CHAPTER 1 THE PROBLEM AND ITS BACKGROUND A. Introduction Although that the computer industry is still young compared to other industries, computers have made a spectacular progress in short time. During the first two decades of their existence, computer system was highly centralized, usually within a single large room. A medium sized company or university might have has one or two computers, while large institution had at most a few dozen. The merging of computers and communications has had a profound influence on the way computer systems are organized. The old model of single computer serving all of the organization’s computational needs has been replaced by one in which a large number of separate but interconnected computers do the job. These systems are called Computer Networks. A computer networks can provide a powerful communication medium among employees. Virtually every company that has two or more computers now has an E-mail (Electronic Mail), which employees generally use for a great deal of daily communication with a network, it is easy for two or more people who work far apart to write a report together. Also computer networks can provide another communication medium like Chat, which lets you communicate with others in a public arena called “Chat room” on real time through type words or messages. These messages typed are instantly seen by others in the chat room and thus, immediately responds to you. For the most part, network computers eliminate the need for telepathy in the business environment. For instance employees in various part of the building can be “invited” to the meeting on other top floor without sending a runner. Also, group projects are made much easier when networked as well. Thus, coordination and efficiency are greatly improved. The LSPU>>>>>>>>>>>>>>>>>>>>>>>>>>>>

Like other department or buildings, LSPU has employees work in different department, which are far apart. Since they were far apart, they need to walk for about five to ten minutes before reaching one department when they want to talk or submit reports and exchange some information with other faculty members. And sometimes, when they arrived to that department the person that they need wasn’t there, so, they will go back again later if that particular person was arrived, but it will cause delays and sometimes trouble, too. Aside from this, there’s also other factors that may cause delays and problems in exchanging information of each faculty members. Like the questions, (1.)What if it rains?,(2.) What if the information or reports is not only for one faculty member but for all the departments’ faculty members?,(3.) What if in some case, a faculty member just ask a runner to deliver the reports or information; can they assure that confidentiality and secureness of that reports or information is not being damage. LSPU Siniloan campus is not only the one who suffer with this kind of problems because other firms, offices, establishments, companies, buildings, and also other schools were also suffering with this kind of problems.

So due to these problems that the researchers observed and found out, the system entitled “LSPU eMessenger: A Network-Based Utility Software for LSPU Siniloan campus” is being proposed. This system works like the Email and Chat, but connected using LAN, meaning it is for inside the school use only (intranet) and not for outside use. The researchers will develop the system because it will be fit to solve those kinds of problems. The system has the abilities of the Email that can create, send, receive, store, attach files, and delete electronic mail. Also, it use the abilities of chat that lets you communicate with others in a public arena called “Chat room” on real time through type words or messages as well as making an Instant of Private messages to other faculty employees. The system will assure that secure ness and confidentiality of reports and information will not be damage. And since, it is a Network-based system you can assure that there’s no other user except you and the other faculty members of the school will use it; so, you can assure that almost all of the transaction happenings is purely about the school. But unlike, Email and Chat services of internet which have great possibility of having computer viruses and computer hackers that can lead to the damage or even destruction of your computer units including your most confidential files and documents, the proposed system will reduce that possibility. B. Theoretical Framework The main purpose of the proposed system entitled “LSPU E-Messenger” is to have an alternative way of communication among the faculty members of LSPU Siniloan campus. So, theories were gathered and collected by the researchers to support this study. Connectivity is defined as the design and assembly of the system of a computer that meets specific sets of user communications needs. The needs usually include the sharing of data or resources among computers. Computer is a fast and accurate electronic device that manipulates data. It automatically accepts and store the input data and process the produce result under the direction of the stored instruction or programs. Intercommunication among computer terminals via networking gave rise to faster data or information processing which in turn, enable the interaction among different information sources. Local Area Network (LAN) is a collection of interrelated computers that can share data applications and resources to each other. Database Management System (DBMS) is consist of interrelated sets of functions to access data. Database system would be a great help for searching information and it is advantageous. First, it is possible for the database to have control of data and reduce data redundancy at work. And the data can be maintained during the operation procedure until it was fully done by the system. Network attached storage is a dedicated hard disk based storage technology designed to be connected directly to a computer network providing centralized data access to multiply network clients.

A relational database management system is a system that allows both end-user and application programmers to store data in, and retrieve data from, databases that are perceived as collection of relations or tables. Apache is used for many other tasks where content needs to be made available in a secure and reliable way. One example is sharing files from a personal computer over the Internet. A user who has Apache installed on their desktop can put arbitrary files in the Apache's document root which can then be shared.

