OpenOffice.org – Impress – An Introduction

What is OpenOffice.org – Impress? OpenOffice.org – Impress is an Open Source Presentation Software that comes with OpenOffice.org as part of the package. It contains all the capabilities of Microsoft PowerPoint – Accompanied with Microsoft Office, a 100% Commercial Software. Impress offers all basic the features and functions of PowerPoint. Presentation Basics Before move over the illustration, lets have a little discussion on the Presentation Basics. When we create a file using Impress, it is called Presentation. A presentation is the combination of multiple Slides. Similarly a slide is the combination of different elements such as Text Box, Images, Font Gallery and even Audios & Videos. To make our presentation we can add different kinds of animations and effect to slides and slide elements.

Main Toolbars

1.4.a Standard Toolbar

Open

Loads an existing file from the specified location.

Save

Saves current file. If saving for the first time prompts for a file name else will replace the existing file.

Email

Sends current file as attachment and Loads the Default Email Editor.

Edit Lock

Makes current file as Read-only and vice-versa.

Export to PDF

It converts current file into PDF Format.

Print

Prints current file using the default printer.

Print Preview

Shows preview of the current file in Print Preview Window.

Spellchecker

Loads Spellchecker to check the misspelled words in the presentation.

Spellchecker

Checks spelling automatically when enabled.

Cut

Cuts the selected object and puts it in Clipboard.

Copy

Puts the selected object in Clipboard without removing the original one.

Paste

Places the objects that was cut / copied at the current position.

Formatting Paintbrush

Copies the formatting of the selected text.

Undo

Reverses the last command(s) or entry you typed.

Redo

Reverses the action of the last Undo Command(s).

Hyperlink

Cuts the selected object and puts it in Clipboard.

Chart Wizard

Opens chart wizard to create a Chart in current presentation.

Spreadsheet

Inserts a Calc Sheet in presentation when needed.

Hyperlink

Inserts a Hyperlink in presentation when and where required.

Lets Get Start – 1, 2, 3 GO!!!

Understanding File Terms The File menu contains all the operations related to file management, but we will discuss only about: New, Open, Close, Save, Save As, Export, Print and Exit. To access the File Menu, here is the procedure: Procedure: 1.Press Alt + F, select required option and press Enter. 2.OR Press F10, focus will be moved to Menu Bar. Select the specified menu and option and press Enter. 3.OR Click on File option on Menu Bar and enjoy the proceedings as above. Icon

Open

Used to open an existing file from a floppy disk or hard drive of your computer.

Close

Used to close a presentation (file) not Impress Software.

Save

Used to save a file that you have changed. If you close the presentation without saving it, the changes you made will be lost.

Used to save a new file for the first time or save an existing file with a different name.

Export

Saves the current presentation into many formats to make it portable and compatible with other formats, such as html, pdf, swf, bmp, jpg & many more.

Print

Used to take a hard copy if the presentation.

Exit

Used to exit Impress or any other application in the OpenOffice.org software suite.

2.1

Creating an Empty Presentation Using AutoPilot You can use the AutoPilot to create a new, empty presentation, or open an existing presentation in Impress. Procedure: 1.Choose File => New Presentation from the menu bar.

2.On the AutoPilot Presentation dialogue box, click on the Empty Presentation radio button.

3.Click the Next button to display the second screen of the wizard. This is where you can define the slide design.

4.Click in the Select a slide design drop-down button to select either "Presentations" or "Presentation Backgrounds." 5.Select a secondary choice to use in the presentation. The topics displayed in that selection area, beneath the Select a slide design field, are dependent on what you have selected in the Select a slide design field. The Presentation Background choices are visually-formatted templates. The Presentation choices contain pre-written slide content. Condition

6.Under Select a Slide Transition, click in the drop-down area to select any of the 57 available Effect transitions. The white area of the screen provides an illustration of the each effect as you scroll through the available choices. 7.Under Select a Slide Transition, click in the drop-down area to select the Speed of the slide transition (Slow, Medium, or Fast). 8.Under Select the presentation type, select either Default or Automatic to define whether the presenter will manually advance slides in the presentation (default), or whether the slides will automatically advance based on Duration of page and Duration of pause timing definitions. Slide Layouts Impress allows you to select any of the 20 different AutoLayout slide templates to use in your presentation. Impress prompts you to assign an AutoLayout each time you add a new slide. You can change the AutoLayout assigned to any slide in the presentation at any time. Icon

Saving a Presentation You must save and assign a distinguishable name to every presentation that you create in Impress. If you don't name the file, you won't be able to open and update it in the future. The first time you save a presentation, Impress will prompt you to assign a name through the Save operation. If you want to save this with another name, use Save As operation. So, how do you know if you have named a file or not? Look at the blue title bar that runs along the top of the screen. If the text, Untitled 1 - OpenOffice.org is displayed in the title bar, as seen in the picture below, the file does not have a name. If the title bar contains some name other than Untitled 1 – OpenOffice.org, you know that you have

Icon on Standard Toolbar.

2.Provide the File name and Save as type and press Save button in Save As dialog box.

