Certification Process

Get a quote from www.api.org/quote or contact Chip Evans at [email protected]. API will send a quotation and an application package. Organizations applying only for ISO 9001 registration must have quality manuals and quality management systems that conform with the ISO 9001 standard. Companies applying for API Spec Q1 registration or ISO/TS 29001 registration must have quality manuals and quality management systems in conformance with API Spec Q1. Companies applying for ISO 14001 and/or OHS 18001 registration must have management systems that conform with the applicable standard. Prior to submitting an application to API, companies must have had a management system in place for at least four months. This includes performing and documenting an internal audit and management review in accordance with the applicable standard. Submit the application paperwork, application fee, and the quality manual. The quality manual must be written in English. Quality manuals are not required for ISO 14001 or OHS 18001 registration. API will review the application forms and the quality manual for conformance with program requirements and applicability of desired scope of certification. Should application forms be incomplete, and/or should the quality manual be out of conformance with requirements, API will provide comments. When the application package and quality manual are accepted, API will schedule a Stage 1 audit. The audit costs are at the organization's expense. Stage 1 audits are generally performed offsite and require the organization to provide the auditor with documents for review. These documents may include procedures, control features, internal audit reports, management review records, staff responsibilities and facility layout. If needed, parts of the Stage 1 audit may be carried-out at the organization’s premises. Once the Stage 1 audit has been successfully completed, API and the assigned auditor will schedule a Stage 2 audit. The audit costs are at the organization’s expense. Stage 2 audits are performed on-site and include verifying the organization’s conformance with API Spec Q1, ISO 9001, ISO/TS 29001, ISO 14001, OHS 18001, and/or any applicable API product specification. API will make the certification decision on the basis of an evaluation of the audit findings and conclusions, and evidence of effective implementation of corrective actions by the organization (if required)*. Organizations registered under API Spec Q1, ISO 9001, ISO/TS 29001, ISO 14001, and/or OHS 18001 will have a full system audit every year to ensure continued conformance with the applicable program requirements. *A follow-up audit may be required if nonconformances are deemed significant.

Frequently Asked Questions

1.

How do I apply for an API Monogram License? You must implement a quality manual and quality management system that are compliant with API Spec Q1, and you must have the capability – processes, equipment, and personnel – to manufacture products that meet the technical requirements of the applicable API product specification(s). You must also perform a documented internal audit and management review in accordance with API Spec Q1. After your quality management system has been operational for at least four months, you may then complete the application documents and send them to API along with a copy of your quality manual and the application fee. Please do not send design documents, procedures, or work instructions.

2.

How do I apply for an API quality management system certification, i.e., ISO 9001 certification? You must implement a quality manual and quality management system that are compliant with the applicable standard, API Spec Q1, ISO/TS 29001, and/or ISO 9001. You must also perform a documented internal audit and management review in accordance with the applicable standard(s). After your quality management system has been operational for at least four months, you may then complete the application documents and send them to API along with a copy of your quality manual and the application fee. Please do not send design documents, procedures, or work instructions.

3.

4.

How long does the application process take? Approximately four to eight months depending on several factors. The length of time it takes API to accept your quality manual is one of these factors. We strongly suggest you complete the quality manual checklist provided in the application package to improve the chances of early acceptance. Other factors include auditor availability and the additional time necessary to correct nonconformances, if any, identified during the audit. How can I receive a quotation and/or an application/ information package? For a quotation, please contact API at [email protected] or go to www.api.org/quote. API will prepare a quotation and send it with an application package and a copy of the applicable API product specification(s). You may also contact the local API Training and Certification Programs marketing representative for an application package.

5.

How can I contact an API Training and Certification Programs marketing representative in my area? Please go to www.api.org/marketingreps to review a list of API marketing representatives and contact information. You may also email API at [email protected] or call (+1) 202-682-8145 for information about your local representative. If API does not have a marketing representative in your area, we are pleased to answer your questions directly.

6.

Will API Training and Certification Programs use local auditors? API will use local auditors whenever possible. At present, API auditors are based in more than 30 countries. Please note that factors such as auditor availability, conflict of interest concerns, and API’s policy that an organization should not be audited more then twice consecutively by the same auditor may direct API to use non-local auditors.

7.

Our organization is ISO 9001 certified. How close are we to meeting the API Monogram Program application requirements? Probably very close. ISO 9001 certification means that you meet approximately 85% of API Spec Q1. You must add the additional API Spec Q1-specific requirements to your quality manual and quality management system to bring you into conformance. The additional API Spec Q1 requirements are outlined in the application package. Next, ensure that you have the technical capability to meet the applicable API product specification(s) requirements and possess a design package, if required. At that point, you should be ready to apply.

8.

What are the English language requirements? Will the audit be in English? The application and the quality manual must be provided in English. Procedures and any other documents that make up your quality management system may be in the language of your choice. In most cases, the audit will be performed in the local language.

9.

We do not develop the design. We purchase the design or our client provides the design or we take the design entirely from an API specification. As a non-designer, can we still apply? Yes, you may apply, but you must still address how you will receive, review, identify, and transfer key aspects of the design package into shop routers/checklists, prepare for the possibility of design changes, and finally ensure the design resulted in a product compliant with the applicable API product specification. API will review these control features that ultimately make up the design package. In some cases, due to the nature of the products and specifications, API allows an applicant to exclude design and development activities in its quality management system. Casing, tubing, pipe and plate manufacturers, threaders, drilling mud producers, testing agencies, and gage manufacturers that follow the API specification with no deviation, may apply to exclude design development and control. Applicants producing products to one of the other API specifications must be prepared to show the API auditor their design documents.

10. Are we required to be ISO 9001 registered or API Spec Q1 registered prior to applying to the API Monogram Program? No. Although registration to these quality management system standards brings you closer to meeting the API Monogram Program’s quality management system requirements, registration is not required. API Monogram Licensees must have a quality management system that is compliant with API Spec Q1, but API Spec Q1 registration is not required.
