FACTS TO KNOW ABOUT FLIPCHARTS AND ACTIVSTUDIO SOFTWARE BEFORE YOU BEGIN: What is a flipchart? ‐ If you are familiar with PowerPoint software, think of each “page” of a flipchart being equal to a blank “slide” in a PowerPoint presentation. A flipchart can be a blank white board where you write notes, lessons, instructions, etc., while teaching, or it can be a presentation like a PowerPoint. The difference between PowerPoint presentations and flipcharts is that a flipchart can be created to promote and increase student participation at the ActivBoard. A flipchart can be interactive. What are layers? – When you create a flipchart using the ActivStudio software, everything you add to your presentation (and which later appears on your ActivBoard) is added in layers. The ActivBoard has three layers – top, middle, and bottom. By default, certain items always appear on certain layers. You can modify where items appear to create different effects in your flipchart. Annotations appear on the top layer. Annotations include any notes written with the ActivPen or highlighter. Eraser marks from the Eraser tool also appear on the top layer. Images and text (typed) appear on the middle layer. Background colors and background images appear on the lowest level of the bottom layer. These are fixed and usually cannot be moved or edited. Do I have to be at the ActivBoard to create a flipchart? – No. You can use almost every function of the ActivStudio software from your laptop. Can I make a flipchart at home? – Yes, but you need to set up your laptop BEFORE you leave school for the day to work in the ActivStudio software at home. Because the software is set up to look for certain program files on the wireless network, if you open the software at home, it will not work. To “ready” your laptop, follow the instructions below: AT SCHOOL: Make sure you have enough battery charge to last until you get your laptop home and plug it in. You will NOT be able to access any files from the wireless network folder, so make sure any flipchart, image, or sound files are on a flash drive to take home with you. 1. Open the ActivStudio software. You can close the dashboard, but make sure the main toolbox is open, and the software is in design mode (the main toolbox, dashboard and design mode are explained on pages 6 and 7 ).

2. Go to the START button in the lower taskbar. Select SHUT DOWN; however, when the window appears to shut the system down, select Stand By from the pull‐down menu. The system will “go to sleep”. 3. Close the laptop lid. AT HOME: 1. Plug your laptop in if you do not plan to use it right away. If the battery dies, you will not be able to open the ActivStudio software. 2. When you are ready to work on your flipchart, open the laptop lid. The system should power on right away without hitting any buttons. 3. You should see the ActivStudio main toolbox. KEEP THE MAIN TOOLBOX OPEN AT ALL TIMES. Once this is closed, the software closes and you will not be able to open it again until you return to school. 4. To open a flipchart file on your flash drive, go to the main menu located on the main toolbox. Select FLIPCHART OPEN FROM OTHER LOCATION … and open the flipchart file. 5. You can not change your mode from design mode to presentation mode while at home. The software will close and you may lose your work. 6. Save your flipchart to your flash drive before closing the software. I’ve actually kept my laptop on stand by and the ActivStudio software open for an entire weekend while I worked on my flipcharts. It’s not the most convenient way to work, but it beats not being able to use it AT ALL from home. Can I put my flipcharts on my Edline page? – Yes – but they have to be exported as a Word document, PowerPoint, or a .pdf file. This prevents any actions (such as an image moving forward when you click on text) from being visible. One way to get around this is to export the file AFTER you’ve completed actions (ex. after you’ve clicked the text to move an image forward). Any video or sound clips will not be visible, but you can upload the video file separately and instruct your students to view it at a specified time. To export a flipchart to Edline, you will need to choose either Word, PowerPoint, or .pdf; save the file to your flash drive; then upload the file from your flash drive to your Edline page. Instructions for this can be found on page 16.

TO BEGIN A FLIPCHART
Open the ActivStudio software using the icon The vertical box that appears is the Main Toolbox.

The larger, main box is the Dashboard.
(You can close the dashboard at any time and the software will remain open, as long as you do not close the main toolbox.) To start creating a flipchart, or to just use the ActivBoard as a whiteboard to write on, click on New Flipchart on the dashboard. The entire screen will become white, with a black bar across the top. This is a blank flipchart page.

When you create a flipchart, which can be as small as one page or as large as you want, you need to be in Design Mode. When the software is in Design Mode, an extra toolbar appears across the top of the blank flipchart page, as well as icons of the design tools. The Design Mode also lets you edit or move objects you’ve designated as “locked” (they can’t be moved in Presentation Mode, which is how you show a flipchart.
To put the software in Design Mode, click on the Main Menu which is located in the Main Toolbox. Make sure there is a checkmark next to “design mode”. To put the software in presentation mode for teaching, select the Main Menu again and highlight design mode to remove the checkmark. When you switch between “modes”, the screen will disappear quickly, then reappear in the selected mode. To move from one blank (or completed) page in a flipchart, use the gold arrows on the right side, located in the flipchart tool strip.