C. Conceptual Framework Computers can hold large amount of data and can access data more accurately and effectively. It has the capacity to create special reports: online system and network-based systems that are adapted to this modern innovative. The system is develop using the highlevel programming languages like PHP and Java, and used MySQL database to store data and information more efficient and accurate. It also used the picture editing program like adobe Photoshop to improve the appearance of the system. To fully understand the system the researchers made a conceptual paradigm

D. Statement of the Problems Generally, the researchers found-out that the faculty members in different department of LSPU Siniloan campus faced problems using the manual or physical delivery of reports or exchanging information, which in turn, becomes a tire some and redundant task. And in some instance, due to some environmental elements and other personal reasons, the exchange of information and reports becomes delay and sometimes, neglected. Specific problems Specifically, this study attempts to answer the following questions: 1. How to lessen the time and effort of each faculty members, in LSPU Siniloan campus, in terms of submitting reports or exchanging information to each others. 2. How the privacy and confidentiality of files and documents, when submitting reports, files, and other documents of each employee be more protected and secure? 3. How the system will make the faculty members more productive, and improve their relation with each other as well as satisfaction in their work?

E. Objectives of the Study General objectives The study aims to develop a system, in which can help each faculty members to have a faster, secure, and more efficient way of communication, and in terms of submission of their reports or exchanging information with each other. It also aims to minimize the delays and problems occur using the manual or physical delivery, if not totally eliminated. Having this system, the LSPU Siniloan campus can say that they have such system that they own. Specific objectives: Specifically, this study aims to meet the following objectives: 1. To lessen the time and effort of each faculty members, in LSPU Siniloan campus, in terms of submitting reports or exchanging information to each others. 2. To have a system that will give assurance that the privacy and confidentiality of when submitting reports, files and documents of each employee be more protected and secure. 3. To make a system for faculty members to be more productive, and improve their relation with each other as well as satisfaction in their work.

F. Significance of the Study

The study would be a great help to each faculty members to have a fastest, secure, and more efficient way of communication to each other. Also this study can help other students to have a guide in conducting their studies which has relevant to this study. Since, this proposed system is not an online system like the Email and Chat, Using the system can minimized the harmful effect of virus, and possible attacks from different computer hackers as well as focus of each faculty members work will be restored. G. Scope and Limitations of the Study The researchers focus their study in the development of the system entitled “LSPU E-Messenger” that will help each faculty members to have an alternative way of communication. Also, it has the capability of attaching any files save on your computer and send it to other user. But like other work of man, this study has also limitations. Since it is a Networkbased system, it is intended for inside the school use only and not for outside. It means that, the user must be inside their faculty or school when using this system. Also, if there are reports or documents that needs a signature the system is not applicable so, they must use again the traditional way of delivering the reports or else send it to the person who need to sign that report and print the report to the printer inside that faculty then, ask him that if he finished signing it, send you a message saying that you can get it to at least minimize your time.

H. Definition of Terms To fully understand some of the terminologies used in this study, the researchers give the definition of each term stated as follows: Accounts- it is the thing or something that will determine if you have already registered Or the qualified user of the system. Attach files- the feature of the system that ca be used to attach any file o even documents That you made in any applications in your computers including your personal messages. Chat- a service in the internet which allows people to connect to the chat room and send or exchange information to other person in the chat room. Chat room- the place or arena in the chat where users can communicate with other user. Communication – the way of exchanging information or even messages of two or more person with or without the help of the computers. Computer – an electronic device which is capable of doing something that can help to make man ‘s work easier and faster. Confidentiality – the value of something in which the person cannot easily show or even see what was that unless he/she has a permission to the owner. Database Management System - is consist of interrelated sets of functions use to access data. Email – another internet service which allows people to create, send, receive, store, print, and delete electronic messages. Hackers – the person or persons who commit in hacking. Intercommunication – the other way of extending the ability of computers - it allows the exchanging of information and resources of each computers to one another via networking. Local Area Network (LAN) - is a collection of interrelated computers that can share data applications and resources to each other. LSPU E-messenger – the proposed system of the researchers which has the ability of email and chat services of the internet. Network-based System – is connection among computers via use of LAN. Privacy – the right of a person(s) to keep their personal things or information. Private Messages – personal messages of two a person to each other. Virus – a program that was created to damaged or even destroyed the computers sytem.

