Quick Guide to Online Examinations STEP 1
Supervisors will receive a user ID and password for each student one week before the examination
STEP 2
JAVA must be installed on the PC on which the examination will be conducted. Check for JAVA by entering the following URL: http://www2.kaplanprofessional.edu.au/sniffer/ (see page 3 for detailed instructions)

When students are ready to sit the examination; enter the following URL: http://learning.kaplanprofessional.edu.au/exams

Ensure you have arrived at the correct login screen:

Enter the student(s) User ID and EXAM Password (provided in Step 1), then click Login

Students select their examination by clicking on the subject name

Click the Start exam now button to commence. Note: The examination time begins when you click this button Supervisors must monitor the exam time independently of the system

Students should read the onscreen instructions THOROUGHLY and then click Continue Test

IT Analysis – Java Requirements Test In order to access the Online Learning Centre, you will need to have both JavaScript and Java enabled in your browser. Many computers will have these technologies correctly in place and you can confirm this using the test tools available at: http://www2.kaplanprofessional.edu.au/sniffer/. The test page will also provide a pathway to help materials in the event that you do not have these set up correctly. The enablement of Java in the browser is vital as the assessment engine relies on this technology to deliver the exams. For this reason, if a user does not have this technology in place, they will be prevented from logging into the exam site and will instead be prompted to install Java. It is essential that you check the user's browser is Java enabled in advance to ensure a smooth assessment process. The java test will open the following page:

If you can see the clock, click “Yes” and your screen will be updated with the message: “Java Virtual Machine is installed and configured correctly. “

If you cannot see the clock, click “No” and your screen will be updated with the message: “Java Virtual Machine is NOT installed and configured correctly.”

Exam Time Limits • • • •
The official time allowed for examinations is listed in the table below. Supervisors should monitor the exam time for students independently of the system, as the onscreen time display only updates as the student moves from page to page. An additional 25% has been added to the official time limit to allow for system difficulties and system slowness, and this additional time will display to students on-screen. Supervisors should ensure students submit their exam within the official time limit.

Foreign Language Dictionaries: students may only use a standard foreign language translation dictionary (i.e. one that does not include definitions) that has been approved by Kaplan Professional. The dictionary must be a clean copy without markings or notes. The dictionary must be given to the examination supervisor at least 24 hours prior to the scheduled examination together with the letter of consent from Kaplan Professional. Calculators: students must use their own calculators in all examinations. Calculators should have x y nine or ten digit displays and should have the ability to raise numbers to a power (y or x button). Calculators or other electronic devices which have the ability to store and display text are not permitted into the examination room. Permitted materials in Open Book Examinations: candidates are permitted to bring study notes, text books, subject materials and handwritten notes into open book examinations.

Allow the candidates into the examination room approximately fifteen (15) minutes before the examination is due to begin. When the candidates are seated, announce the name of the examination, duration of the examination and check that the candidates are doing the subject/module being examined. Ensure that all mobile phones and pagers are switched off and placed in bags or away from desks. Request that the candidates complete their details and sign the Supervisor Declaration Form. Check each student’s signature against the identification provided. Ensure that each candidate has a copy of the User Instructions, Trouble Shooting Tips and blank working paper. Ensure that candidates are unable to view computer screens other than their own. Advise candidates that strict examination conditions apply – no verbal or visual communication is allowed, and they are unable to leave the examination room in the final ten minutes of the examination. Advise candidates that they must submit their examination responses within the time limit otherwise their responses will be lost, and they will need to resit the examination. To enter the online examination environment, input the URL: http://learning.kaplanprofessional.edu.au/exams. Advise candidates that their exam time starts once they click on the exam name in the left hand navigation bar.

Supervisors should be present throughout the entire examination period. Candidate(s) must not be left unsupervised at any time during the examination. During the examination, periodically check that candidates are not attempting to open other software, web browser windows, web pages, other network services or printers. The supervisor should sign the declaration form (enclosed) when satisfied that the information entered is correct, and count the number of declaration forms to ensure that the total is the same as the number of candidates sitting the examination. Fifteen (15) minutes before the end, the candidates should be advised that they have fifteen (15) minutes left and may not leave in the last ten minutes of the exam. In the event of disruption to an examination, please refer to the Disruption to Examinations – Independent Supervisor Guidelines on page 10 of this kit. Candidates may leave, at the discretion of the supervisor, to use the toilet facilities. Candidates should be under reasonable supervision during this absence.

Non-attendance Should the candidate not attend the examination, enter the candidates name and sign in the non-attendance section of the Supervisor Declaration form, and return the examination paper, answer booklet(s) and declaration form as above.

