Using the QuickBooks-to-Sage MAS 90 Migration Frequently Asked Questions This document answers frequently asked questions from customers who are migrating from QuickBooks to Sage MAS 90, and using our conversion services. Sage works with your business partner to provide you with this migration services so that you can get up and running faster — and begin using all the features of your Sage MAS 90 ERP system to work the way you do. Unless otherwise noted, Sage MAS 90 will be used throughout this document to refer to Sage MAS 90 Small Business Edition, Sage MAS 90 ERP, Sage MAS 200 ERP, Sage MAS 90 Extended Enterprise Suite and Sage MAS 200 Extended Enterprise Suite.

1. Why should I choose Sage MAS 90 over QuickBooks? Sage MAS 90 and MAS 200 products provide strong, flexible accounting functions such as batch processing. Sage MAS 90 and MAS 200 products also provide advanced analysis tools to help small businesses make informed decisions on a daily basis.   

The General Ledger module supports allocation entries, enhanced data import and export functionality, and up to 99 years of historical data. Accounts Receivable and Accounts Payable modules support multiple divisions, virtually unlimited contacts and ship-to addresses, and the ability to apply accounts receivable invoices to vendor balances. Enhanced Inventory Management features: o o o o

Support for FIFO, LIFO, Standard, Weighted Average and Serialized costing methods by item Support for multiple warehouses and locations Customer specific pricing, alternate items, bar coding, and warranty tracking Auto-generated purchase orders

2. How much does the conversion service cost? The basic conversion service is free*, and includes converting one company database and one year of history. Additional company databases can be purchased for $350 per database. Additional years of history can be purchased according to the schedule below: Years of History

3. What versions of QuickBooks can be converted? U.S. versions of QuickBooks Pro, Premier and Enterprise, versions 2005, 2006, 2007, 2008, and 2009 are currently supported.

Data Migration 4. How much time does it take to convert my data? The time it takes to convert the data varies depending on a number of factors. In general, each conversion process takes seven to ten business days upon receipt of your QuickBooks data. This applies for each separate conversion, whether it is “test” or “live”. 5. What type of QuickBooks data can be converted to Sage MAS 90? Sage will convert your important business system data for you—from your accounting, banking, tax code, and transactional records in QuickBooks to your new Sage MAS 90 system. Information such as your General Ledger, Accounts Receivable, Accounts Payable, Inventory Management, Sales Order, Purchase Order, Tax and Bank Account is transferred. For more details on what is converted, please refer to the most current QuickBooks to Sage MAS 90 Data Conversion Feature List, posted on SageMAS.com/promos/comp/. 6. Can Sage dial into my customer’s network and perform the conversion locally? In order to expedite migration turn around time, conversions are performed off-site and off-line by Sage.

7. What steps has Sage taken to ensure that my data is stored securely?   

Your data is transmitted over a secure channel to a secured server. Access to your data is limited to the individual(s) working on converting the data. Your data is permanently deleted from the secure server after the migration is complete.

8. Prior to conversion, do I need to complete any steps in QuickBooks? Yes, before you begin the conversion process, make sure you have: 1. 2. 3. 4. 5.

Deposited any funds that are designated as “un-deposited” in QuickBooks. Removed any obsolete data you do not wish to convert. Backed up your QuickBooks data. Printed all recommended reports from QuickBooks. Deactivated all Online Banking Services.

9. I don’t use account numbers in QuickBooks. Am I required to establish account numbers before I can convert to Sage MAS 90? No. QuickBooks assigns account numbers behind the scenes. During the conversion, these accounts will be automatically converted to Sage MAS 90 accounts. You also have the option of providing us with an Excel Spreadsheet identifying customized mapping. 10. What steps are required to complete the QuickBooks to Sage MAS 90 company conversion? 1. Begin with making sure the conversion service is ordered with your new Sage MAS 90 system. 2. Approximately 24 hours after you place the order, you and your Sage Business Partner will receive an email containing the URL and Promo Code for the Sage Migration Center web portal. 3. Download the required documentation and work with your Business Partner to complete the documents. 4. Upload the completed documents and your QuickBooks company database(s) to the Sage Migration Center Web Portal at SwitchtoSage.SageMAS.com. 5. Access the Sage Migration Portal to download the converted test Sage MAS 90 company database(s). Install your “test” conversion and complete the Post-Conversion checklist. 6. Log on to the Sage Migration Portal and indicate your first and second choice for receiving your “live” migration. You will receive email notification with the approved date or an alternative date. 7. At least 7 days before the “live” migration date, upload your most current QuickBooks company database(s) to the Sage Migration Portal. 8. The QuickBooks database will be converted and posted for download on the Sage Migration Portal. 9. Access the Sage Migration Portal. Download the final converted Sage MAS 90 company(s). Install your “live” conversion and complete the Post-Conversion checklist. 10. Finalize the conversion process by closing the project on the Sage Migration Portal. This step informs Sage that we can securely dispose of your sensitive financial data.

11. Am I required to use a Sage MAS 90 shell database? A shell database is required, and you have three options for supplying the database: 1. Sage can convert your data into a generic company database supplied by Sage. 2. If minor changes to the “generic” database are desired, Sage will provide you with a copy of the database and you can provide a Microsoft Word document outlining the changes you would like made and Sage will modify the database using your supplied preferences. 3. If extensive changes are needed you can modify the generic Sage supplied database or you can create your own custom database from scratch. 12. What should I do to validate that the data is correct before the final conversion? Using the “test” conversion, complete the following steps: 1. Complete the Post-conversion checklist. 2. Note any changes that need to be made and provide this information to the Migration team. 3. Confirm that you are ready to move forward with the final conversion using the Sage Migration Portal. 13. How do I upload and download my data? 1. Log in to the Sage Migration Portal. 2. Use the upload and download options.

Post Data Migration

14. Why didn’t bank account numbers transfer from QuickBooks into Sage MAS 90? If the “Activate Online Services” option is checked in QuickBooks, the bank account numbers will not be transferred into Sage MAS 90, and must be entered manually. 15. Why are we seeing a difference between what was showing on the QuickBooks Open Order by Item report and the Sage MAS 90 Open Sales Order report? In QuickBooks, the “Open Sales Order by Item” report displays all of the open sales orders for all item types. In Sage MAS 90, the “Open Sales Order” report displays open sales orders with regular and miscellaneous type items. 16. Who do I contact if I have questions during the conversion process? The first point of contact should be your Business Partner. You can also reach the Sage Migration team by e-mail at [email protected]. Be sure to include your company name and customer account number in the subject line. *Free conversion service is only available with purchase of one of the following: Sage MAS 90, Sage MAS 200, Sage MAS 90 Small Business Edition, Sage MAS 90 Extended Enterprise Suite or Sage MAS 200 Extended Enterprise Suite. Free conversion service applies to the conversion of a single supported version of a QuickBooks database into a single Sage MAS 90 or Sage MAS 200 database. Conversion includes providing a “test” conversion and one final “live” conversion of one database and one fiscal year of history. Additional fees apply for converting a single database a third time, converting more than one year of history, reconverting history or converting additional QuickBooks databases.