1. Main Menu – Select this to save a flipchart, open a flipchart file, export a flipchart, customize your toolboxes, switch modes, and more. 2. Show/Hide Flipchart(s) ‐ The Flipchart button allows you to show or hide your currently open Flipcharts. This feature enables you to easily change between working in ActivStudio or in a Windows application.
3. Pen Width Selector – This feature allows the width of the pen, highlighter, and eraser tool to be adjusted. 4. Color Palette – Select this to change the color of the pen or highlighter. You can add more colors by customizing the toolbox through the main menu (up to 24 colors). 5. Marquee Select Tool – The marquee select tool acts like a mouse cursor, allowing you to select objects and menu choices, drag and resize objects, and more. 6. Highlighter – The highlighter tool enables transparent annotations and marks to be added to a flipchart or document. 7. Text Tool – Select this to add type‐written text objects. 8. Undo – Click this each time you want to reverse an addition or change in your flipchart. 9. Redo – Click this each time you want to redo something you edited or changed. 10. Spotlight Tool – Select this tool to place an open spotlight over a background or object. You can choose from several shapes. 11. Power Tools – This icon opens another toolbox with a ruler, calculator, compass, tickertape, and more. Additional tools can be added to this toolbox using the customize feature located in the main menu.

12. User Defined Buttons ‐ Customize the User Defined Button to open a program or perform a certain function when you click on it, such as send keystroke sequences to other applications; input regularly used text; create program shortcuts; and create links to external files. 13. Pen Tool – The pen tool enables your ActivPen to write on the ActivBoard. Select this when you want to write. 14. Eraser Tool ‐ The Eraser tool does not actually physically remove an annotation. Instead, it adds a transparent layer on top of the annotation that allows the background to show through. The eraser tool can only erase items on the top layer, which means it will not erase an image since they are placed by default on the middle layer. If you want an image erased, you must edit the image and move it to the top layer. 15. Clear Tool – This tool allows for annotations, objects, backgrounds, grids, or an entire page to be cleared on a flipchart page. 16. Reveal Tool – This tool works like a piece of paper placed on an overhead projector. It allows for the flipchart page to be revealed a little at a time. It can be pulled down from the top, pulled up from the bottom, or slid from the left or right side. 17. Recognition Tool – When this tool is selected, handwritten text and shapes are converted to typed text or exact shapes for a neater appearance. 18. Camera Tool – Use the camera tool to capture images from the Web or other locations, to use a portion of an image, or to capture a graphic organizer or activity from a textbook document. 19. Fill Tool – Select this tool to change the background color or to change the color of text by letter, word, or sentence.

ADD YOUR BACKGROUND To add a background to the blank slide page, click on the Resource Library icon located on the right side of the flipchart page in the flipchart tool strip. When you click on the icon, another window will appear for the resource library.
To view all of the images, backgrounds, shapes, flipchart pages, or complete flipcharts that come with the ActivStudio software, make sure the shared collections icon is selected at the top of the resource library. When the shared collections category is selected, the icon has an orange background, and “shared collections” appears below it. To view the resource library tree (the subject tree for the items in the resource library), click on the little arrow tab next to the X in the black box header.
The second icon under the black box is the shortcut to the Shared Backgrounds. Scroll through the resource tree to find the background you want. There are plain colors, textures, paper, and theme‐related images. Thumbnails (examples) of each background will appear on the left side of the resource library toolbox as each collection is opened in the resource tree. When you find a background you want, place your cursor over the thumbnail and drag the thumbnail to the blank flipchart page. The background should now fill the page. If you change your mind, and want to try another one, click on the Clear Tool in the main toolbox and select clear background from the pop‐up menu. Your selected background will disappear and you can drag in another one.

ADD YOUR TEXT To add typewritten text to a flipchart page, select the Text Tool from the main toolbox. Click anywhere (or near where you want the text to appear) on the blank flipchart page. A Text
Edit Toolbox will appear, and an empty text box with a blinking cursor. Select the font, font appearance, font size, font color, and background color (if you want the text to appear in a different color box than the background color of the flipchart page) then begin typing the text. An Object Edit Toolbox appears, because once text is typed, it is considered an object. Click on the Edit Text icon in the object edit toolbox. This allows you to edit text you’ve already created.

