Film and TV Production Level Three Productions Production Protocols

These specific protocols are intended to be read and applied in conjunction with the Film and Television Health and Safety Regulations and the University Regulations.

Production budgets may be used for equipment, reusable materials or ‘consumables’. Where equipment or reusable materials are purchased these remain the property of YSJU and must be left with your supervising tutor at the end of the project.

Production budgets from YSJU should not be used for catering. You will be able to provide refreshments for visiting actors, but this must be cleared with your supervising tutor in advance of filming.

All vehicle hire must be conducted via YSJU and in consultation with your supervising tutor. (You will find this cheaper and more convenient than using a commercial organisation). Your tutor will then liaise with the Head Porter to authorise the transport.

Normally hire of equipment from external companies is prohibited, as this brings with it a series of additional H&S concerns. Where you feel you require equipment not held by FTVP or YSJU you should discuss your requirements with your supervising tutor in the first instance. All equipment hired in must be done via the FTVP technical team after receiving authorising information from your tutor.

Train tickets should be booked via YSJU. Please note that we require a minimum of 14 days notice. (You will find this cheaper and more convenient than doing it yourself).

Where contractual arrangements are made with actors or participants to provide copies of films this must be done in writing and a copy of this left with your supervising tutor. It is your obligation to provide this material at the end of the production.

Productions involving minors are subject to specific legal requirements and should be discussed and negotiated with your supervising tutor before filming

Production expenses are paid in retrospect via a student expenses claim form available from your supervising tutor. A quantity of forms are available outside the office of the HoP.

Written permissions for location filming must be available and seen by your supervising tutor and available during filming.

Production expenses must be claimed by Friday 28th May 2010. All press releases and publicity (in whatever form) must be checked with the HoP in advance of releasing the material.

NB: This is not an exhaustive list of protocols for your production. You must also abide by H&S and University regulations. Remember - if in doubt consult your supervising tutor.