CHAPTER II Review of Related Literature and Studies In this chapter the researchers review related literature and studies in order to support their study. Through this, the researchers may understand the concept of constructing their system. A. Related Literature Hutchinson et al. (1996) stated that software is designed to allow the computer to manages its own resources and run its own applications, which is called system software. It tells the hardware what to do, how to do, and when to do it. Sander mentioned that the computer is an intelligence amplifier that can free human to use their time effectively. In a formal sense, computer is a fast and accurate electronic symbol that design to automatically accept and store input data process and procedure output result under the direction of the stored programs instructions. Microsoft Encarta (1993-2001) Computer Networks are collection of computers and intelligent peripherals equipment that are interconnected by telephones line, microwave relays and other high-speed communication links for the purpose of exchanging data and sharing equipment. Towsand (1998) stated that database is structured collection of data. The data maybe about people, products, events in short, or any type of information is to mange the collection of data for reporting and making decisions. B. Related Studies Viri (2000) developed a special problem entitled “The Deep Impact of Technology on Planet Earth” Micro based Telecommunication Networks which derive digital signals for voice, text, video, and graphs across fiber optic of information through the air to human habitations will be built. Villaruz (1999) proposed the title “The Information Super Highway” a computer network is the interconnection of numerous individual computers. Many separated computers linked in a network have provided a lot of advantages to organizations such as business and universities. Dela Cruz – Mapanao explains in “Manila Bulletin” that generally the sites that are blocked, are those that the company has no use for or find undesirable such as pornography sites, dating sites, game sites, and even chat sites. To ensure that employees are not distracted from their work some companies even block Yahoo Messenger. This blocking is done not only to restrict access to personal email but also to protect the companies’ secret from virus attacks.

Bryan Grayek (2007) explains in “Manila Bulletin” that Cyber criminals go where opportunities lie and take advantage of any vulnerability. The number of computers infected by botnets will increase sharply in 2008. In an effort became harder to detect, bot herders are changing their tactics and decentralizing via peer-to-peer architectures. They are increasingly using instant messaging as their main vehicle for spreading botnets.

CHAPTER III Methodology A. The Research Design The researchers use the descriptive method of research. According to Kuman (1996), it is an objective type of research that attempts to describe the situations, problems or conditions of the study. It also involves collection of data to test the hypothesis, or to answer a question concerning the subject with the assessment of attitudes, opinions, demographic information, conditions, and procedures. Its data was collected through questionnaire, survey, interviews, or observations. B. The Research Procedure Library technique was done in acquiring the primary sources of information. Also in order to have an idea on how to conduct the study, the researchers read and use different kinds of book, unpublished materials, surf the net and other documents which were related to their study and to have an appropriate information to make the design and implementation of the study. Also, they personally experience and observe some situation occurs in other establishments that are related to their study. C. The Collection of Data The researchers gathered information through the internet to be able to get information on how to solve the problems that they found . The researchers were able to conduct the program after analysis. The researchers also do library works in collecting data. This is done to gather more information, pertinent to the study. D. The Design and Development of the System The researchers used the System Development Life Cycle (SDLC) methods for the creation this study. It has five procedures to follows in order to obtain the quality and structure. E. Tools and Requirements To fully used the system the researchers/users must know what must be the tools and requirements that they need to prepare before using the system. And these are as follows: 1. Hardware a. Set of Personal Computers. b. At least Pentium III processor or higher c. RAM/CE ROM

2. Software a. Operating System (atleast Windows 98 or higher). b. Php c. Java d. MySQL database

CHAPTER IV RESULT AND DISCUSSION A. The Developed System The LSPU E-messenger was created by the researchers to have an alternative means of communication and also, to minimize the time and effort of LSPU faculty members in terms of submitting their reports and other documents to each other in a secure way. The system has a user-friendly interface so that the users can easily understand and use the system. B. The Operation of the System The “LSPU E-Messenger” have several options and sub-options, menus and sub menus. 1. Options and Sub-options a. Chat C. The Features of the System The system was created and programmed with the used of Java programming language, Php, MySQL as database, and Adobe Photoshop. It was developed to improved the process of manual submission of reports as well as sending messages between faculty members in different departments. The system has a user-friendly interface so that the users can easily understand how it works. Also, it was provided by a username and a password to ensure that the communication and exchanging of information was protected. The system has the abilities of the Email that can create, send, receive, store, attach files, and delete electronic mail. Also, it use the abilities of chat that lets you communicate with others in a public arena called “Chat room” on real time through type words or messages as well as making an Instant of Private messages to other faculty employees. D. The Effectiveness and Efficiency of the System The system will help in improving the process of submission of reports of LSPU faculty members and to provide another way of communication inside the campus.

CHAPTER V SUMMARY, CONCLUSION, AND RECOMMENDATIONS A. Summary The Laguna State Polytechnic University was first establish as Baybay Provincial High School in 1952.As the institution became more improved