Click on the ALL button to highlight all of the text, then make your changes (size, color, etc.) Always click the X button on the object edit box to stop (close) the text editing. If you click on the page to close it, it will add another empty text box for each click on the page. To delete the text, click on the text once. This will make the handles appear around the text. You can pull the handles to change the size and shape of the text or you can drag the text using the move text freely handle

ADD YOUR IMAGES You can add images from your own files (flash drive or network folder) or from the Shared Images folder in the Resource Library. From the Resource Library – Click on the resource library icon Collections icon is selected.

From you flash drive or network folder – Open the Resource Library by clicking on the icon in the flipchart tool strip. When it opens, click on the smallest icon in the black box next to the folder image. The icon is a series of dots.
Browse to Another Folder This icon opens up other folders you may have. Locate the file containing your images.
Your images will now appear as thumbnails in the Resource Library toolbox, and can be dragged to the flipchart page.

EDITING AN OBJECT (IMAGE) Once the image is on the page, you can move it to where you want it located by dragging it by the freely move object handle and dragging it on the page. If the handles are not visible, double‐click on the image (which has now become an object in your flipchart) and the handles will appear.

Size the object but keep the aspect You can edit an object by double‐clicking on the image. An Object Edit Toolbox will appear. You can choose from the following options from the Object Edit toolbox:
CUT – Cuts the object in order to paste it in another location. COPY – Copies the object. PASTE – Pastes the object after cutting it from another location. DELETE – Deletes the object. OBJECT PROPERTIES – The object properties command is used for more advanced features, such as creating an action for an object, like opening a Web page when it is clicked, etc., or for creating containers, restrictors, or other special functions. The object appearance, size, position, identification, and actions are controlled by clicking on the properties icon and changing the object settings.

INCREASE OBJECT SIZE – You can increase the size of an object each time you click on the plus sign. DECREASE OBJECT SIZE – You can decrease the size of an object each time you click on the minus sign. DUPLICATE – You can duplicate the object by clicking this icon. OBJECT TO FRONT – You can move an object in front of another object by clicking this icon. OBJECT TO BACK – You can move an object behind another object by clicking this icon.
EXPORTING TO EDLINE To export your flipchart so you can upload it to your Edline page, click on the main menu icon on the main toolbox and select flipchart – export – select the format you choose to export to: Word, .pdf, or PowerPoint. IT’S IMPORTANT TO REMEMBER THAT ANY ACTIONS YOU’VE CREATED IN YOUR FLIPCHART, SUCH AS HIDDEN TEXT OR IMAGES, WEB LINKS, VIDEO CLIPS, ETC., WILL NOT BE VISIBLE ON THE EXPORTED FILE. When the flipchart is exported in a different format, it’s as if a snapshot was taken of each flipchart page. If you have hidden text in the flipchart, click on the actions to reveal it BEFORE you export the file and it will be visible on the exported document. Just remember that when you return to your flipchart and are asked if you want to save any changes to it, click NO, otherwise your flipchart will be saved with the hidden text showing. To export you flipchart, icon on the main toolbox. Select have the flipchart open, then go to the main menu Flipchart – Export – and the format you want to export to. For uploading to Edline, you can choose PowerPoint, Word, or .pdf. After you’ve selected the format, an export – save as box will open. Select the folder (flash drive or network folder) where you want the exported file saved, name the file, and click SAVE. The Export Wizard box will open. Click on START to begin the export. When the export is completed, the software will ask if you would like to view the export now. If so, click the checkmark for yes. Open your Edline page and follow the instructions for uploading a document under CONTENT.

If the flipchart contained video clips, those can be uploaded to Edline separately and your students can be instructed to view them.
SAVING YOUR FLIPCHART You can save your flipchart to your flash drive or to the wireless network folder. However, if you save a flipchart to the network folder, you will not be able to open or edit it at home. To save a flipchart, click on the main menu icon on the main toolbox and select Flipchart – Save To – Other Location. Locate the network folder or flash drive on the “save in:” pull‐down menu. Name the flipchart file and click OK.
A FEW ADVANCED FEATURES ACTION OBJECTS – Want to click on an object in your flipchart and automatically launch a pre‐selected Web page? You can do this by making one of the objects on your flipchart page an action object. To make an image an action object that opens a Web page, make sure you are in the design mode. Select tools from the top toolbar. Select other and then select Web Browser. Your screen will be replaced by the ActivStudio Web browser.

