the annual Regional Charity. RESPONSIBILITIES REGIONAL CHARITIES OFFICER The Regional Charities Officer is responsible for the execution of this process. CAPTAINS BOARD The Captains Board is the approval authority for the annual Regional Charity. PROCESS Each year, the Regional Charities Officer will solicit from the region, input regarding potential candidates for the annual regional charity. In addition, the Regional Charities Officer may also individually select potential candidates as well. The time frame for this input is October 1 through November 30. By December 1st, the Regional Charities Officer will submit the listing of the charities to the Captains Board Chairman. The Captains Board Chairman will enter the list of charities as a Captains Board Topic and this topic will then be open for discussion. By virtue of this document, the Regional Charities Officer will be granted Captains Board Guest Membership in accordance with the latest revision of the document "Captains Board". NOTE The function of the Captains Board with respect to the Annual Regional Charity is for approval of the annual charity only. Due to the fact that an initial solicitation of the region was performed, no additional charities may be added. The Captains Board will select the annual charity by a vote as follows: 1. Upon completion of discussion, the Captains Board Chairman will put the list of charities up for a vote. 2. If a charity receives greater than 50% of the vote, that charity will be the one selected. 3. If no charity receives greater than 50%, then another round of voting will occur. The charities selected for this second round will be the charities with the highest number of votes and the combination of those votes totaling greater than 50%. 4. Steps 2 and 3 will be repeated until a charity receives greater than 50% of the vote. EXAMPLE 6 charities are presented for vote. Charity A receives 30% of the vote, Charity B receives 20% of the vote, Charity C receives 18% of the vote, Charity D receives 12% of the vote, Charity E receives 11% of the vote and Charity F receives 9%

of the vote. Since no charity received greater than 50% a second vote is required. This second vote will include Charities A, B and C. On the second vote Charity A receives 50%, Charity B receives 30% and Charity C receives 20%. Since no charity received greater than 50%, a third vote is required. This third vote will include Charities A and B. On the third vote, Charity A receives 75% and Charity B receives 25%. Charity A becomes the annual charity. In the event, that only one charity is presented to the Captains Board, the vote will become a vote of confidence for that charity. If the charity fails to receive a majority vote (greater than 50%), then the Chairman of the Captains Board will immediately create a committee of three individuals, consisting of two Primary members and the Regional Charities Officer, to select additional candidates and the process will be repeated. REVISIONS Revisions to this document must be approved by the Captains Board. APPROVAL This document was approved by CB-VOTE-04013
