1. Virtua Client 1.1 Global 1.1.1 Support for Automatic Log-ins IM record: 1086935 Virtua has been enhanced to support automatic log-ins to internal and external databases. You can configure Virtua to allow automatic log-ins for guest users or users with usernames/passwords. In this way, when users launch the client and connect to a server, they can bypass the Virtua Access window. To configure an automatic log-in scenario, 1. Access the Server Setup window.

2. Set up the profile for the server/database to which users will be logged in automatically. 3. In the Automatic Log-in area at the bottom of the window, select an appropriate radio button. 4. Click OK.
1.2 Acquisitions 1.2.1 Support for Exchange Orders IM record: 17150964 Virtua has been enhanced with the following features to support exchange orders:

In the vendor record, a new Exchange Order check box allows you to specify whether you want Virtua to automatically flag as Exchange orders any orders created for this vendor using the Import MARC Orders/Requests Tool.

For easy recognition of Exchange orders, once an order is placed, the Statuses tab of the View Bibliographic Record window for the title on order displays Exchange after the order type.

Virtua will ignore the Create Received Items flag in the Virtua Profiler for Exchange orders so that no item records are created upon receipt of the material.

Holdings records, which are normally created at order time for Serial orders, will not be created for Serial orders flagged as Exchange.

After you have completed and saved a payment voucher for an Exchange order, ♦
If the title used to generate the order was already held at the library, the Statuses tab will no longer display acquisitions information.

If no other items are linked to the title and the title was not originally masked, the system will automatically mask the record so that it no longer appears in the OPAC.
1.2.2 Support for Collection Management Codes IM record: 17150964 (See the section “Support for Collection Management Codes” in this document for new collection management code features in the Virtua Profiler.) Virtua has been enhanced as follows to include support for collection management codes:

The Collection Management subtab in the Order Line Editor lets you link additional information, which can be used to generate various acquisitions statistics and reports, to a purchase order line. The Collection Management tab is also available for editing during the receipt and invoice processes.

For each value type listed in the Type column, a list of values appears in the corresponding Order Values column. Double-click in the appropriate Order Values column for each value type that you want to assign a value to display a drop-down box with available values. Value types for which a value is required are indicated with an asterisk next to the value type name in the Type column.

1.2.3 Support for Supplemental Invoices IM record: 1073135 Virtua has been enhanced to support supplemental invoicing. You will be able to track the supplemental invoices along with the original invoices via the Statuses tab on the View Bibliographic Record window. In this way, you can reconcile the original invoices with supplemental invoices that are created throughout the year. The system will also recognize and support supplemental invoices that are brought into the system via EDIFACT. To create a supplemental invoice, 1. On the Virtua menu bar, click Acquisitions. 2. Choose Invoices, and then choose Add Supplemental. The Add Supplemental Invoice dialog box appears (Figure 1-7).

3. Complete the information on the dialog box, and then click the Request button. The Add Supplemental Invoice window appears, where you can create supplemental invoice line items and attach them to individual purchase order line items.
1.2.4 COG Order Support for Master Record IM record: 1095467 Virtua now supports the use of a “master” bibliographic record to be attached to a COG order. This record will represent the Standing order title, and its attached item record will represent the entire Standing order. To create a “master” bibliographic record, 1. In the MARC Editor, create a bibliographic record that represents the series title that is on standing order. 2. In the 245 tag subfield $k, type: (Series Order). In this way, on the Browse window or List of Titles window in the OPAC, the reference (Series Order) will appear to identify the record as a “master” record. 3. Add an item record that represents the entire standing order. 4. Add the status On Standing Order to the item. Note: You will need to create the status On Standing Order in the Virtua Profiler. Be sure to define the status as NOT allowing requests via any request types. 5. In the item record, add a public note to indicate that the record represents a standing order and that individual titles can be viewed in the OPAC under the series title. Once you have created the “master” record and item, the series title and item are searchable in the OPAC.
1.2.5 Support for Multi-volume Orders IM record: 171150106 Virtua Acquisitions has been enhanced to better handle the ordering, receiving, and invoicing of multi-volume publications. There is now a new purchase order type called Multi-volume orders. You can select this order type when creating new orders via the Add PO Request window.