Type the URL for the Web page you want the flipchart object to launch. Hit ENTER so the browser opens the Web page.
Select the links icon and choose Add URL as Action Object from the drop down menu. Nothing will happen on the Web browser page, but when you close the Web browser page and return to your flipchart page, you will see a red outline box. Drag the red box to resize it around the image you want to action from. The red outline will not be visible when the flipchart is in presentation mode. Switch to presentation mode and click on the image to make sure it launches the Web page.

If you want to display a group of images on one flipchart page, but don’t have enough room, or you don’t want them to “clutter” the page, use this feature. This action lets you stack the images on top of each other and bring each one to the front of the stack as you need it by clicking on designated text. See the example below:

When the word cumulonimbus is clicked, the cumulonimbus image appears (moves to the front of the stack of images).
First, add all of the images to the page and type the text you want to use to bring the image to the front. Make sure you are in design mode. Place the bottom image on the page where you want the stack of images to appear, then double‐click on the image. The object edit toolbox will appear.
Click on the properties icon in the object edit toolbox. Select position from the list. Write down the width, height, top, and left numbers that are displayed in the box on a piece of paper. You will need to double‐click on each image and make its numbers match the bottom image numbers so the images are all the exact same size and in the exact same location on your page. This way, you will not see the edges of one image peeking out from under the one(s) on top. Now, click on identification and name your image in the text box. I named the one in the example, cumulonimbus.

Double‐click on the text that is assigned to that image (in the example, you would double‐click on the text for cumulonimbus). When the object edit toolbox appears, select properties for the text object, then select Actions from the list in the box.
Click on Object in the properties and actions box. Where it says “do nothing”, pull down the menu and select to front.
A Set button will now appear under to front. A list of all the objects on the page will appear. Find the image that matches the text on the list and select it (In the example, I would look for the word, cumulonimbus on the list).
The name of the object should now appear next to the Set button. Click OK.

You will need to do this for each text object/picture combination. To test if the action works, go to the top toolbar and click on page while in the design mode, then select enable actions from the drop‐down menu. This will allow you to check actions without being in the Presentation Mode. You can also switch to the Presentation Mode to check the action.
USING VIDEOS IN A FLIPCHART There are a couple of ways to include video clips from multimedia resources like UnitedStreaming in a flipchart. It’s necessary to know ahead of time which way you plan to incorporate your video because each presentation method requires the video file to be saved in a different format. A video file can be: 1.) linked to a flipchart; or 2.) a video placeholder can be inserted on the flipchart page. If you link to a video file, when the video clip is downloaded from UnitedStreaming, it can be saved as Windows Media Player file or a Quick Time file. (The Windows Media File opens in a bigger screen). If you plan to use a video placeholder, the file must be saved as a Quick Time movie file. This is only because of a bug in the version 3 software. This should not be an issue in higher versions of the program. To Link a Video File in Your Flipchart – Download the video clip and save it to your flash drive or network folder. You can save it as either a Windows Media File or a Quick Time file. Place the cursor on the flipchart page. Right‐ click on the page. Select Insert – Video File Link. A window will open to your files. Locate the video file and click OK. The Create a Link Object box appears. You can add the link in several ways: 1. Text Link – There will be a textual link placed on the flipchart page. When you click on the link, the video will play. 2. Object Link – This places a Windows Media Player or Quick Time icon on the flipchart page. 3. Action Object – When you select action object, a red outline box is placed on the flipchart page which can be re‐sized and placed around an image. When the flipchart is in presentation mode, the red outline is not visible, and clicking on the image starts the video. 4. Placeholder – When you put a video placeholder on the page, a small multimedia screen is present with a controller. This will not work in version 3 if the video file is saved as a Windows Media Player file.

If you want the video clip to be saved with your flipchart (embedded) so the video is always with the flipchart file, place a checkmark in the box to store file in flipchart. Your file size will be larger, but the video will always be with the file. To Add a Video Placeholder – Download the video clip and save it to your flash drive or network folder. You must save the file as a Quick Time movie file. Place the cursor on the flipchart page. Right‐click on the page. Select Insert – Video Placeholder. A window will open to your files. Locate the video file and click OK. A Placeholder Definer box will open. You can choose how you want the video to play: 1. Start Automatically – The video will begin playing as soon as the flipchart page is opened. 2. Loop – The video file will play continuously when the flipchart page is opened. 3. Video Controller – Shows a toolbar so you can stop, play, or pause the video manually. Click OK. The flipchart page will now have a multimedia screen on it. This screen can be moved and re‐ sized while in the design mode. The video will begin playing when it is clicked, unless play automatically was selected.
USING LAYERS IN A FLIPCHART Using the layers in the ActivStudio software can provide different ways to hide and reveal text or images. There are different ways to accomplish this: Right or Wrong Answers – Type the answers to several questions. Put the correct answers on the top layer, incorrect answers on the bottom layer, and an image on the middle layer. To do this, right‐click on the answer and select edit – layer – (top, bottom, or middle). Now when you move the answers onto the image, only the correct answers will appear on top of the image, while the incorrect answers disappear behind it. Going Home – There may be a time during instruction that you want to hide an image or a text object after a discussion has ended so the students can focus their attention on the next discussion point or image. You can do this by “sending the text or image home (hiding it)” after the discussion. To do this, place a large image on the middle layer using the instructions in right or

