NIMSS MANUAL FOR DATA ENTRY IN EXCEL Starting up the Excel Programme 1. 2. 3. 4.

Right click on the Excel icon on the desk top Right click on the word in the top tool bar in excel Click on and click on file called NIMSS DATA COLLECTION spread sheet will open up with the following columns: A- MORTUARY B- POLICE NO C- OFFICER COLLECTING D- PMNO E- PMDATE F- PHATHOLOGIST G- DATE INJURY H- TIME INJURY I- RACE J- SEX K- DATE DEATH L- TIME DEATH M- AGE IN YEARS N- AGE MONTHS O- MEDICAL TREATMENT P- PROVINCE INJ Q- OTHER SPECIFY (Name of other Province) R- SCENEINJURY S- OTHER SPECIFY (List other scene of injury) T- TOWN INJURY U- SUBURB INJURY V- NEARSAPS W- EXTERNAL CAUSE X- OTHER SPECIFY (List other external cause/s) Y- APPARENT MANNER Z- SAMPLE 01 AA- SAMPLE 02 AB- SAMPLE 03 AC- SAMPLE 04 AD- BLOOD ALCOHOL AE- EYE FLUID AF- OTHER SUBSTANCE

Start Capturing 1. PRESS and capture all data in capital letters 2. 1Now enter the data as it appears on the form ensuring you capture all the information. 3. REMEMBER TO SAVE REGULARLY! To save click on go to <Save as> in file name type in Mortuary name and year click on <save>

1. Column A (Mortuary Name) should have the full name of the Mortuary REMEMBER TO PRESS ; DO NOT USE ABREVIATIONS, Make sure the mortuary is spelt correctly each time 2. Column B (Police Number) must read as number/ month/ year (Keep format of cell as general for this column) Column B (Police Number) Months are captured from 01 (for January) to 12 (for December) Column C (Officer Collecting) and D(PMNO) Years are captured as for example 05 and not 2005 3. Column C (Officer Collecting) must have the officers full names; ensure that officers names are correctly spelled each time 4. Column D (PMNO) must read as number/ year (Keep format of cell as general for this column) E PMDATE 10-SEP-2005

Column E; G and K (Date columns) 1. Capture as day/month/ year; Type name month out in full as above 2. Make sure date in (E) is later than Dates in (G) and (K) (as in above example) Column F (Pathologist) must have the Pathologist’s full names; ensure that pathologist’s names are correctly spelled each time Columns H and L (Time columns) 1. Time should be captured using 1 (for 1am in the morning) through to 23 (for 11pm in the evening) 2. Note that 12am or 24:00 is not captured as 24 but as 0 (for midnight) Column I and J 1. Column I can only have the letters B (black), C (coloured), W (white) or U (unknown) 2. Columns O (Medical Treatment), P (Province), S (Scene of injury) 1. Make sure that the correct numbers are typed and that you stay in the correct range. 2. Medical treatment (O) can only be numbered 1 to 3; 3. Province (P) can only be numbers 1 to 11 and if 11 is used then the written response must also be typed in column (Q) 4. Scene of injury (R) can only be numbered 1 to 18 and if 17 is used then the written response must also be typed in column (S). T TOWNINJURY BARBERTON

* COMPULSARY INFORMATION: Column W (External Cause), X and Y(Apparent Manner) THESE FIELDS MUST BE CAPTURED FOR ALL CASES! 1. EXTERNAL CAUSES (W) can only be numbered between 1 and 30 and if 29 is used then the written response must also be typed in column (X) (otherspec). 2. APPARENT MANNER (Y) can only be numbered between 1 and 4 (however, if body was stored and no PM was conducted at the mortuary: APPARENT MANNER = 6)

Column AD 1. This information is to be captured if available 2. Column AD (BLOOD ALCOHOL) numbering should follow this example format: 1 for 0.01g/100ml (as captured in above example) 4 for 0.04g/100ml 10 for 0.10g/100ml 25 for 0.25g/ 100ml Column AE and AF 1. If available, capture eye fluid alcohol and other substances listed in column AE and AF. Send captured data (i.e. for Jan-Dec 2006) in Excel format to the relevant regional NIMSS coordinators by January of the following year (i.e. January 2007).