As part of the implementation, the • Order Line Editor contains a new subtab called Volume/Part Distribution. • The Expand function for receiving items contains a new Volume/Parts window to allow for partial receipt of multi-volume sets. • The invoice order line item function offers a new Volume/Part Distribution tab to allow for partial invoicing of multi-volume sets.
1.3 Cataloging 1.3.1 Enhanced Record Extraction Options 1.3.1.1 New Option to Include Embedded Holdings Tags IM record: 17188716 Virtua’s record extraction program, write2709.exe, has been enhanced with the following new command line options: •
-G - Specifies that information about each item attached to a holdings record is written to the 852 tag of the parent bibliographic record.

-J - Specifies that information about each holding attached to a bibliographic record is written to the 852 tag of that bibliographic record.

-K - Specify, for bibliographic records, that the bibliographic record should be output followed immediately by each attached holdings record.
1.3.1.2 New Option to Extract Error State Patron Records IM record: 23830494 Virtua has been enhanced with a new script - extract_patrons_in_error_state.pl - that allows you to extract patron records in a Virtua database that are in Error state.
1.3.2 Enhanced Record Loading Options 1.3.2.1 New Option to Preserve Local Tags IM record: 17180136 Virtua has been enhanced with a new record loading option, Preserve Local Tags (-t), which allows you to specify that an existing record’s local tags (tags with subfield $5 containing the current library symbol) should be preserved when the record is replaced by a matching incoming record. 1.3.2.2 New Option to Compare Dates in Incoming Records IM record: 21124362 Virtua has been enhanced with a new record loading option, -C, which determines whether Virtua will compare the date in the 005 tag of the incoming record with the date in the 005 tag of the existing record. If the date of the incoming record is LESS recent than the date of the existing record, then the record will not be loaded. 1.3.2.3 New Option to Specify a File of Failed-to-Delete Records IM record: 30123924 Virtua has been enhanced with a new record loading option, --failed-delete-record-file, which specifies a file into which records that cannot be deleted are written.
1.3.3 Enhanced Server Setup Options

IM record: 20738262 Virtua has been enhanced with the two following new options on the Server Setup window: •
Default Load Character Set - specifies in what character set the server you are configuring stores its records. If MARC21 is selected, records will be converted to UTF8 upon download to your Virtua server.

Attribute Configuration - allows you to add any non-standard Z39.50 use attributes for use when searching non-Virtua databases. To add a use attribute, enter the following information in the New Attribute area: • • •
Search Type: From the drop-down box, select Browse, Keyword, or Both to specify with which search type(s) the use attribute should be associated. Attribute: In the text box, type the number representing the use attribute to be used for the search. Name: In the text box, type a text string that will appear for the use attribute on the Search window.
When you have entered all of the required information, click the Add button. The new attribute information you entered will appear in the information box immediately above the New Attribute area. When you connect to the configured server, the attribute name(s) will appear on the appropriate tab(s) of the OPAC Search window.

1.3.4 Holdings Location for Item Records Taken from Holdings Record IM record: 23043708 Virtua has been enhanced so that if you are adding the first item to a holdings record, the location value is now taken from the location in the 852 tag subfield $b of the holdings record rather than the log-in location.
1.3.5 Enhanced Copy Options IM record: 17179278 Virtua has been enhanced with two new cataloging options, located on the Copy Options tab: •
Subfields NOT to Copy into a New Editor Window - The subfields of the tags that you specify here will not appear in a new MARC Editor window if you choose Duplicate Record in New Window.

