1 IPS Manager Assistant description 1.1 Introduction IPS Manager Assistant enables Assistants to filter the phone calls to the Managers. It also enables the Manager to forward calls to a mobile phone or the voicemail. One assistant can handle several Managers and a Manager can have several Assistants. When an Assistant set pause status, the current filterings are automatically redirected to other available Assistants, by decreasing priority. IPS Manager Assistant has been designed to provide a simple interface from the IP Phone. Activating/disabling filter can be done just by pressing one button, and when filtering is activated, the LED button is light. IPS Manager Assistant also reduces the administrator workload. Configuring Managers and Assistants IP phones is a done in a minute. IPS Manager Assistant can also support Extension Mobility mode. IPS Manager Assistant takes advantage of Cisco CallManager 6’s (and higher versions) Call Forward Override feature. This enables an Assistant to which the Manager’s calls have been forwarded to transfer the call to the Manager. So filtering does not rely on IPS Manager Assistant availability. IPS Manager Assistant can also work in cti filter mode which authorizes the definition of lists of not filtered numbers.

1.2 IP Phone interface Here is an example of the IP Phone interface that takes advantage of the buttons (on the right of the screen) to call IPS Manager Assistant application, monitor lines and display or activate filter status. It also displays a background banner with filter status.

In this example, an Assistant is associated to two Managers: Verney and Guibert. At that particular moment, Guibert is filtered but not Verney.

1.3 Assistant IP Phone user interface An Assistant associated to a Manager or several Managers can activate or disable filtering of Managers calls by pressing a filter button or via the XML menus. Depending on the administration’s configuration, the Assistant can also set call forward of Manager’s line: to a personal phone number (configured from the IP Phone interface), to voice mail or to any number. When calling the XML user interface, a contextual menu is displayed depending on the forward status of the Manager’s line. 09/02/11

The Assistant can also use the ‘Pause’ option when he/she is not available. When paused, the current filtered lines are forwarded to the first Assistant available with the highest priority. If none is available, either the line is forwarded to the voicemail or just not forwarded, depending on Manager’s settings. When pause is terminated, the previous filtered Managers are filtered again.

The background banner displays different icons to show the forward status: not forwarded, filtered (forwarded to this Assistant), forwarded to voice mail, forwarded to personal phone number (generally mobile), forwarded to another phone number (generally another assistant). If the Manager has set the ‘Do not disturb’, mode a specific icon warns that it is not possible to call or transfer to the Manager.

Up to 6 Managers can be displayed on 7940/7960 models and up to 9 Managers on more recent models (from 7941 to 7975). Banner width is modified, taking into account the number of Managers, to minimize its footprint.

1.4 Manager IP Phone user interface The Manager can activate or disable filtering from the IP Phone, by pressing a filter button or using the XML user interface. From the XML interface, the Manager can also define a personal phone number (generally the mobile) and set call forward to it. The Manager can also set call forward to the voice mail or to another number.

In CTI filtered mode, the Manager can also define a list of numbers that will not be filtered. They are added to the numbers defined globally by the administrator as well as all associated Assistants. 09/02/11

The background banner display forward status: ‘No forward’ or an arrow with the forward destination: the assistant name, voice mail or personal/mobile.

The Manager can also set ‘Do not disturb’ mode. In this mode, no one can call or transfer a call to the Manager’s line.

When a filtered call rings on the Assistant’s phone, the Manager may be alerted by a Popup and can intercept the call if desired.

Administration IPS Manager Assistant configuration and phones configuration are centralized in IPS Administration, in order to reduce Administrator Workload. This configuration of a Manager and an assistant can be done in one minute.

Manager or Assistant configuration is associated to the IP Phone or the device profile in extension mobility mode. Manager is then associated to pre-entered Assistants. Some optional parameters are set. Then the administration associates the IPS Phone Service to the IP Phone or device profile, sets the Service URL button to call the applications, sets Speed dial BLF buttons to monitor the Managers/Assistant line and for the filter, creates cti ports used to light the BLF filter, sets the Phone Button template according to the IP Phone Model, changes the Managers Softkey template (to hide FwdAll SoftKey) and changes the SUBSCRIBE calling search space to authorize the BLF to monitor the lines.

Speed Dials and BLF can also be defined from IPS Manager Assistant’s administration. The configurations of all the Managers and Assistants can also be exported and imported to automate the process. 09/02/11

2 Requirements IPS Manager Assistant can be installed on a Microsoft Windows 2003 SP2/R2 Standard or Windows 2008 R2 Standard, with Microsoft IIS/ASP.Net installed. The system can be run on VMWare ESX virtual machine. Cisco Unified Communication Manager versions 6.1, 7.1, 8.0, 8.5 are supported. Supported IP Phones are: 7921, 7940 (SCCP), 7941, 7942, 7945, 7960 (SCCP), 7961, 7962, 7965, 7970, 7971, 7975, 8961, 9951, 9971, IP Communicator.

2.1 CallManager configuration - The Service Parameter Call Forward Override must be set to true. - A Softkey template with the ‘CFwdALL’ SoftKey disabled, must be defined. - Phone button templates must be defined with (depending of administration option) one SURL button and two Speed dial BLF by associated Manager/Assistant. - A CTI route point must be configured, - A directory number available range must be choosen. It will be used by CTI ports created by IPS Administration for filtering status (one per Manager/Assistant association).