Online Examination Step by Step Guide 1.
Enter URL, User ID and Password
Go to the examination URL: http://learning.kaplanprofessional.edu.au/exams Enter the student User ID and the examination Password supplied to you as the supervisor.
2.
Select examination subject
Students select their examination by clicking on the name of the subject (eg. Specialist Knowledge: Foreign Exchange (927)). Note: If students are enrolled in more than one examination subject for today’s date, all examinations will be listed. Students should click on the examination they would like to sit first.
3.
Start the examination
Start the exam by clicking on the ‘Start exam now’ button. Note: the examination time starts once you click here.
4.
Read exam instructions prior to commencing examination
Students must read the test instructions thoroughly and then click on ‘Continue Test’ to begin their exam.
5.
Begin answering the exam questions.
Students should click on the circle next to the response they wish to select for each question. All questions must be attempted. Note the ‘Mark for Review’ square – this will allow students to flag trouble questions and come back to them later. Once students have completed all the questions on the page they click ‘Next’ to continue with the next page of questions. On the final page of the test, students can check a summary of their examination responses by clicking ‘Summary’ or finish the exam by clicking ‘Finish Test’.
6.
Finish the examination
When students are sure they want to submit the examination, they must click ‘Submit Test’. If submit test is not clicked the students’ examination score will be lost. Click ‘Return to Test’ to revisit test questions. Click ‘Summary’ to see a list of all questions in the test.

Note the score
Students raw score and percentage score will be displayed on screen.

Online Examination Trouble Shooting Tips Problem I can’t see the login screen

I can’t log in
After clicking “Start Exam Now” a blank page comes up. Exam does not start.
Are you connected to the internet? Can you view other websites, such as www.google.com? If not you may be having general connection problems. INFORM YOUR SUPERVISOR Have you keyed in the web address correctly: http://learning.kaplanprofessional.edu.au/exams. Does your computer have Norton Anti-Virus software installed? If so you will need to disable it. Does your company have unusual firewall protection? You may need to contact your IT manager. Can you try another computer?
• The exam password is case sensitive – do you have caps lock on? • Are you enrolled in the subject? • Are you registered for the exam? Ask if the supervisor has you listed for this date Note: only exams registered for this date will appear on the screen. • Has your supervisor keyed in YOUR Personal ID and Password? • Has the supervisor misspelled YOUR Personal ID or Password? • Does your browser support JavaScript or is Java enabled? You will need to discuss this with your supervisor who should have conducted a pre-examination test (check this via the link below). http://www2.kaplanprofessional.edu.au/sniffer/ • Do you see a “Login Was Unsuccessful” message stating that your ID is already in use? If so, inform your supervisor immediately. Someone else may have started the exam with your ID by mistake. Disruptions to Exams – Independent Supervisor Guidelines Definition: disruptions may include power failure, earthquake, bomb threat, fire, fire drill and any event that may require evacuation of the examination room or impact the candidate in the completion of the exam. Please note that as disruptions to exams each involve a unique set of circumstances, management decisions should be made on a case-by-case basis. Examination Supervisor Instructions: in the event of disruption to an examination, the supervisor should: • • • • • • • • •
Ascertain whether there are any safety issues and follow appropriate emergency procedures. Contact emergency services if appropriate. Ensure the candidate is aware of the Examination Security Guidelines, as outlined below. Supervise the candidate at all times Contact nominated Kaplan Professional Representative if appropriate Determine whether or not to resume exam Collect exam material if appropriate Advise candidate of Kaplan Professional process if appropriate Complete and submit an incident report.
Examination Security Guidelines: in the event of a disruption, candidate is not permitted to: • • •
Look at non-approved material such as text books or course materials if applicable Remove exam materials from the exam room unless otherwise instructed Use mobile phones, electronic diaries or organisers
Candidates must obey the instructions of the independent Examination Supervisor at all times. Advanced Notification of Disruption: if the possibility of disruption is known prior to examination time, the Examination Supervisor should advise the candidate of this possibility before commencing the examination. The Examination Supervisor should ensure the candidate is aware of the Examination Security Guidelines. Suspending the Examination: if an examination is suspended, candidates should be advised that they will be required to resit the examination. The candidate should be advised to refer to their enrolment kit for alternative examination dates and to contact their regional Kaplan Professional office to confirm alternative arrangements. Continuation of Examination: if the candidate continues to work throughout the disruption, this fact must be noted in the Incident Report. Terminating the examination: in cases where an examination has commenced and the Independent Examination Supervisor anticipates that the disruption will be prolonged (more than 30 minutes), the Supervisor should contact the nominated Kaplan Professional Representative to discuss terminating the exam. If it is agreed to terminate the exam, the candidate should be advised to refer to their enrolment kit for alternative examination dates and to contact their regional Kaplan Professional office to confirm alternative arrangements. Incident Report: the Independent Examination Supervisor must complete an Incident Report indicating the time, length and cause of the disruption, the examination affected, candidate issues and all other relevant information. This report should be forwarded to the Kaplan Professional Representative immediately after the examination ceases.