2.4

Closing an Impress Presentation If you want to close the presentation, follow the following procedure. Procedure: 1.Choose File => Close from the menu bar OR press Ctrl+W or Ctrl+F4 from Keyboard. 2.The presentation in the Impress window is closed. 3.Simply done!

2.5

Opening an Impress Presentation If you want to load an existing presentation, follow the following procedure. Procedure: 1.Choose File => Open from the menu bar OR press Ctrl+O from keyboard.

2.Select the File name, and click on Open button.

Opening a Presentation Using the AutoPilot Just as you can open any presentation that has been named and previously saved from the File Menu, you can also open any presentation with the AutoPilot.. Follow the given below procedure. Procedure: 1.Click the Open existing presentation radio button.

3.Select the file and click on Open button. File will be in front of you in Impress Window. 4.OR Finally simplest method to open a presentation is to press Ctrl+O & select the file name from Open dialogue box. 5.Simply done!

Unit 3: 3.1

Working with Presentations

Navigate between slides in a presentation OpenOffice.org – Impress offers various methods to navigate among different slides. Lets have a discussion regarding this. 3.1.a Using Mouse Technique

3.1.b Using Keyboard Technique Its very simple, just press Page Up & Page Down keys to navigate among different slides of the presentation. 3.1.c Using Navigator Navigator is another alternative to move from one slide to another. To open Navigator, press Ctrl+Shift+F5 or click on Icon on Standard Toolbar.

Inserting a slide in a presentation Each Impress presentation that you create will begin with a single slide. After you change the opening slide, you'll want to add more slides to your presentation. The number of slides that you add to the presentation is dependent on the length of your presentation. There are two main methods to add a slide inside a presentation. Method 1: 1. Choose Insert → Slide from the menu bar.

2. OR Click on

3. A Blank presentation slide will be added just after the current selected slide. 4. Simply done! Method 2: 1. Right Click in Blank Area between two slides in the Slide bar towards left side of the screen. 2. Click on New Slide option. 3. A Blank Slide will be inserted between the two slides. Simply done! Inserting a duplicate slide in a presentation Impress also offers feature to add a duplicate slide in the presentation to minimize the efforts to make the presentation more effective and easy. Like the previous section, there are two main methods to add a slide inside a presentation. Method 1: 1. Choose Insert → Duplicate Slide from the menu bar. 2. A new slide, an exact duplicate of the copied slide, will appear on screen just after the selected slide in the presentation. 3. Simply done!

Method 2: 1. Right Click on a slide in the Slide bar & click on Copy option. 2. Now Right Click in Blank Area between two slides in the Slide bar & click on Paste option. 3. You will see exact copy of the coped slide – i.e., Duplicate Slide of the selected slide. 4. Simply done!

Deleting a slide in a presentation There are Two methods to delete a slide from a presentation. Lets discuss on these methods. Method 1: 1. First of all, bring the specific slide in focus. 2. Choose Edit → Delete Slide. Current slide will be deleted. 3. Simply done! Method 2: 1. Right Click on a slide in the Slide bar & click on Delete Slide option. 2. Current selected slide will be deleted. 3. Simply done!

3.5

Moving a slide in a presentation Sometimes you may want to move slides around in the presentation to better support an argument or point that you want to make. With Impress, you can move any slide from one location to another in the presentation. Method 1: 1. First of all, select the specific slide in slide bar and press the Left Mouse Button. 2. Now use Drag & Drop Technique to move the slide within the presentation (in slide bar). 3. Now release the mouse and place the slide where you want to place it. 4. Simply done!

Unit 4: 4.1

Working with Workspaces / Presentation Views

The Normal View Normal View offers, all the facilities to add / edit multiple objects / elements inside the presentation as per requirement of the user. Normally when a presentation is created, by default view is Normal View.

4.2

The Outline View Outline View offers bullet structure for a slide. In this view we can add all the points of the presentation in the form of bullets (points) without torching the graphics. This view is helpful for the experienced users who don't want to be involved in unnecessary graphics, except want to work on main points. OR for those who have enlisted their presentation points in any word processor (such as Microsoft Word or OpenOffice.org – Writer). To enable this view, choose View → Outline.

4.3

The Slide Sorter View This workspace helps users in viewing multiple slides at the same time. You can perform many operations over the slides at one place. For instance, you can cut, copy, paste and delete multiple slides at the same time without going into detailed options. To use this view, choose View → Slide Sorter.

The Slide Show View If you want to view that how will your presentation will look! Use Slide Show View. This will preview the presentation for screen display. F5 is the shortcut key for presentation's slide show. Alternative way is to use menu bar, choose View → Slide Show.

The Handout View This workspace helps in viewing the presentation in perspective to get the slides in making handouts. For example, we can merge 2, 3 or more slides inside single page to get them printed in a single sheet except of using separate page for each slide. The Master View If you work for a company, you may be asked to prepare long presentations. Or, you may want to prepare slides about a special event or occasion. The Master View allows you to create a presentation with different types of slides but enable them to all have the same "look". The elements that you add to the Master View - such as a company logo, background, and font colour - will be applied to all of your slides. How a Master View is presented in your presentation depends on how the presentation was initially created. Empty presentations generate a Master View with a plain, white background. On slide 1 you saw a reference to “Click to add title” and “Click to add text.” These three elements – background color and two text placeholders – are contained on the Master View. These three elements are available on every new slide that you add to your presentation.