1.3.6 Support for Copy-specific Notes IM record: 21068592 Virtua has been enhanced to allow you to add copy-specific notes to holdings and item records. Copy-specific notes are notes that are stored in a separate MARC format record and attached to the holdings or item record. Notes records are keyword searchable. Note: See the sections “Indicating the Presence of Copy-specific Notes” and “Displaying Copy-specific Notes” in this document for new iPortal features related to copy-specific notes.
1.3.6.1 Copy-specific Notes for Items If copy-specific notes exist for an item, an alert will appear on the following windows:

The View Bibliographic window, Items tab - an asterisk (*) appears to the left of the location name for the item line. The Item Information window - the following message appears in bold on the upper right corner of the window: “* Copy-specific Notes Exist”.
To view existing copy-specific notes, 1. From the right-click pop-up menu on the Item Information window, select More Notes. If copy-specific notes exist, they appear in the View Notes Record window.

1.3.6.2 Copy-specific Notes for Holdings If copy-specific notes exist for a holdings record, on the Holdings tab of the View Bibliographic window, an asterisk (*) will appear to the left of the location name for the holdings line. To view existing copy-specific notes, 1. From the right-click pop-up menu on the View Holdings Record window, select More Notes. If copy-specific notes exist, they appear in the View Notes Record window. If copy-specific notes do NOT already exist for a holdings record, you may add them. To add copy-specific notes to a holdings record, 1. On the View Holdings Record window, from the right-click pop-up menu, select More Notes, which will either open a default workform or allow you to choose one. 2. Create and save the Notes record as appropriate. Copy-specific notes records for holdings have the following features: • The 035 tag is automatically created with the prefix “VTLSNOTEH” followed by the holdings ID (9 digits zero-filled). • The type of record field (leader position 06) contains an “l” to indicate that the record type is Note. • The bibliographic level field (leader position 07) contains an “l” to indicate that the bibliographic level is Note. 1.3.6.3 Default Notes Workform Option A new Default Notes Workform option on the File Options tab of the Cataloging Options window, allows you to determine which workform will appear in the MARC Editor automatically when you create a new copy-specific Notes record for a holdings or item record. Note: If you do not select a default workform to appear by default, the Create Record window will appear so that you can choose one.

1.3.7 New Generate 880 Tag Function IM record: 1155525 Virtua has been enhanced as follows: the new Generate 880 Tag function automates the process of creating linked 880 tags within a bibliographic record. The 880 tag allows you to designate, in a different script, another tag in the same record. To use the Generate 880 Tag function, 1. In the MARC Editor, position the cursor in the existing tag for which you want to generate a linked 880 tag. 2. Select Generate 880 Tag from the right-click Editor pop-up menu to display the Edit 880 Tag window.

The Edit 880 Tag window displays a row for each subfield present in the existing tag. In the Subfield column, the subfield indicator appears. The Data column contains a textbox to enter data for each associated subfield indicator. 3. Choose a script from the Script dropdown box, if desired. 4. Enter values for each subfield as desired by clicking and typing in the appropriate Data column for each associated subfield, and click the Save button.
1.3.8 Enhanced Display Option for 880 Tags IM record: 17212740 Virtua has been enhanced with a new MARC Editor Display Option - Display 880 tag(s) after linked tag - which allows you to determine whether you want 880 tags to display immediately after their linked tag or in numerical order. Note: Unlinked 880 tags (those with an occurrence number “00”) will display as ordered in the VTLSSORT tag unless the Ignore VTLSSORT tag box is checked.

1.3.9 Client Validation by Encoding Level IM record: 25980642 VTLS now provides two rules files that the Virtua client will use to validate records by encoding level. One file is generic: vtlsencodelvl<x>.val, where <x> represents an encoding level character. You can copy this file as needed and define the validation rules as appropriate for a specified encoding level. The software will know to use this file to validate records based on that value. VTLS also provides a default file for encoding level j (Japanese): vtlsencodelvlj.
1.3.10 Support for a Common Name/Subject Authority Record IM records: 23278800, 1090936 (see also 25011960) Virtua has been enhanced to allow one authority record to be used as follows: 1) As both a name and subject. If the 008/14 and 008/15 are both "aa" and the 1xx tag is 100, 110, or 111, the authority is used as both an author and a subject. 2) As both a title and subject. If the 008/14 and 008/15 are both "aa" and the 1xx tag is 130, the authority record is used as both a title and subject.