wrong answers above, then place the item (image or text) to be discussed on the bottom layer. When the discussion for that item has ended, drag it to the image and it will “hide” behind it. When all discussions have ended, you can move the image to reveal all of the text or images at once. Before and After – If you have before and after images of an event (ex., Hiroshima), you can layer them so the students see the before image first, then the after image when you want it revealed during instruction. To do this, place your “after” image on the middle layer, then place a “before” picture on top of the after image and edit the before picture to appear on the top layer. You should size your images so they are equal. To do this, place the “after” image where you want it to appear on the flipchart. Double‐click on the image to open the object edit toolbox and select the image properties icon . Click on position and write down the numbers for top, left, width and height. Double‐click on the “before” image and type the same numbers in the position box. The before picture will now be the exact size and in the exact position as the after picture. To reveal the “after” picture, select the eraser tool and erase the “before” picture. Rub and Reveal – Type an answer to a question on the page, or type a sentence with a word or words that you may want to hide and reveal later. Select the pen tool
, move the pen width selector to
a wide width, and select a color from the color palette that is the same color as the background color of the page. Now use the pen to draw a wide strip over the answer or words you want to hide. They will appear to be invisible because the color is the same as the background. When you want to reveal the answer or words, select the eraser tool and erase the pen markings. Vocabulary Buckets – Type words on the flipchart page. Drag the words on top of each other. Now select an image, such as a bucket, and place it on top of the words. Lock the image in place so it can’t be moved. To lock it, right‐click on the image and select edit – lock. Now when you click and drag on the image, the image will stay in place, but the words will “come out” of the “bucket”.

USING CONTAINERS IN A FLIPCHART You can create an action – called a container – that allows a “correct” answer or object to be placed in it, while rejecting an incorrect choice. You can designate empty boxes as containers, with the correct and incorrect words as items so the student has to drag the correct word to the box. This works well for labeling charts and diagrams. You can also use an image from the resource library as a container. To create containers, follow these instructions: Create or add the items you want “contained” to the flipchart page. These can be sentences or words you’ve typed or images. Add a graphic that will act as your “container”. The image should be larger than the items it’s containing. The container should also be added after the items to be contained so that it will be “on top” of the items. Double‐click on the object that will be the container. In the example below, the paint tubes will be the container, and the color names are the items to be contained. I want my students to move the color names that represent the tubes shown: in this case, red and yellow (there’s no blue tube).
The Object Edit toolbox will appear. Click on the Properties icon in the toolbox. The Properties and Actions box will appear. Click on identification. Make sure the object is named something you will recognize. I re‐named this object, paint tubes.

You also want the container to be to the back. To do this, right‐click on the container, select edit – to back. Now, click on the Container action in the Properties and Actions box. When the box first appears, it will look like this:
You can set a container to recognize keywords you have assigned the items to be contained, or it can be set to recognize one specific object. We’ll look at keywords first. In the drop down menu where it says nothing, select keyword(s). The box will expand, as shown below:

When you create your items to be contained, if you want them contained by keyword, you must either use the keywords assigned to the object in the software (if you got it from the resource library) or you must assigned a keyword to the item. If a container will be holding more than 1 item, you have to use the keyword option. Type in the keyword(s) assigned to the item(s) to be contained, as in the example below:
I did not type in the color blue, because I do not want it contained. Click OK when you are done entering the keywords. If you want a sound to play when the correct answer is placed in the container, place a checkmark in reward sound. A menu will open to the my sounds file. Select the sound you want and click OK. The sound file name will appear next to the reward sound box. Now we have to tell the “items” that they are to be contained. Double‐click on each object and select properties – container. Place a checkmark in the return if not contained box.
Now click on identification. Type the keyword you assigned that object in the keyword box, as shown below:

Save the flipchart before you switch from the design mode to presentation mode to test the containers. If a container is to hold only one object, instead of picking keyword(s), select specific object, as shown below. A list will pop up – select the object you want the container to hold. If I only wanted the object identified as yellow, I would select it.