Working with Presentation Elements

Working with Text (Text box) Text is the basic unit to insert information inside the presentation. To insert text, we use Text Box. There are two methods. Method 1: Using Predefined Text Boxes There are 20 Slide Layouts in Impress that can be used to prepare a presentation, out of which 19 can be used to enter the text. While the only remaining is Blank Slide, where you can also add text using manual method to insert the text. To add text using predefined text boxes: 1. Click on Heading or Sub Heading inside the slide and add the Text that you want to present. 2. Now remove the focus from that element. Simply done!

Working with Images During creation of presentation, we need images to be added in it. Although contrary to Microsoft Office, there are limited no. of Gallery Images (that can be added using Icon on Drawing Toolbar). Alternatively to do is to use system images stored in your computer. To do this, 1. Choose Insert → Picture → From File. 2. Select an image file from Insert Picture Dialogue Box and click on Open Button. 3. Your selected picture is inserted in the presentation. 4. Working with Charts

Impress allows you to create many different kinds of charts to visually accent data. 5.6.a Chart Types Icon Name Description Area Chart

An area chart emphasizes the trend of each value over time. An area chart also shows the relationship of parts to a whole.

Column Chart A column chart uses vertical bars or columns to display values over different categories. This chart shows variation in value over time. Bar Chart

A bar chart is similar to a column chart except these use horizontal instead of vertical bars. Like the column chart, the bar chart shows variation in value over time.

Line Chart

A line chart shows trends and variations in data over time. A line chart displays a series of points that are connected over time.

Pie Chart

A pie chart displays the contribution of each value to the total. Pie charts are a very effective way to display information when you want to represent different parts of the whole, or the percentages of a total.

Other Charts

Some of the other charts that you can create in Impress include XY Chart, Net chart, Stock chart, Line (3D) chart, Area (3D) chart, Bar (3D) chart, Column (3D) chart, and Pie (3D) charts.

Running a Slide Show Once you have formatted the presentation the way you like, and after you have timed and defined all of your settings, animations, and transitions, you can run the presentation in Slide Show format. To run a Slide Show: 1. Click Slide Show → Slide Show (F5) on the menu bar.

2. If you have set up the presentation to advance manually, click the mouse, press the Page Down button, or press the Enter key to advance to the next slide. You can move backward one slide at a time using the Page Up button. 3. Press the ESC button at any time to exit the slide show. NOTE: If you have set the slides to advance automatically (see lesson 16), you don't need to click through the slides. Printing

Printing a Presentation Printing an Impress presentation is much like printing in other OpenOffice.org applications, like Writer or Calc, or even like Microsoft Word or Microsoft Excel. Impress defaults to printing the entire presentation. However, Impress also allows you to print select slides in a presentation. To print a presentation: 1. Choose File Print from the menu bar. 2. The Print dialog box opens.

3. Specify the printer Name where you want to print your presentation. 4. Click to add a check mark in the Print to file field only if you are going to print the presentation to a computer file and not to a printer. A Save As dialog box will open to save a .PRN format file to any location that you choose. A .PRN file is a special type of file that contains instructions for a printer (e.g., tells the printer what to print on the page, where to print, which paper tray to use, paper size, and other controls 5. In Print Range, choose whether you want to print All pages or a certain range of Pages, where n and y are the beginning and ending page numbers. 6. Choose the Number of Copies that you want to print by clicking the up or down arrows. 7. Click the OK button to print the spreadsheet. 8. Printing Handouts, Notes, and Outlines

You can print Impress presentations in several different ways. Impress defaults to the Drawing view, which allows you to print your slides. Saving a File in Microsoft PowerPoint Format You can save any file that was originally created or updated in an Impress presentation -- whether it was created in Impress or Microsoft PowerPoint -- in Microsoft PowerPoint format. You can then share files with Microsoft PowerPoint users even though you may not use Microsoft PowerPoint. To save a file in Microsoft PowerPoint format: 1. Choose File Save As from the menu bar.

Exporting an Impress presentation to PDF Format The Portable Document Format (PDF) is a file format that the Adobe Corporation created. These files are used frequently on the web because you can view and print this format on a variety of computers that use different operating systems. PDF files look very much like the original document -- the PDF maintains the same formatting, graphics, and color. In addition, these files tend to be smaller in size than the original format that they were created in. Someone trying to read a PDF file needs to download Adobe Acrobat Reader, which is available as a free download from Adobe. To create PDF files in the past, users had to purchase a product called Adobe Acrobat to transform their OpenOffice.org or other software documents into PDF files. Now, Impress allows you to create a PDF file directly from its software, without having to purchase Adobe Acrobat. You can view any PDF file that you created in Impress in Acrobat Reader. To export a file to PDF: 1. Choose File Export as PDF from the menu bar.