1.4 Circulation 1.4.1 Support for Volume-level Requests IM record: 17265078 Virtua now allows blanket reservations for specific parts/issues/volumes where multiple copies exist so that the first available copy is trapped. It is now possible to place holds for, say, only vol. 2 in a three-volume set. When using the Request Wizard to place an item-level request, two additional request options are available on the Request Wizard window: Only This Item and Any Item of This Volume. • •
Only This Item - Lets you place a request for a specific item in a multi-volume (or multi-part) set. Any Item of This Volume - Lets you place a request for any copy of the specified volume in a multi-volume set.

1.4.2 Support for Holdings-level Requests IM record: 25864812 Virtua now supports title requests at the holdings level.

1.4.3 Support for “Lost Card Block” Field in Patron Record IM record: 16613856 The patron record now supports storing in tag 015 subfield $x the reason that a patron barcode has been disabled. To indicate that the barcode stored in subfield $a of tag 015 has been disabled, enter an explanation in subfield $x of the same 015 tag. For example, if a patron loses their library card, you will note this in the Disabled Reason subfield $x, for example, 015 $a 23434 $x Card lost. When staff assign the patron a new patron barcode, they will enter it in subfield $a of a new 015 tag. When the system tries to authenticate the patron or tries to link a circulation transaction to the patron, it will check for disabled barcodes. If the system finds a disabled barcode stored in the record (and as long as no valid barcode—i.e., one stored in subfield $a of a tag 015 that lacks a subfield $x—is being used), authentication and circulation transactions will be blocked. The diagnostic message that appears will contain the invalid barcode as well as the disabled reason. Virtua Highlights – Version 49.0

1.5 OPAC 1.5.1 Searching with Non-Normalized Diacritical Characters IM record: 17273658 By default, Virtua normalizes both keyword search terms and the keyword indexed data that is stored in the database, removing any accent marks or other diacritics. Virtua now offers you the option of doing non-normalized keyword searches. In the client, selecting the Non-Normalize Diacritical Characters option (Figure 1-15) allows you to perform a non-normalized keyword search. Note: The Use non-normalized keyword indexing parameter in the Profiler determines whether Virtua stores non-normalized keyword indexed data. This parameter must be enabled in order for you to perform non-normalized keyword searches. For details, see the Virtua Profiler/OPAC User’s Guide.

In the Vectors iPortal, inserting the SEARCH_ELEMENT_NORMALIZED_CHECKBOX directive on any keyword or expert search form (search_screens/search_screen_keyword_form.html) will cause a check box to appear on the screen. Virtua Highlights – Version 49.0

Does not normalize your keyword search term. The software searches on your precise search term, including any diacritics. Performs the keyword search against a non-normalized keyword index.
1.5.2 Location Filtering and Call Number Browse Searches IM record: 17211882 You can now use a location filter with call number browse searches. This gives you the ability to search by call number only those records that belong to a selected location. Associated with this enhancement is the Require Location Filter for Call Number Browse option on the OPAC Basic Options window in the Profiler. When this option is selected, you must use a location filter with a call number browse search. If you try to do the search without selecting a location filter, the system will prompt you to do so.
1.6 Serials 1.6.1 Serials Claiming Based on Order Location IM record: 23019684 For serials claims, if the associated holdings record contains a 943 tag subfield $a (used to specify the order location), that value will be used to determine the location when transmitting claim in batch.
1.6.2 Support for ASN Control Number: Searching and Inclusion in Claim Letter File IM record: 17224752 Virtua has been enhanced to include an ASN control number search option in the OPAC. An ASN search will search the 019 tag subfield $a of holdings records and display the result on the Serials Check-in window. In addition, the ASN is now included in the default claim letter file.

