Process for Updating of Inventory by Excel-sheet Uploading After Conversion to CSV format

What is Inventory Management? • Inventory Management: It is the Management of the Inventories, with the Primary Objective of Determining: • Items that should be ordered, and in what quantity. • The timing of order release and order due dates. • Changes in the quantity called for and the rescheduling of orders already planned. Its two broad areas are inventory accounting, which is the administrative aspect, and inventory planning and control, which consists of planning procedures and techniques that lead to inventory order action.

• For proper Inventory Management, the following fields need to be always up-to-date: • • • • • • •

Maximum Level Minimum Level Safety Level ABC & XYZ Inventory Classes Last Issue Date Last Receive Date Weighted Average

• This Presentation is about how a Dealer can manage the above Fields in his Organizational Inventories by Uploading from an ExcelSheet converted to CSV format CRM & DMS Project

The Process of Excel Upload

Login, go to Site Map & click on “Inventory”

Click on “All Inventory Locations”

Click on the required Inventory Location

Click on this “Menu”

Click on “Export...”

Click on “Next”

Save the resulting CSV File

Now, Open a New Excel-sheet, click on “File” & then on “Open”, then change “File of type” to ‘Text Files (*.prn; *.txt; *.csv)’, select the downloaded CSV file & click on “Open” CRM & DMS Project

In the “Text Import Wizard – Step 1 of 3” Pop-Up that comes, click on “Next >”

In “Text Import Wizard – Step 2 of 3”, in the field “Other”, press ‘Shift’ + ‘\’ together to put ‘|’ in that field & then click on “Next >”

In “Text Import Wizard – Step 3 of 3”, in the field “Other”, change the ‘Column data format’ to ‘Text’ & use the Shift key to select all the Columns in ‘Data Preview’. Then press “Finish” CRM & DMS Project

In the file which comes, delete columns B to N

Cut & Paste the contents of Column A to Column J & change it’s header to “Product Name” NOTE: All the Header Names should be proper, with correct Capital & Small letter, no extra spaces & no spelling mistakes, else the import of the file to Siebel will not be successful.

Fill in the Header names as shown above

Fill in the Maximum Level & Minimum Level of each part to be maintained in that Inventory

In Movement Class, the dealer can define how fast the stock is moving in terms of quantity i.e. how fast it is sold X = Fast Moving Parts Y = Intermediate Moving Parts Z = Slow Moving Parts

In Value Class, the dealer can define how fast the stock is moving in terms of price i.e. which parts have highest sales value A = Highest Value Parts B = Intermediate Value Parts C = Least Value Parts

In Name Column, we enter the Inventory Name into which this Inventory related data is to be uploaded

Here, the dealer can enter the Quantity below which his Inventory of that Part should not fall

Here, the dealer can enter the dates when he/she last sold & when he/she received the Part

Here, the dealer can enter the Weighted Average of the Purchase Price of the Parts

Alternately, if the Dealer does not wish to change any pre-existing values in the Inventory, he can leave blank cells in the Excel-sheet as shown above

Save file using “Save As...” in “File” & using a different file name in CSV format in ‘Save as type’

In the Pop-Up that comes, click on “Yes”

Close the File & when it asks to save the changes, click on “No”

Back in Siebel, go to “Sitemap” > “Inventory” > “Part Import”

Click on “Import”

In the Pop-Up that comes, click on Browse, then in the ‘Choose File’ Pop-Up, select the CSV file & click on “Open”, then in previous PopUp, click on “Next”.

Click on ‘Next’

The Pop-Up, shown above, will show the status of the Import process. Incase of Partially Imported or Failed, click on “View Log” to see log of the errors, else click on “OK” to continue CRM & DMS Project

Now, go to “Site Map” > “Inventory” > “All Inventory Locations” & click on the required Inventory Name hyperlink to check if all updating is fine

Caution • This Process CANNOT be used to add New Parts into the Inventory. Any Attempt to do so will lead to Errors •

If any mistake occurs while entering Part Numbers in the Excel-sheet, it will lead to the ‘Partially Imported’ Error