1.6.3 Ability to Select a Holdings Workform IM record: 9929178 This enhancement contains two elements: 1) You now have the ability to specify a default holdings workform in the Cataloging Options window. This is the workform that will appear in the MARC Editor when, from the View Bibliographic Record window, you right click and then choose Create Holdings Record. 2) You also have the ability to select a holdings workform from any number of holdings workforms that may exist. To be given the choice of workforms, on the View Bibliographic Record window, right click and then choose Create Holdings from Workform.

Virtua Profiler 2.1 Acquisitions 2.1.1 Support for Collection Management Codes IM record: 17150964 (See the section “Support for Collection Management Codes” in this document for new collection management code features in the Virtua client.) 2.1.1.1 Controlled Order Line Values parameter The new Controlled Order Line Values parameter allows you to define multiple controlled value lists. Using this parameter, you can add, modify, and delete an unlimited number of lists and define their values.

The Name text box contains a name for the list of controlled values. This text will appear in the Virtua client in the Type column of the Controlled Values tab on the Order Line Editor window. The Add button adds a new value to the list. The list contains the following information: • Code - A unique code for the value. It can be alphanumeric and contain up to 100 characters. • Description - Text to describe the value. It can be alphanumeric and contain up to 100 characters. This text will appear in the Virtua client in the drop-down box of the Order Values column on the Controlled Values tab. • Disabled - Indicates whether or not the value is active or disabled. 2.1.1.2 Controlled Order Line Values Acquisitions Basic Options Parameter The new Controlled Order Line Values Acquisitions Basic Options parameter allows you to determine the types of controlled values that will appear on the Collection Management tab in the Virtua client. The Collection Management tab will be displayed in the Order Line Editor, on the Line Item Receipt Information window, and on the Invoice Line Item window. If you do not configure this parameter, the Collection Management will not be displayed.

2.2 Cataloging 2.2.1 Ability to Delete Tags/Subfields Based on Record Source IM record: 17174130 The Profiler has been enhanced to include a Source field for the Tags to Be Deleted parameter. If you specify a value in the Source field, the specified tags and subfields will be deleted from the incoming record ONLY if the record’s 003 value matches the 003 value set in this parameter.

2.2.2 Option to Always Use the Incoming 005 Tag in LC/NACO Authority Records IM record: 17211024 The Profiler has been enhanced with a new Cataloging Basic Option (Always Use the Incoming 005 Tag When Updating/Loading LC/NACO Authority), which allows you to tell Virtua to keep the incoming 005 tag upon updating/loading LC/NACO authority records. LC/NACO authority records are identified by the presence of tag 010. By default, Virtua adds the current date into the 005 tag upon loading authority records. But in LC/NACO authority records, the 005 tag indicates the date when the LC created/modified the authority record, so your library may not want Virtua to update this tag.

2.2.3 Option to Support the Selection of Controlled Values in Patron Records IM record: 16971642 The Profiler has been enhanced with a new Cataloging Basic Option (Support Selection of Controlled Values in Patron Record), which allows you to enable functionality that can be used to make the process of cataloging the patron record 301 and 302 tags more efficient. This option works in conjunction with the Circulation parameter Controlled Patron Values, which allows you to configure controlled patron value codes and corresponding text descriptions. The codes you configure can be entered in the patron record 301 tag. When you save the record to the database, the 302 tag is populated with the text description that applies to the corresponding code in the 301 tag.
2.2.4 Ability to Specify Tag-level Add, Edit, and Delete MARC Record Editing Permissions IM record: 25057434 The Profiler has been enhanced with new Cataloging Tag Permissions, which allows you to set permissions for individual users or groups of users for specific MARC tags or ranges of MARC tags, e.g. tag 100, range 11x, or range 1xx. A user will get an error message when he tries to add or delete a forbidden tag in the Virtua Client. If a user tries to edit a forbidden tag, their keystrokes will not be registered in that tag’s field. Permissions set for an individual user will override the permissions set for that user’s group, and permissions set for an individual tag will take precedence over the permission set for the range of tags to which that tag belongs.
2.3 Circulation 2.3.1 Ability to Override Notices IM record: 17267652 On the Notices/Limits tab of the Location + Patron + Item matrix window, the new Override Notices feature lets you set the notice period for any numbered notice. This value will override the default setting in the Notice Period field. The period is a numeric value from 0 to 9,999. The options for units are: minutes, hours, days, and years. To specify an override, click the Add button.

All “hidden” locations are treated as non-existent by the iPortal. This means that the locations will be masked in search results, counts, location filters, and the Cart. Associated with this feature is the Apply Mandatory Filters for Hidden Locations option on the OPAC Basic Options window in the Profiler. This option must be selected in order for the holdings and items at the designated locations to be hidden.
2.5 MARC View Editor 2.5.1 Support for Linking Entry Fields MARC Code IM record: 17272800 The Profiler MARC View Editor has been enhanced with a new Linking Entry Fields MARC Code area, which allows you to specify a MARC code for linking fields (760789) that have been designated as search hyperlinks. In the Linking Entry Fields MARC Code area, specify a MARC code for any linking fields (760-789) that have been designated as search hyperlinks. If the control number in the subfield $w is preceded by the specified MARC code, then the field will be displayed as a hyperlink.

3. Vectors iPortal 3.1 Ability to Automatically Focus Cursor for Immediate Text Input IM record: 24751128 The iPortal has been enhanced to include a new optional FOCUS parameter for the Begin Search Form Directive, which indicates that the search form’s first search term field will be ready to receive keyboard input immediately after the page is loaded (i.e. the cursor will be automatically positioned in the first search term field). The FOCUS parameter is part of the BEGIN_SEARCH_FORM directive, and is used as in the following example:
Notes: • Only the last search form using the FOCUS option will be selected for immediate keyboard input. • This feature only works in Internet Explorer 3 and later, Netscape 2 and later, Firefox 1 and later, and any other browser that is W3C standard compliant with regards to the HTML DOM specification.
3.2 Ability to Translate Location Names Purpose: The new LocationTranslationFile setting in the iPortal allows you to translate the names of locations as they appear in the iPortal. Location: The Location Name Translations Setting section of the chameleon.conf file. Value to Enter: The complete path and filename of the .conf file containing location codes and the translated name for each code that will appear in the iPortal. 3.7 Displaying Bib Data on the Item Detail and Holdings Item Detail Screens IM Record: 24715092 Directive: DISPLAY_PARENT_BIB_USING_VIEW Purpose: Displays brief parent bibliographic information at the top of the Item Detail or Holdings Item Detail screen. The display of the brief bibliographic information is generated from a View, which is created in the MARC View Editor. The display lets you associate item details and copy-specific notes, if available, with an item’s parent bibliographic record so that users can see all this information on one screen. Usage: where view is required AND is either the number of the iPortal View or the name of the iPortal View to be used. Note: This directive uses not only a View, but also a dialog file to generate the screen display. Only View data is available for use in the dialog. One generic dialog file called ParentBib.dlg is provided as part of the default skin template.
3.8 Configuring Patron Preference Options IM Record: No specific record. This functionality is being implemented to address software performance issues. The development of Patron Preference options is in its infancy as of version 49.0 of the software. The current implementation is subject to change. When fully implemented, Patron Preference functionality will allow patrons to determine a number of configurations for their interface. These configurations will be used for an entire session, not just for a single page or search. Currently, you can configure only ONE Patron Preference setting:

By giving patrons the ability to enable this setting, you give patrons the option of seeing “item availability” information displayed for each record on the Holdings List screen. The display of this information impacts system performance, especially at libraries with a large number of holdings. For this reason, we have made this option a patron preference. Configuring Patron Preference functionality consists of several aspects: parameter settings, directives, dialog-based strings, and a new patron preference configuration file. You can find a discussion of each of the elements in the Vectors iPortal Configuration Guide.
